View Submitted Delivery / View Voided Delivery

Overview

Select the Delivery Number link with a Status of Submitted or Voided on the View Deliveries screen.

  • View the details of a submitted or voided delivery.
  • Download a file containing the serial number information for all products and containers included in the delivery.
  • Void a submitted delivery with a Sale Type of Return or Sale.

Though the data on this screen is view only, the help still includes field requirements by country in the below sections to assist in determining what mandatory data may be missing for certain country-specific requirements, thus indicating further action may be necessary to fulfill the requirements.

Void Information

  • Date Voided - The void date of the delivery within TraceLink.
  • Transaction Date - The void date of the delivery in the ERP system.
  • Reason - A list of pre-set reasons for the void.
  • Description - Text entry for additional information about the void event.

Submitted/Voided Delivery

  • Delivery Number - Number that uniquely identifies the shipment.
  • Voided Delivery Number - The delivery number of the voided delivery that the current delivery corrects.

    Only displays for deliveries with a Status of Voided - Corrected.

  • Shipment Date - Date the shipment sends.
  • Voided Delivery Status - The status of the voided delivery.

    Only displays for deliveries with a Status of Voided - Corrected.

  • Shipment Type - Indicates the type of message.

    • Purchase - Import - A purchase into one country from another.
    • Purchase - In Country - A purchase within the same country.
    • Return - Import - A return into one country from another.
    • Return - In Country - A return within the same country.
    • Transfer - Import - A transfer into one country from another.
    • Transfer - In Country - A transfer within the same country.
  • Ship From Country Code - The country that ships the goods, in ISO 2-letter country code format.
  • Ship To Country Code - The country that receives the goods, in ISO 2-letter country code format.
  • From Business - The business entity that transfers the ownership of goods.
  • To Business - The entity receiving the goods.
  • Ship From Location - The location that ships the goods.
  • Ship To Location - Location receiving the shipment.
  • Entry Port - The name of the port where the shipment enters the ship to country (e.g. airport, maritime port, border checkpoint).
  • Exit Port - The name of the port where the shipment leaves the ship from country (e.g. airport, maritime port, border checkpoint).
  • Transportation Carrier - Transportation carrier that ships the goods.
  • Drop Shipment - Optional checkbox that indicates if the shipment is a drop shipment. Select if transferring customer orders to another party with the product in house.
  • Transaction IDs - Indicates the transaction identifier and unique number. 
  • Contract Type - Indicates the type of contract.
    • Agency Sales Agreement - An agent performs legal actions and paid services for a manufacturer or supplier.
    • Commission Sales Agreement - A sales agent earns commission for facilitating trade for an exporting company.
    • Consignment Agreement - The buyer pays the manufacturer or supplier only when the product is sold.
    • Competitive Bid - The right to fulfill the order is bid on by manufacturers and awarded to the manufacturer with the most favorable bid.
    • Government Contract - Product is sold under a government or state contract.
    • Private Contract - The buyer agrees to purchase product from the manufacturer.
  • Contract Number - The identification number of the selected Contract Type.

  • Funding Source - Indicates the source of funds used to purchase a shipment.

    • Extra Budget Funds - Funds not included in the budget are used to purchase the shipment.
    • Federal Budget Funds - Federal government funds are used to purchase the shipment.
    • Mixed Budget Funds - Both regional and federal government funds are used to purchase the shipment.
    • Own Funds - The company's own funds are used to purchase the shipment.
    • Regional Budget Funds - State or regional funds are used to purchase the shipment.
  • Supply Type - Indicates the intended purpose of the shipment.

Some countries use specific Supply Types for certain shipments, but currently only South Korea and Russia require this field.

Civil Protection Emergency Distribution Distributing product to authorized parties (e.g. police) for civil protection and disaster control. EU FMD Countries

