Reconcile serial numbers

Use the Reconcile Serial Numbers menu item to view the current state of serial numbers, sourced from Serial Number Exchange, Serialized Operations Manager, EU Compliance, Russia Compliance, and Master Data Exchange in Track & Trace Services.

The data in Reconcile Serial Numbers can be useful for completing certain supply chain tasks:

  • Warehouse tasks:
    • View information about all serial numbers received in a delivery.
    • View the full packaging hierarchy of a parent container and its children.
    • Identify a returned item with a damaged serial number.

      After identifying the item, go to Review Serial Number Events to view the serial number's event history.

  • Regulatory compliance tasks:
    • Reconcile the status of physical items with the corresponding serial numbers in TraceLink.
    • Reconcile the data in TraceLink against a WMS or ERP system.

Request current serial number status

On the Reconcile Serial Numbers screen, specify search criteria for the serial numbers to request the current state of. TraceLink asynchronously collects data for those serial numbers and displays a search result. After the request completes, open the search result to view the data and apply additional filters.

  1. Select the Main Menu icon .

  2. Select Serialized Product Intelligence.

  3. Select Reconcile Serial Numbers in the side navigation, below Do.

  4. Select the New Search icon in the upper right.

    The Search Criteria dialog box displays with By Product and Lot Number selected on the left.

  5. Enter a Search Name to identify the search later (maximum 100 characters).

  6. Enter the name or identifier of the Product to narrow the data by.
  7. Enter the Lot Number to narrow the data by.
  8. Select Submit.

    The dialog box closes and a search result with a Status of Generating is added to the table. Refresh your browser to display the search results in the table. TraceLink asynchronously processes the request, and the status of the search result changes to Completed when the request finishes.

    The search result is available for 30 days after generation.

    • Status – The status of creating the search results:
      • Generating – The data is currently being requested.
      • Completed – The request for data is complete and the data can be viewed.
      • Failed – There was a problem sourcing the data and the request did not complete.
    • Search Name – A brief description of the search, if provided in the Search Criteria dialog box.
    • Date Created – The date that the data was requested.
    • Search Criteria – The values specified to narrow the data in the Search Criteria dialog box.
    • Serial Numbers – The quantity of serial numbers included in the search result.

  1. Select the Main Menu icon .

  2. Select Serialized Product Intelligence.

  3. Select Reconcile Serial Numbers in the side navigation, below Do.

  4. Select the New Search icon in the upper right.

    The Search Criteria dialog box displays.

  5. Select By Serial Number on the left.

  6. Enter a Search Name to identify the search later (maximum 100 characters).

  7. Select one of the following to specify the Serial Numbers to narrow the data by (maximum 50,000 serial numbers):

    • Select Upload Serial Numbers:
      1. Select Choose File.
      2. Select the CSV file with the serial numbers to upload.

        The CSV file must be smaller than 50MB and cannot contain headers. Only 1 file can be uploaded per session.

    • Select Enter Serial Numbers:
      • Enter the Serial Numbers.

        or

      • Scan the Serial Numbers with an external scanner.

    Search for a parent container serial number to view the state of the parent and all children in the packaging hierarchy.

  8. Select Submit.

    The dialog box closes and a search result with a Status of Generating is added to the table. Refresh your browser to display the search results in the table. TraceLink asynchronously processes the request, and the status of the search result changes to Completed when the request finishes.

    The search result is available for 30 days after generation.

    • Status – The status of creating the search results:

Search by partial serial number to find serial numbers that are not fully readable.

  1. Select the Main Menu icon .

  2. Select Serialized Product Intelligence.

  3. Select Reconcile Serial Numbers in the side navigation, below Do.

  4. Select the New Search icon in the upper right.

    The Search Criteria dialog box displays.

  5. Select By Partial Serial Number on the left.

  6. Enter a Search Name to identify the search later (maximum 100 characters).

  7. Enter the name or identifier of the Product to narrow the data by.
  8. Enter the Lot Number to narrow the data by.
  9. Select one of the following to specify the Serial Numbers to narrow the data by (each serial number must include at least 6 adjoining characters, maximum 50 serial numbers):
    • Select Upload Serial Numbers:
      1. Select Choose File.
      2. Select the CSV file with the serial numbers to upload.

        The CSV file must be smaller than 50MB and cannot contain headers. Only 1 file can be uploaded per session.

    • Select Enter Serial Numbers:
      • Enter the Serial Numbers.

        or

      • Scan the Serial Numbers with an external scanner.
  10. Select Submit.

  6. Enter a Search Name to identify the search later (maximum 100 characters).

  7. Select the Transaction Identifier Type to narrow the data by (e.g. Bill of Lading) (optional).
  8. Enter the Transaction Identifier Value to narrow the data by.
  9. Select Submit.

    The dialog box closes and a search result with a Status of Generating is added to the table. Refresh your browser to display the search results in the table. TraceLink asynchronously processes the request, and the status of the search result changes to Completed when the request finishes.

    The search result is available for 30 days after generation.

Dashboard view

The dashboard view shows a summary of the data, providing a visualization of the current state of the serial numbers:

  • The Serial Number and Item Status chart shows the quantity of serial numbers by most recent serialization and item state.
  • The Serial Number Details chart shows the quantity of serial numbers by most recent compliance report type, shipment, and reason code.

  1. Select the Main Menu icon .

  2. Select Serialized Product Intelligence.

  3. Select Reconcile Serial Numbers in the side navigation, below Do.
  4. Select the View icon for the search result with the data to view.

