Updating Inventory Quantities
To update transaction history (TH) quantities in your inventory, you use the Update Product Quantity operation.
Note: You can use the Update Product Quantity operation whether your company is configured to use the legacy or new inventory adjustment model; however, you should avoid using Update Product Quantity to make positive inventory adjustments if your system uses the legacy model with NDC-only picking. Your inventory report might include negative quantities in this case. The following procedure shows how to adjust quantities using either the legacy or new model.
For details on how Product Track adjusts TH inventory, see Inventory Adjustments.
Update Inventory Quantities
To update inventory quantities:
- Select Compliance > US Product Track in the Modules menu.
- In the Go To menu on the top right, click Manage Product Status.
- Click .
Required fields are shown with red asterisks (*).
- For Location, select the company location of the product to be updated.
-
Enter an NDC (the product’s National Drug Code) or click the drop-down icon and select an NDC. If you type the beginning of the number, TraceLink auto-completes it.
- Enter the Lot Number of the product.
- The lot number is required if your company uses the "New Model" inventory adjustment model.
- The lot number is not required if your company uses the "Legacy Model" inventory adjustment model.
- Optionally enter a Delivery Number and a Reference ID.
- Select an Operation type and a Quantity:
If your company uses the new inventory adjustment model (introduced in the 7.4 version of Product Track), select from the following options:
- Select Decrement by to remove THs from inventory. TraceLink creates an adjusted transaction history and annotates it with the quantity decremented. For Quantity, enter the number of THs to be removed.
- Select Increment by to add THs to inventory. TraceLink creates an adjusted transaction history and annotates it with the quantity incremented. For Quantity, enter the number of THs to be added.
- Select Replace to overwrite the current quantity with a new quantity. TraceLink determines whether the TH inventory must be incremented or decremented to achieve the specified quantity. Then TraceLink creates an adjusted transaction history and annotates it with the quantity incremented or decremented. For Quantity, enter the new TH quantity.
If your company uses the legacy inventory adjustment model, select from the following options:
- Select Adjust By to increment or decrement the product quantity. For Quantity, enter a positive number to increment the quantity or a negative number to decrement the quantity.
- Select Replace to overwrite the current product quantity with a new quantity.
- Click the Add Transaction ID link on the right if you want to link the product quantity update with a particular document such as a Return, PO, or ASN for the product.
- If you are incrementing or replacing inventory, you can optionally enter a Reference ID.
The Reference ID is used for exact matching for subsequent picks of the incremented inventory. For example, you might use a Reference ID to require items to be picked from a particular bin in a location.
Note: Use reference identifiers with caution. Once a reference identifier is assigned to a transaction history, it can only be matched in the pick/ship operation using the exact NDC, lot number, and reference identifier as assigned. Use reference identifiers only if you need to perform strict matching against a specific transaction history for an outbound customer delivery.
- Set a Reason Code to note the reason for the quantity update, for example, Damaged, Recalled, or Physical Count.
You can optionally enter Reason Text as well, which you can view in audit reports.
-
Click

The available TH quantity for the NDC and lot is adjusted by the quantity you incremented or decremented. You can generate an inventory report to verify the adjustment. See Generating an Inventory Report to do so.
If you want to see a record of the adjustment, search for the adjusted TH. See Searching for Adjusted Transaction Histories.