Contract Manufacturer Buyback A return sale back to the contract manufacturer. Russia
Court Ordered Destruction Distribution Return of product for court ordered destruction. Russia
Customs Clearance Distribution Product that is received into an importer’s warehouse after customs clearance. Russia
Customs Sale Sale of product previously seized by a customs agency. Russia
Customs Zone Transfer Product that is transferred between customs zones. Russia
Dental Practitioner Distribution Distributing product to a dental practitioner. EU FMD Countries
Destruction Distribution Return of product for company-initiated destruction. Russia
Donation Distributing product for donation. South Korea
Emergency Medical Practitioner Distribution Distributing product to a paramedic or emergency medical practitioner. EU FMD Countries
Exempted Dispenser Suppliers mark a product as Dispensed before a dispenser receives it. EU FMD Countries
Free of Charge Distribution Free sales that are neither Donations nor Sample Distributions. Russia
Medical Care Distribution Distributing product for medical care. South Korea
Medical Practitioner Distribution Distributing product to a doctor or other medical practitioner. EU FMD Countries
Military Distribution Distributing product to the military. South Korea
Optical Practitioner Distribution Distributing product to an optometrist or optician. EU FMD Countries
Patient Distribution Distributing product to a patient. South Korea
Prison Distribution Distributing product to a prison. EU FMD Countries
Pharmaceuticals Provider Distribution Distributing product to a provider. South Korea and EU FMD Countries
Re-Export Product that is produced in Country A, and then imported into and subsequently re-exported from Country B. Russia
Re-Export Embargo Product that is produced in Country A, and then imported into and subsequently re-exported from Country B due to an embargo placed on a product. Russia
Re-Export Sanctions Product that is produced in Country A, and then imported into and subsequently re-exported from Country B due to imposed sanctions. Russia
Research University Distribution Distributing product to a research institution (e.g. universities that perform research). EU FMD Countries
Safety & Life Reserves Distribution Distributing product to a retail pharmacy. South Korea
Sample Distribution Distributing product as free samples. South Korea
School Distribution Distributing product to a school. EU FMD Countries
Special Medical Care Distribution Distributing product to a nursing home or hospice. South Korea and EU FMD Countries
Veterinary Distribution Distributing product to a veterinarian or a veterinary retailer. EU FMD Countries
Withdrawn Product Collection Withdrawn goods are collected and returned to the manufacturer. Russia
  • Removal from Circulation Reason Code – The reason that the product in a shipment is being removed from circulation:
      • Counterfeit – The product is a fraudulent imitation of the original.
      • Damaged – The product is damaged.
      • Excluded from Registration – The product was not registered.
      • Expired – The product is expired.
      • Falsified – The document for the product is intentionally inaccurate.
      • Lost Consumer Properties – The product has lost its potency (e.g. due to exposure to light or being stored outside of the appropriate temperature range).
      • Recalled – The product is recalled.
      • Substandard – The product does not meet physical or quality standards.
      • Unfit for Consumption – The product cannot be safely consumed.
      • Withdrawn by Manufacturer or MAH – The Manufacturer or MAH has withdrawn the product from the market.
  • Comments - Any additional remarks. 200 character maximum. E.g. Delivery number for South Korea.
  • Warehouse Operator - The name of the warehouse operator or supervisor responsible for processing the receipt.
  • Allow Short Verification Count - Allows a quantity variance in the drop-down menu (Yes or No). This applies to the scenario when the product count in the original receipt differs from the current updates (e.g. product has been sampled).
  • Item Quantity - The number of items in the delivery.

Some optional fields may be mandatory per a country's regulatory requirements. Select a country to view mandatory fields for that country.

These are not the only mandatory fields. See the "Mandatory Fields" drop-down for other requirements.

  • Warehouse Operator - The name of the warehouse operator or supervisor responsible for processing the receipt.
  • Transportation Carrier - Transportation carrier that ships the goods.
  • Transaction ID - Associates an Identifier Type with a specific product in the shipment.
  • Contract Type - Indicates the type of contract.
  • Supply Type - Indicates the intended purpose of the shipment.
  • Funding Source - Indicates the source of funds used to purchase a shipment.
  • Contract Type - Indicates the type of contract.

Order Items

  • Item Code - An Internal Material Number or Packaging Code in the type-ahead field (pulls from Master Data). The format is [Product Code Type] [Product Code Value].
  • Quantity - The number of units to be picked.
  • Order Item Number - Associates a product's Unit Price, VAT, and Gross Price with a specific set of serial numbers included in the shipment via the Enter By List section on the Enter Serial Numbers step.
  • Lot Number - The unique lot identifier.
  • Expiration Date - Indicates the item's expiration date.
  • Unit Price - The price of the unit.
  • VAT - (Value Added Tax) The VAT per saleable unit of product.
  • Gross Price - The total price per saleable unit of product, inclusive of unit price, taxes, and any additional fees or costs.
  • Currency Code - The 3 letter ISO Currency Code of the Unit Price, VAT, and Gross Price (e.g. USD is United States Dollar).
  • Transaction ID - Associates an Identifier Type with a specific product in the shipment.
  • Serialized - Confirm if the item is serialized in the drop-down menu with Yes (default) or No if not serialized.

Available Actions

The Void Delivery button does not display for transfers (either Return - In Country or Return- ExportTransfer - In Country or Transfer - Export).

  • Select the Void Delivery button.

    The Void Delivery screen displays.

The Correct button only displays for voided deliveries.

  • Select the Correct button.

    The Create Delivery screen displays, populated with the current delivery's values.

  • Select the Download Serial Numbers link at the bottom of the screen.

    The CSV file downloads.
