Void Receipt

Overview

Select the Void Receipt button on the View Submitted Receipt and View Voided Receipt screen.

Void a submitted inbound delivery. There are 2 methods of voiding:

  • Void and permanently cancel the receipt (this cannot be undone).
  • Void the receipt with the option to correct it in this session or in a later session.

Receipt Information

  • Delivery Number - Number that uniquely identifies the shipment.
  • Shipment Date - Receive date of the goods.
  • From Business - The business entity that transfers the ownership of goods.
  • To Business - The entity receiving the goods.
  • Ship From Location - The location that ships the goods.
  • Ship To Location - Location receiving the shipment.

Void Information

  • Reason - A list of pre-set reasons for the void.
    • Correction
    • Damaged
    • Damaged in Facility
    • Damaged in Transit
    • Data Issue
    • Destroyed
    • Expired
    • Found Inventory
    • Investigation
    • Lost Inventory
    • Order Cancelled
    • Order Rejected
    • Other
    • Over Receipt
    • Over Ship
    • Physical Count
    • Recalled
    • Receiving Error
    • Shipping Error
    • Short Receipt
    • Short Ship
  • Order Cancelled? - Certain countries require a compliance report that notifies the government (and downstream Partners) when an order is cancelled. Select Yes and this triggers the notification:
    • Yes - order was cancelled
    • No - order was not cancelled
  • Description - Text entry for additional information about the void event.
  • Transaction Date - Indicates the void date. Defaults to the current date, in DDMMYYYY format.

Available Actions

  1. Select a Reason from the drop-down.
  2. Select the Transaction Date from the date picker.
  3. Enter a Description in the text field.
  4. Select an Order Cancelled? option form the radio buttons.

    The receipt cannot be Corrected if the Yes radio button is selected.

  5. Select the Submit button.

    The Confirm Void dialog displays.

  6. Select the Confirm button.

    The View Voided Receipt screen displays with the confirmation message "TraceLink is processing your request to void Delivery [Delivery Number]. Note that it may take several minutes to complete processing. You can send a corrective delivery by clicking the Correct Delivery button at the bottom of the screen." "TraceLink is processing your request to void Delivery [Delivery Number]. Note that it may take several minutes to complete processing." one of the following confirmation messages:

    • If Order Cancelled? is set to No: "TraceLink is voiding Receipt [Delivery Number]. See Info Exchange for its status. Submit a corrected delivery below."
    • If Order Cancelled? is set to Yes: "TraceLink is voiding Receipt [Delivery Number]. See Info Exchange for its status."

    TraceLink also sets the state of the serial numbers in the inbound receipt to:

    • "Decommissioned – Pending Receipt" for unsubmitted receipts in the original location from which the items were received. All associated aggregations remain.
    • "Decommissioned – Available" for submitted receipts in the original location from which the items were received. All associated aggregations remain.

If the exceptions are recorded for a delivery, the exceptions display in the Exception Details table on the Enter Receipt Information tab.

  • Exception ID - The unique SOM Exception ID to identify the exception record.
  • Type - The type of exception.
  • Date Recorded - The date and time when the exception was recorded.
  • Recorded by - The name of the user that recorded the exception.

Default order in the results table is by the Date column (ascending). Sort the results by selecting any column header.

If the exceptions are recorded for a delivery, the exceptions display in the Exception Details table on the Enter Receipt Information tab.

  • Select the Exception ID link in the first column for any row.

    The View Exception screen displays.
