Outbound Movement How-Tos

1. Select the Outbound Movement Inbound Movement option on the left.
2. Select the View Deliveries link.

   The View Deliveries screen displays.

3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
4. Fill in one or more of the following search fields:
   • Delivery Number - Number that uniquely identifies the shipment. For all manually triggered reports, ensure that the Delivery Number is unique for every delivery.
   • Shipment Type - The type of shipment.
     • Return - Export - A shipment of goods returned to the supplier, shipped from one country to another.
     • Return - In Country - A shipment of goods returned to the supplier, shipped within the same country.
     • Sale - Export - A sale and distribution made from one country to another.
     • Sale - In Country - A sale and distribution made within the same country.
     • Transfer - Export - A transfer within a company or with a Partner, such as 3PL or contract manufacturer/packager, made from one country to another.
     • Transfer - In Country - A transfer within a company or with a Partner, such as 3PL or contract manufacturer/packager, occurring within the same country.

   • Status - The delivery's status.
     • Submitted - A completed delivery (ownership is transferred).
     • Unsubmitted - (default) A delivery that is pending completion.
     • Voided - All - All deliveries with void events.
     • Voided - Cancelled - A previously submitted delivery that is now void due to a customer cancellation.
     • Voided - Corrected - A previously submitted delivery that indicates a void event as a result of incorrect information, which now includes the correct information.
     • Voided - Not Corrected - A previously submitted delivery that indicates a void event as a result of incorrect information yet still requires correction.
   • Date On Or After - The earliest date for the delivery search.
   • Date On Or Before - The latest date for the delivery search.

   • Keywords - Text within one of the following delivery fields that can be searched:

     • From and To Business Name
     • From and To Business Identifier
     • From and To Location Name
     • From and To Location Identifier
     • Transaction Identifier
5. Select the Search button.

   The results display in the table.

• Select the Delivery Number link in the first column for any row with a Status of Unsubmitted to access the Update Delivery screen.
• Select the Delivery Number link in the first column for any row with a Status of Submitted to access the View Submitted Delivery screen.
• Select the Delivery Number link in the first column for any row with a Status of Voided to access the Void Delivery screen.

• Serial numbers must have a Serial Number State of Commissioned and an Item State of Available to be shipped.
• Items that are shipped loose can be added directly to the delivery.
• Items that are shipped as part of a container should be aggregated to their parent container and then the topmost parent containers added to the delivery.

1. Select the Outbound Movement Inbound Movement option on the left.
2. Select the Create Delivery link.

   The Create Delivery screen displays.

3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
4. On the "1. Enter Delivery Information" step:
   1. Enter the unique Delivery Number for the delivery.
   2. Enter the Shipment Date for the delivery.

   Set as the Transaction Date for compliance purposes.

   3. Select the Sale Type from the drop-down:
   • Return - Export - A shipment of goods returned to the supplier, shipped from one country to another.
   • Return - In Country - A shipment of goods returned to the supplier, shipped within the same country.
   • Sale - Export - A sale and distribution made from one country to another.
   • Sale - In Country - A sale and distribution made within the same country.
   • Transfer - Export - A transfer within a company or with a Partner, such as 3PL or contract manufacturer/packager, made from one country to another.
   • Transfer - In Country - A transfer within a company or with a Partner, such as 3PL or contract manufacturer/packager, occurring within the same country.
   4. If this delivery is correcting a previously voided delivery:
      1. Select the Correcting Voided Delivery checkbox (optional).
      2. Enter the Voided Delivery Number being corrected (required if the above checkbox is selected).

      Only deliveries with a Status of Voided - Not Corrected can be corrected.

