View Transaction Histories

How to Navigate to this Screen

Select View Transaction Histories from the Go To drop-down in the top-right.
Select the Transaction Histories icon () in the Actions column of the results table on the View Transaction Exchanges screen.

Why Use this Screen

Search for and view Transaction Histories.
The Transaction Histories include the current transaction information, the records of previous transactions, and the transaction statements.

Search Fields

Service Publisher – Only Transaction Histories from the app owned by the company selected return in the results table.
If the user selects an Owner other than the user's company, only Transaction Histories that the user's company sends or receives return in the results table.
Date On Or After – Only Transaction Histories that occurred on or after this date return in the results table. Defaults to the current GMT date.
If accessing this screen by selecting the View Transaction Histories icon () on the View Transaction Exchanges screen, this field defaults to 7 days prior to the transaction exchange's Shipment Date.
Date On Or Before – Only Transaction Histories that occurred on or before this date return in the results table. Defaults to the current GMT date.
If accessing this screen by selecting the View Transaction Histories icon () on the View Transaction Exchanges screen, this field defaults to 7 days after the transaction exchange's Shipment Date.
Transaction Type – Only the transaction type selected returns in the results table.
- All (default)
- Receipt – Only receipt transactions return in the results table.
- Shipment – Only shipment transactions return in the results table.
Sender – Only Transaction Histories that originate from the company or location specified return in the results table.
Recipient – Only Transaction Histories received by the company or location specified return in the results table.
Document status – Only Transaction Histories with the document type selected return in the results table.
- Active – (default) The Transaction History is valid and can be sent to downstream supply chain partners.
- Adjusted-Quantity Decremented –The quantity of the Transaction History decreased.
- Adjusted-Quantity Incremented – The quantity of the Transaction History increased.
- Void – The Transaction History has been voided.
Advanced Options – Refine the results by searching for an NDC, keywords, or a serial number.
- NDC and Keywords – (default) This radio button reveals the NDC and Keywords search fields.
  - NDC – Only Transaction Histories including products with this NDC return in the results table.
  - Keywords – Only transactions including keywords found in the Delivery Number, Lot Number, Transaction ID (e.g. PO, ASN, RMA Number), Sender Name, Sender ID, Recipient Name, or Recipient ID fields display.
    Owners configured as Dispensers in Company Administration can also enter keywords for the Annotated Lot Number field.
    - The Keywords field is case sensitive.
    - Use an asterisk (*) to expand single-word search results.
    - "AND" is implied between multiple keywords.
    - Use "OR" to include either of multiple keywords.
- Serial Number – This radio button reveals the Serial Number search field.
  - Serial Number – Only transactions including products with this serial number return in the results table.

Static Information

Dispenser Owners can enable Receipts to be automatically assigned to a specific location. If this option is enabled, users only see transactions with a Type of Receipt if:

The receipt is assigned to a location that the user has access to.
The receipt does not have an identifier that could be matched to a specific location when TraceLink processed it.

Transaction Date – Date of the sale or transfer of products.
Transaction ID – Shipment transaction identifier(s).
Transaction Type – The type of transaction recorded in this exchange, determined by the user's company's role in the transaction.
- Shipment – The user's company created and sent the shipment.
- Receipt – The user's company received the shipment.
Document Status – The status of the Transaction History.
- Active – (default) The Transaction History is valid and can be sent to downstream supply chain partners.
- Adjusted-Quantity Decremented –The quantity of the Transaction History decreased.
- Adjusted-Quantity Incremented – The quantity of the Transaction History increased.
- Void – The Transaction History has been voided.
Sender ID – The identifier for the company that shipped the product.
Sender Name – The name of the company that shipped the product.
Recipient ID – The identifier for the company that received the product.
Recipient Name – The name of the company that received the product.
Ship To Location – The name and address of the location that physically received the product.
NDC – The item code of the product in the Transaction History.
Description – Typically includes the product name, dosage, form, and the number of doses. This description populates from the Product Master Data or, if the Product Master Data does not include a description, from the Transaction History.
Lot Number – The lot number of the product(s) in the Transaction History.
- Info Icon () – If the Lot Number or Expiration Date has been annotated, the Info icon () displays. Hover over the icon to view the annotations.
  Only Owners configured as Dispensers in Company Administration can annotate product information.
Expiration Date – The date that the product expires.
Transaction Quantity – The number of individual units of product in the transaction.

The Annotate Product icon () does not display for Transaction Histories that result from reselling product.

Search Transaction Histories

If the Search Fields are not visible, select the blue arrow to the left of Search Criteria section.

Select a Service Publisher from the drop-down.
If the user's company receives resold product from another Dispenser, select the sending company in this drop-down. Selecting the user's company will not display resold product receipts because TraceLink does not automatically send an ASN with the Transaction History to the receiving company for resold product.
Enter a Sender in the type-ahead field, or select the menu button to see all senders.
Select a Date on or After from the date picker.
Select a Date On or Before from the date picker.
Enter a Recipient in the type-ahead field, or select the menu button to see all recipients.
Select a Transaction Type from the drop-down.
Select a Document Status from the drop-down.
Select an Advanced Options radio button.
- If the user selects the NDC and Keywords radio button:
  1. Enter a NDC in the type-ahead field, or select the menu button to see all NDCs.
  2. Enter any Keywords in the text field.
- Enter a Serial Number in the text field if the user selects the Serial Number radio button.
Select the Search button.
The results display in the table.

View Transaction History Details

Select the View Transaction History Details icon () in the Actions column of the results table.
The View Transaction History Details screen appears.

Create a Transaction History from a Paper Receipt

Select the Create Transaction History for Received Paper button.
The Create Transaction History for Received Paper screen appears.

Create and Download Reports

Select the Create and Download Reports button.
The Download Reports screen displays.

Add or Edit an Annotation

Only Owners configured as Dispensers in Company Administration can annotate product information.

The Annotate Product icon () does not display for Transaction Histories that result from reselling product.

Select the Annotate Product icon () in the Actions column of the results table.
The Annotate Product Information screen displays.

Resell Product to Another Dispenser

Only Dispensers configured to resell product in Administration can see the Resell Product icon ().

Select the Resell Product icon () in the Actions column of the results table for any row with a Transaction Type of Receipt.
The Resell Product screen displays, populated with information from the existing Transaction History.