    Tips:

    • Enter a keyword in the Filter By field to locate the search result in the table.
    • Search results are available for 30 days after generation.

    The dashboard view displays by default with the Dashboard View icon selected in the upper right. The Search Criteria section displays the original values specified to narrow the data.

  • Select a card in the Products section to view data for that product only. To locate and select a product card, enter its name in the Product field.
    • Product Name – The name of the product.
    • Serial Numbers – The quantity of serial numbers for this product returned by the search.
    • Description – The description of the product.
    • Dosage Form – The form the product is dispensed in (e.g. tablet or pill).
    • Item Code – The item codes (i.e. Internal Material Number or Country Drug Code) that identify the product.
    • Package Size – The number of individual doses in the pack.
    • Strength – The strength of the product (e.g. 100 mg).
    • Lots – The quantity of lots that contain the serial numbers for this product.
    • Packaging Code/UOM – Select Show along the bottom of the card to access this field. Displays the packaging code for each unit of measure (UOM) specified for the product.
  • Select a tab on the left of the Serial Number Details chart to adjust the view of the data.
  • To view the dates when the serial numbers were updated, select Show Event Dates in the lower right of the Serial Number Details chart.
  • To view more details about a specific data point in a chart, select the data point, and then select View Data.

Table view

The table view shows data for each serial number and allows for additional filtering to explore the data further.

  1. Select the Main Menu icon .

  2. Select Serialized Product Intelligence.

  3. Select Reconcile Serial Numbers in the side navigation, below Do.
  4. Select the View icon for the search result with the data to view.

    Tips:

    • Enter a keyword in the Filter By field to locate the search result in the table.
    • Search results are available for 30 days after generation.

  5. To view all data in the table, select the Table View icon in the upper right.

    or

    To view specific data in the table, select a data point in a chart, and then select View Data.

To filter data by a keyword

  • Enter Keywords in Filter By to return only rows that contain that text.

To filter data by specific values

  1.  Select Show Additional Filters and fill in the following fields to further filter the results:
    1. Filter By drop-down – The type of value to filter for (e.g. Lot Number).
    2. Value field – The value to view data for (e.g. Last Week).
  2. Select Add Another Filter to specify another filter option.

    Select the Remove icon to remove filter criteria.

  3. Select Apply.

    The results display in the table.

    • Serial Number – The serial number that the data applies to.
    • Parent Serial Number 1 – The container that holds the Serial Number (e.g. if the Serial Number is an each, Parent Serial Number 1 could be an inner pack).
    • Parent Serial Number 2 – The container that holds Parent Serial Number 1 (e.g. if Parent Serial Number 1 is an inner pack, Parent Serial Number 2 could be a case).
    • Parent Serial Number 3 – The container that holds Parent Serial Number 2 (e.g. if Parent Serial Number 2 is a case, Parent Serial Number 3 could be a pallet).
    • Serial Number Status – The current status of the Serial Number (e.g. Commissioned).
    • Item Status – The current status of the serialized item that the Serial Number represents (e.g. Available).
  1. Select the Export icon to export the messages.

    TraceLink begins generating the CSV file with the data displayed in the table. It is available in the Notifications panel when it is ready.

    You also receive an email when the CSV file is ready.

The following values display by default:

  • Serial Number – The serial number that the data applies to.
  • Parent Serial Number 1 – The container that holds the Serial Number (e.g. if the Serial Number is an each, Parent Serial Number 1 could be an inner pack).
  • Parent Serial Number 2 – The container that holds Parent Serial Number 1 (e.g. if Parent Serial Number 1 is an inner pack, Parent Serial Number 2 could be a case).
  • Parent Serial Number 3 – The container that holds Parent Serial Number 2 (e.g. if Parent Serial Number 2 is a case, Parent Serial Number 3 could be a pallet).
  • Serial Number Status – The current status of the Serial Number (e.g. Commissioned).
  • Item Status – The current status of the serialized item that the Serial Number represents (e.g. Available).

Select the Expand icon to view the following values:

  • Reason Code – The reason for the most recent status update to the serial number.
  • Item Code Type – The identifier type associated with the Item Code (e.g. Internal Material Number).
  • Item Code – The identifier value for the serial number's product.
  • Packaging Code Type – The identifier type associated with the Packaging Code (e.g. GTIN-14).
  • Packaging Code – The identifier value for the serial number's packaging level.
  • Packaging UOM – The unit of measure that the Packaging Code is for (e.g. Each).
  • Company Prefix – The company prefix included in the Packaging Code. Displays a value only if the Serial Number is an SSCC.
  • Lot Number – The lot number that the serial number is part of.
  • Expiration Date – The expiration date associated with the Lot Number.
  • Manufacturing Date – The official date provided in the commissioning event.
  • Initial Commission Location ID – The identifier of the location where the serial number was commissioned.
  • Initial Commission Location Name – The name of the location where the serial number was commissioned.
  • Last Delivery Number – The delivery number of the most recent shipment that the serial number was part of.
  • Last Delivery Date – The date of the most recent shipment that the serial number was part of.
  • Last Compliance Report Type – The type of EU Compliance report that the serial number was most recently documented in (e.g. EU Compliance Export - Update Product Pack State).
  • Last Compliance Report Date – The date that the Last Compliance Report Type was generated.
  • Quality Release – Indicates whether the serial number belongs to a lot that has been part of a product release. Displays as Y or N (i.e. Yes or No).