   5. Enter the 2-letter ISO Ship From Country Code (required if the Sale Type is Sale – Export, Return – Export, or Transfer – Export and the From Business and To Business fields are blank).
   6. Enter the 2-letter ISO Ship To Country Code (required if the Sale Type is Sale – Export, Return – Export, or Transfer – Export and the From Business and To Business fields are blank).
   7. Enter the name or identifier of the company that currently owns the product in the From Business field (see the country requirements).
   8. Enter the name or identifier of the company taking ownership of the product in the To Business field (see the country requirements).
   9. Enter the name or identifier of the location from which the product is departing in the Ship From Location field (optional).
   10. Enter the name or identifier of the location receiving the product in the Ship To Location field (optional).
   11. Enter the name of the port where the shipment enters the ship to country in the Entry Port field (optional).
   12. Enter the name of the port where the shipment leaves the ship from country in the Exit Port field (optional).
   13. Enter the name or identifier of the company transporting the delivery in the Transportation Carrier field (optional).
   14. Select to the right of the Transportation Carrier field to add additional Transportation Carriers to the delivery (optional).
   15. Select the Drop Shipment checkbox if the From Business delivers the shipment to a third-party location for the To Business (optional).
   16. Enter the Portal Access Code for the Drop Shipment.
   17. Enter at least one Transaction ID in the table (see the country requirements):
   1. Select one of the following Identifier Types from the drop-down.
      • Bill of Lading – A carrier-issued document number that serves as a shipment receipt once the product is delivered to the predetermined destination.
      • Destruction Order – The unique identifier of an agreement in which a service provider agrees to destroy product.
      • E-Way Bill Number – The unique identifier of the shipment's E-Way bill.
      • Import Permit – The unique identifier of the shipping import permit for foreign manufactured products.
      • Invoice Number – The unique identifier of the invoice.
      • Nota Fiscal Eletronica – The unique document number and series code of the Brazilian Nota Fiscal Eletronica.
      • Packing Slip Number – The unique identifier of the Packing Slip.
      • PO Number – The unique identifier of the Purchase Order.
      • PRO Number – The transportation carrier progressive number assigned to an individual shipment.
      • Return – The unique identifier of the Return Authorization document.
      • Sales Order Number – The unique identifier of the Sales Order.
      • Sales Permit – The unique identifier of the local sales permit for domestic manufacturing or sale.
      • Shipment Number – The unique identifier of the shipment.
      • Transfer Number – The unique identifier of the transfer shipment.
      • Other – A document type other than those listed here.
   2. Enter an Identifier Value in the text field.
   3. Select the Document Date from the date picker.
   4. Select the Add Another link in the table header.
   18. Select the source of funds used to purchase the shipment from the Funding Source drop-down (see the country requirements):
       • Extra Budget Funds - Funds not included in the budget are used to purchase the shipment.
       • Federal Budget Funds - Federal government funds are used to purchase the shipment.
       • Mixed Budget Funds - Both regional and federal government funds are used to purchase the shipment.
       • Own Funds - The Company's own funds are used to purchase the shipment.
       • Regional Budget Funds - State or regional funds are used to purchase the shipment.
   19. Select the Contract Type from the drop-down (see the country requirements):
       • Agency Sales Agreement - An agent performs legal actions and paid services for a manufacturer or supplier.
       • Commission Sales Agreement - A sales agent earns commission for facilitating trade for an exporting company.
       • Consignment Agreement - The buyer pays the manufacturer or supplier only when the product is sold.
       • Competitive Bid - The right to fulfill the order is bid on by manufacturers and awarded to the manufacturer with the most favorable bid.
       • Government Contract - Product is sold under a government or state contract.
       • Private Contract - The buyer agrees to purchase product from the manufacturer.
   20. Select the purpose of the delivery from the Supply Type drop-down (see the country requirements):
       Supply Type Options

       Some countries use specific Supply Types for certain shipments, but currently only South Korea and Russia require this field.

   21. Specify the reason that a product being removed from circulation in the Removal from Circulation reason Code drop-down (optional):
       • Counterfeit – The product is a fraudulent imitation of the original.
       • Damaged – The product is damaged.
       • Excluded from Registration – The product was not registered.
       • Expired – The product is expired.
       • Falsified – The document for the product is intentionally inaccurate.
       • Lost Consumer Properties – The product has lost its potency (e.g. due to exposure to light or being stored outside of the appropriate temperature range).
       • Recalled – The product is recalled.
       • Substandard – The product does not meet physical or quality standards.
       • Unfit for Consumption – The product cannot be safely consumed.
       • Withdrawn by Manufacturer or MAH – The Manufacturer or MAH has withdrawn the product from the market.
   22. Enter any Comments about the delivery, with a maximum of 200 characters (see the country requirements).

   For example, enter “ZD” separated from other comments with a semicolon to indicate a price reduction for South Korea.

   23. Select the Next button.
5. On the "2. Order Item Information" step:

   This step is required only if the Ship To Country is South Korea and the Sale Type is Sale - In Country or Sale - Export, or the Ship To Country is Russia.

