Update serial number status

Pharmaceutical Manufacturers and CMOs can change the status and attributes of serial numbers that have been commissioned to deactivate, decommission, destroy, or encode them.

Update number status

  1. Hover over Modules in the top left of any screen, and then select Serial Number Exchange.
  2. In the Access Functions section, select Update Number Status.
  3. In the 1. Select ServiceLink section, fill in the following field:
    • ServiceLink drop-down – Required. The Serial Number Exchange Link that includes the Owner and the company or location that requests or receives serial numbers.
  4. In the 2. Location Information and Reference Documents section, fill in the following fields:
    1. Location SGLN field – Required. The SGLN of the commissioning location (e.g. 7654321.54321.0).

    2. Production Line ID field – The internal system identifier of the production line.
    3. Line Manager Name field – The name of the person who manages the production line.
    4. PO Number/Line field – The purchase order and line number associated with the serial numbers.

    5. Work Order Number field – The unique identifier associated with the work order.
    6. Reference Identifier field – The internal business identifier.
  5. In the 3. Status Information section, fill in the following fields:
    1. Serial Number Status drop-down – Required. The updated serialization state of the serial number:
      • Deactivated – The serial number is deactivated.
      • Decommissioned – The serial number is disassociated from an item or container and can be used again.
      • Destroyed – The serial number is terminated.
      • Encoded – The serial number is encoded for label or carton pre-printing.
    2. Status Change Reason field – Conditionally required if Serial Number Status is Decommissioned or Destroyed. The reason for the serial number status update.
    3. Attributes radio buttons – Conditionally required if the Serial Number Status is Decommissioned or Destroyed. The predefined reason for the serial number status update, which should align with the Status Change Reason.
      • Damaged – The product is damaged.
      • Dispensed – The product is supplied to a patient.
      • Disposed – The product is destroyed.
      • Expired – The product reached its expiration date.
      • Misplaced – The product is missing.
      • Recalled – The product is recalled by the Pharmaceutical Manufacturer.
      • Sampled – The product is sampled for quality testing.
      • Repackaged – The product is repackaged from a different source product. Available only if Serial Number Status is Deactivated, Decommissioned, or Destroyed.
      • Sampled By Authorities – The product is sampled by government authorities. Available only if Serial Number Status is Deactivated, Decommissioned, or Destroyed.
      • Stolen – The product is missing as a result of theft. Available only if Serial Number Status is Deactivated, Decommissioned, or Destroyed.
      • Withdrawn – The product is removed from the market by the Pharmaceutical Manufacturer. Available only if Serial Number Status is Deactivated, Decommissioned, or Destroyed.
    4. Packaging Code – Conditionally required if the Serial Number Status is set to Encoded. The GTIN, NTIN, or CN-Rescode assigned to a specific level of packaging.
  6. In the 4. Specify Numbers section:
    • Select the Upload Serial Numbers radio button:
      1. Select Choose File.
      2. Browse for and select the desired .csv or .txt file.
      or
    • Select the Scan Serial Numbers radio button and scan serial numbers:
      1. Enter the serial numbers.

        or

      2. Scan the serial numbers with an Edge device.
  7. Deselect Repeat Function After Submit to display the Packaging Events Log after selecting Submit (optional).
  8. Select Submit.

    TraceLink begins processing the request to update the statuses of the serial numbers. Completed requests display in the Packaging Events Log.

    • If the Repeat Function After Submit checkbox is selected, the screen refreshes.
    • If the Repeat Function After Submit checkbox is not selected, the Packaging Events Log screen displays.
