Define roles

A solution's roles control users' level of access to tasks in the side menu, API actions, and data. For example, roles can limit the tasks available to users in the side menu or prevent users from seeing certain types of data in tables and charts. The roles that the solution uses can be assigned to users in Administer when the solution is applied to an app or network.

Select roles for the solution

Roles are one of the assets that solutions use, which means that they are added independently of a solution and can be reused across many solutions. Connect roles to the solution to determine which roles the solution uses.

Roles—with their associated permissions—can be shared across solutions within an environment, as long as the solutions are for the same app. For example, Role X can be used by both Solution A and Solution B, as long as Solution A and Solution B are both for the same app.
  1. Select Customize in the side menu.
  2. Select Solutions.
  3. Select the Application with the solutions to view.
  4. Select the Action icon for the solution on the Installed Solutions tab.
  5. Select Edit.
  6. Select Role.

    Select Show Studios if the Role tab does not display.

    The Roles section displays all of the roles currently in use by the solution.
  7. Select the Connect Roles icon in the Roles section.
    The Connect Roles panel displays with all roles available for the app in the environment that are not already connected to the solution.
  8. Select the roles to use in the solution.
  9. Select Connect.
    The solution uses the selected roles, which display in the Roles section.
  1. Select Customize in the side menu.
  2. Select Solutions.
  3. Select the Application with the solutions to view.
  4. Select the Action icon for the solution on the Installed Solutions tab.
  5. Select Edit.
  6. Select Role.

    Select Show Studios if the Role tab does not display.

    The Roles section displays all of the roles currently in use by the solution.
  7. Select the Disconnect Role icon for the role to remove from the solution.
  8. Select Disconnect in the confirmation dialog.

    The solution no longer uses the selected role.

Add roles and select their permissions

  1. Select Customize in the side menu.
  2. Select Solutions.
  3. Select the Application with the solutions to view.
  4. Select the Action icon for the solution on the Installed Solutions tab.
  5. Select Edit.
  6. Select Role.

    Select Show Studios if the Role tab does not display.

    The Roles section displays all of the roles currently in use by the solution.
  7. Select the Add Role icon in the Roles section.
  8. Fill in the fields in the New Role panel:
    • Role Name field – Required. The name for the role, which must be unique across all roles for the app in the environment.
    • Description field – Required. The description for the role.
  9. Select Add.

    The role is added, and the solution uses the new role, which displays in the Roles section.

  10. Select permissions for the role to define the role's access.
  1. Select Customize in the side menu.
  2. Select Solutions.
  3. Select the Application with the solutions to view.
  4. Select the Action icon for the solution on the Installed Solutions tab.
  5. Select Edit.
  6. Select Role.

    Select Show Studios if the Role tab does not display.

    The Roles section displays all of the roles currently in use by the solution.
  7. Select the Copy icon for the role to copy.
  8. Fill in the fields in the Copy Role panel:
    • Role Name field – Required. The name for the role, which must be unique across all roles for the app in the environment.
    • Description field – Required. The description for the role.
  9. Select Add.

    The role is added, and the solution uses the new role, which displays in the Roles section.

  10. Select permissions for the role to define the role's access.
  1. Select Customize in the side menu.
  2. Select Solutions.
  3. Select the Application with the solutions to view.
  4. Select the Action icon for the solution on the Installed Solutions tab.
  5. Select Edit.
  6. Select Role.

    Select Show Studios if the Role tab does not display.

    The Roles section displays all of the roles currently in use by the solution.
  7. Select the role with the permissions to modify.
  8. Select permissions for the role in the Permissions section to determine the side menu items, API actions, and data available to users with the role.
  9. Select Save.
    The permissions for the selected role are saved.