   1. Select whether to Allow Short Verification Count from the drop-down (optional):
      • No - TraceLink does not allow the delivery to include fewer serial numbers than the amount entered in the Quantity field (default if no option is selected).
      • Yes - TraceLink allows the delivery to include fewer serial numbers than the amount entered in the Quantity field.
   2. Select the Add Another link to add an Order Item row for each product included in the delivery.
   3. In each row:
      1. Enter the product's GTIN (Global Trade Item Number), NTIN, or Internal Material Number in the Item Code field.
      2. Enter the Quantity of items included in the delivery.
      3. Enter an Order Item Number to associate a product's Unit Price, VAT, and Gross Price with a specific set of serial numbers included in the shipment.

         Order Item Numbers are associated to serial numbers via the Serial Numbers section on the Enter Serial Numbers step.

      4. Enter the product's unique Lot Number (optional).
      5. Enter the lot's Expiration Date (optional).
      6. Enter the Unit Price for the product (see the country requirements).
      7. Enter the VAT (Value Added Tax) per saleable unit of product in the text field (see the country requirements).
      8. Enter the total price per salable unit of product, including the unit price, taxes, and any additional fees or costs in the Gross Price field (see the country requirements).
      9. Enter the 3 letter ISO Currency Code for the Unit Price, VAT, and Gross Price fields (see the country requirements).
      10. Select whether the product is Serialized from the drop-down.
      11. Select any transaction identifiers that apply to the table entry to associate an Identifier Type with a specific product in the shipment from the Transaction ID drop-down (e.g. the Purchase Order for an Item Code entered in the table).

          Only Identifier Types added on the Enter Receipt Information step in the Transaction IDs table can be selected in the Order Items table. An Identifier Type can be included only once per Item Code (e.g. a Item Code cannot have two Invoice Numbers associated to it).

   4. Select the Next button.
6. On the "3. Enter Serial Numbers" step:
   1. Enter the name of the Warehouse Operator responsible for processing the delivery (optional).
   2. Select the whether the physical contents of the delivery match the expected contents detailed in the delivery's documentation from the Delivery Inspection drop-down (optional):
      • Not Inspected - The contents of the delivery have not been inspected.
      • Inspected - Passed - The contents of the delivery have been inspected and match the associated documentation.
      • Inspected - Failed - The contents of the delivery have been inspected and do not match the associated documentation.
   3. Enter the date that the product in the delivery is inspected in the Delivery Inspection Date field (optional).
   4. Enter any additional information about the delivery inspection in the Delivery Inspection Note field (optional).
   5. Select whether a delivery's aggregation hierarchy has been verified from the Aggregation Inspection Status drop-down (optional):
      • Verified - The aggregation hierarchy for the delivery has been scanned down to the each level.
      • Unverified - Only the top-level (e.g. pallet) aggregation hierarchy for the delivery has been scanned and the remaining aggregation levels are unknown to TraceLink.
      • Implied - The entire aggregation hierarchy for the delivery is known to TraceLink, but only the top level (e.g. pallet) has been scanned. The lower aggregation levels have been provided previously (e.g in an aggregation or shipment).
   6. Enter Serial Numbers under Enter By List (required if no serial numbers are Entered by Lot):
      • Select Upload Serial Numbers from File:

        To associate a serial number to an Order Item Number in the Order Items table, add the Order Item Number to the end of the serial number, separated by a comma (e.g. "00932343845839485934, 5"), before uploading the file to TraceLink. Each serial number and its corresponding Order Item Number must be entered on its own row.

        1. Select the Choose File button.
        2. Browse for and select the desired CSV file.

        The CSV file must be smaller than 50MB and cannot contain headers. Only 1 file can be uploaded per session.

        or

      • Select Scan Serial Numbers:

        To associate a serial number to an Order Item Number in the Order Items table, add the Order Item Number to the end of the serial number, separated by a comma (e.g. "00932343845839485934, 5"). Each serial number and its corresponding Order Item Number must be entered on its own row.

