Import Company Master Data

Select the Import icon located in the top right-hand corner of the View Company Master Data screen.

Upload CSV files and import data elements for the Company's Master Data or company location(s).

• Data to Upload – Which type of data the uploaded CSV file contains.
  • Company Data Element – To upload company master data.
  • Location Data Element(s) – To upload company location master data.

The element headers below are all required in the CSV file, in order, and separated by commas. See Edit Company Details for country requirements. For the definitions and formats of identifiers and item codes, see Identifier and Item Code Types.

Companies that use TraceLink for serialization or compliance must enter a value for the Street1, City, StateOrRegion, PostalCode, and Country elements.

• BusinessName – The name of this company.
• BusinessType – The type of business this company conducts (value optional).
  • Carrying and Forwarding Agent – (CFA) The company facilitates the movement and transfer of goods. In India, CFAs are often involved in moving goods as interstate stock transfers.
  • Chemist – The company specializes in the composition of substances, may mix substances in preparation for dispensation, and has a shop selling medicines and cosmetics. Also know as a compounding facility.
  • Distributor – The company distributes pharmaceuticals.
  • Exporter – The company exports products. For customs purposes, this company makes the export declaration and sells the products to a company in another country, known as the importer.
  • Healthcare Facility – The company dispenses pharmaceuticals as a healthcare facility.
  • Importer – The company imports products. For customs purposes, this company makes the import declaration, the shipping document names the company as consignee, and the exporter's invoice names the company as buyer.
  • Logistics – The company provides logistics services (e.g. LSP, 3PL).
  • Manufacturer – The license holder of the pharmaceutical product (e.g. Brand Owners, Generics, MAHs, Specialty Companies).
  • Packager – The company packages products.
  • Pharmacy – The company sells product directly to patients.
  • Returns Processor – The company processes returns.
  • Stockist (Regional Distributor) – The company stocks the products, and then distributes them.
  • Wholesaler – The company is a wholesaler of pharmaceuticals.
• Street1 – Street address, including number and street name. Typically, the company address uses the corporate address (value required if any of the following elements contains a value; Street2, City, District,Village, House Number, Township, StateOrRegion, PostalCode, Country, BuildingNumber, PlantNumber, FloorNumber, Premises Code, Company Fax, and TaxRegistrationCode).
• Street2 – Any additional address information (value optional).
• City – The city for this company (value required if any of the following elements contains a value; Street1, Street2, District, Village, House Number, Township, StateOrRegion, PostalCode, Country, BuildingNumber, PlantNumber, FloorNumber, Premises Code, Company Fax, and TaxRegistrationCode).
• District – The district for this company's address (value optional).
• StateOrRegion – The state or region for this company (value required if any of the following elements contains a value; Street1, Street2, City, District, Village, House Number, Township, PostalCode, Country, BuildingNumber, PlantNumber, FloorNumber, Premises Code, Company Fax, and TaxRegistrationCode).
• PostalCode – The postal code for this company (value required if any of the following elements contains a value; Street1, Street2, City, District, Village, House Number, Township, StateOrRegion, Country, BuildingNumber, PlantNumber, FloorNumber, Premises Code, Company Fax, and TaxRegistrationCode).

• Country – Two-letter country code for this company (required if any of the following elements contains a value; Street1, Street2, City, District, Village, House Number, Township, StateOrRegion, PostalCode, BuildingNumber, PlantNumber, FloorNumber, Premises Code, Company Fax, and TaxRegistrationCode).

• Status – Indicates whether the Master Data tied to the company is active or inactive.
  • Active – The data can be used in messages and UI functions, and TraceLink pulls the data when necessary.
  • Inactive – The data cannot be pulled for other functions within TraceLink.
• BuildingNumber – This company's building number (value optional).
• PlantNumber – This company's plant number (value optional).
• FloorNumber – This company's floor number (value optional).
• CompanyPhone – This company's phone number (value optional).
• CompanyEmail – This company's main email address (value optional).
• CompanyURL – The company's website URL (value optional).
• ContactName – The regulatory contact's name (value optional).
• ContactTitle – The regulatory contact's title (value optional).
• ContactPhone – The regulatory contact's phone number (value optional).
• ContactEmail – The regulatory contact's email address (value optional).
• BusinessLogo – Image file with the company's logo, which displays on the View Company Details screen (value optional).

  Maximum file size is 2 KB. The file must be a BMP, JPG, GIF, or PNG.

• IdentifierType – The identifier type used for this entity.
• Value – The value associated with the identifier type.
• Primary – Indicates the primary identifier used by this company. Only one primary identifier is allowed, and it cannot be deleted. TraceLink uses the primary identifier to match any future updates or imports to the correct entity in the TraceLink Network.
• TaxRegistrationCode – The code used to identify this entity for tax or other legal reporting purposes, e.g. a Russia KPP Registration Code (value optional).
• Village – The village in which this company is located (value optional).
• HouseNumber – The identifying number of the building, house, or unit (e.g. 14B) for this company (value optional). House numbers are only separated from the street address for addresses in China.
• Township – The township in which this company is located (value optional).
• CompanyFax – The fax number for this company (value optional).
• PremisesCode – The internal identifier associated with this company. For example, a company with 4 locations in the city of Mumbai that internally refers to the 4th location as MUM4 (value optional).
• TraceLinkID – The unique identifier that TraceLink generated for this company. This element header is read-only. Because the TraceLinkID is generated by Tracelink, any value entered is ignored upon import.

  Setting the location data to Inactive disables data only for that specific location.

• Affiliate – Whether the location is another business entity or subsidiary of the company (value optional).
  • True – The company is another business entity or subsidiary of the company.
  • False – The company is not another business entity of subsidiary of the company.
• CompanyPhone – This location's phone number (value optional).
• CompanyEmail – The company email address tied to this location (value optional).
• CompanyURL – The location's website URL (value optional).
• ContactName – The regulatory contact's name (value optional).
• ContactTitle – The regulatory contact's title (value optional).
• ContactEmail – The regulatory contact's email address (value optional).
• ContactPhone – The regulatory contact's phone number (value optional).

• HouseNumber – The identifying number of the building, house, or unit (e.g. 14B) for this location (value optional). House numbers are only separated from the street address for addresses in China.
• Township – The township in which this location is located (value optional).
• CompanyFax – The fax number for this location (value optional).

1. Select the type of Data to Upload from the drop-down.
2. Select Choose File.
3. Browse for and select the desired CSV File.
4. Select Submit.

The View Company Master Data screen displays, and TraceLink updates the company master data with the information in the imported file.

1. Select CompanyElementSample.csv.
2. If prompted, select Save, not Open.
3. View the CSV file in a text editor or in Microsoft Excel.

   If opening in Excel, follow the procedure in Opening Exported CSV Reports with Excel.

   The file downloads.

2. If prompted, select Save, not Open.