        • Enter the serial numbers in the text field (limit of 30,000 characters).

          or

        • Scan the serial numbers in the text field (limit of 30,000 characters) with an Edge device.
   7. Select the Automatically disaggregate serial numbers that are aggregated to another number checkbox to disaggregate any child serial numbers from their parent containers.
   8. Enter Serial Numbers under Enter By Lot (required if no serial numbers are Entered by List):

      When shipping aggregated product by Lot Number, all associated packing levels and all serial numbers included in those packaging levels are included in the shipment, even if they do not share the same Item Code.

      1. Select Lot.
      2. Enter the Item Code for the serial numbers.
      3. Enter the Lot Number for the serial numbers.
7. Select the Submit button.

   The View Deliveries screen displays. The confirmation message "Delivery [Delivery Number] submitted." displays at the top.

• Select the Save for Later button to save the information
  • Select a Delivery Number link for any row with a Status of Unsubmitted on the View Deliveries screen to update a saved delivery and return to the View Deliveries screen.

Some optional fields might be mandatory per a country's regulatory requirements:

• Brazil:
  • Transaction ID (indicate a Packing Slip Number and/or an Invoice Number)
• China:
  • Transaction ID (indicate a Purchase Order Number)

• Russia:

  • Transaction ID (indicate a Document Date when the Ship To Country is Russia)
  • Funding Source (required when the Ship To Country is Russia and the Ship From Country is Russia)
  • Order Items (one row required with a Unit Price and Currency Code when the Ship To Country is Russia and the Ship From Country is Russia, Armenia, Belarus, Kazakhstan, or Kyrgyzstan)
• South Korea:
  • Contract Type
  • Supply Type (required if the Ship From Country is Korea and the Sale Type is Return-In Country)
  • Transaction ID
  • Comment (use to specify a price exception or delivery number, e.g. "ZD;[additional comments]" for a price exception and "DEL:[value];[additional comments]" for a delivery number)
• Turkey:
  • Transaction ID (indicate a Purchase Order Number and/or a Shipment (ASN) Number)
• United States:
  • Transaction ID (indicate a Purchase Order Number, a Shipment (ASN) Number, and/or an Invoice Number)
• The From Business and To Business fields are always required for Return shipments and might be required for Transfer and Sale shipments, depending on the Ship From Country Code and Ship To Country Code.

• Submitted deliveries must have one of the following Shipment Types to be voided:
  • Return - Export - A shipment of goods returned to the supplier, shipped from one country to another.
  • Return - In Country - A shipment of goods returned to the supplier, shipped within the same country.
  • Sale - Export Transfer - Export - A sale and distribution made from one country to another.
  • Sale - In CountryExport - In Country - A sale and distribution made within the same country.

1. Select the Outbound Movement option on the left.
2. Select the View Deliveries link.

   The View Deliveries screen displays.

3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
4. Select Submitted from the Status drop-down.
5. Select the Search button.

   The results display in the table.

6. Select the Delivery Number link of the delivery to be voided in the first column of the results table.

   The Submitted Delivery screen displays.

7. Select the Void Delivery button.

   The Void Delivery screen displays.

8. Select the Reason the delivery is being voided from the drop-down:
   • Correction
   • Damaged
   • Damaged in Facility
   • Damaged in Transit
   • Data Issue
   • Destroyed
   • Expired
   • Found Inventory
   • Investigation
   • Lost Inventory
   • Order Cancelled
   • Order Rejected
   • Other
   • Over Receipt
   • Over Ship
   • Physical Count
   • Recalled
   • Receiving Error
   • Shipping Error
   • Short Receipt
   • Short Ship

9. Enter the effective date in DDMMYYYY format for the delivery cancellation in the Transaction Date field (optional).
10. Enter any additional information about the void event in the Description text field (optional).
11. Select one of the following Order Canceled? radio buttons:
    • No - Indicates that the delivery is being voided for a reason other than a canceled order.
    • Yes - Indicates that the delivery is being voided because the order was canceled, and generates any required compliance reports, if configured.

      The delivery cannot be Corrected if the Yes radio button is selected.

12. Select the Submit button.

    The "Confirm Void" dialog box displays.

13. Select the Confirm button.

    The View Voided Delivery screen displays with the confirmation message "TraceLink is processing your request to void Delivery [Delivery Number]. Note that it may take several minutes to complete processing. You can send a corrective delivery by clicking the Correct Delivery button at the bottom of the screen."

    TraceLink also sets the state of the serial numbers in the outbound delivery to "Commissioned – Available" in the original location from which the items were shipped. All associated aggregations remain.
