Ocean bill of ladings

An Ocean Bill of Lading is a document used in international maritime shipping to record the details of goods transported by sea. It is issued by the ocean carrier or its agent to the shipper and serves as a formal record of the shipment. The Ocean Bill of Lading performs three key functions: it acts as a receipt of goods, a contract of carriage between the shipper and carrier, and, in many cases, a document of title that can be used to transfer ownership of the goods.

Create and submit ocean bill of ladings

Perform this task to create and submit new ocean bill of lading. Additionally, carrier can begin work on a ocean bill of lading and save it for completion at a later time.

  1. Select the Main Menu icon.
  2. Select My Networks in the header.
  3. Select a [MPL Network] from the Select your Network drop-down in the header.
  4. Select a Partner or Location (e.g. your entire company or a Link to a specific Partner or internal location) in the header.
  5. Select the Go button.
  6.  Select Transportation - Carrier from the left menu.
    Partners must have the correct roles assigned if using the Owner's instance of Multienterprise Information Network Tower.

  7. Select Ocean Bill Of Ladings.

  8. Select the New button.
  9. On the New Ocean Bill Of Lading screen, fill in the following fields:
    1. Ocean Bill Of Lading Number field – The unique identifier assigned to the ocean bill of lading document.
    2. Ocean Bill Of Lading Date field – The date the ocean bill of lading was issued.

  10. Select the Save button.

    The screen refreshes with the saved ocean bill of lading in the draft state and with the required sections populated.

  11. Select the Edit button.

  12. In the Transaction Information section, select Submitted from the Process Status drop drown.
  13. In the Ocean Bill Of Lading Information section fill in the following fields:
    1. Ocean Bill Of Lading Number field – The unique identifier assigned to the ocean bill of lading document.
      This field auto populates the value entered New Ocean Bill Of Lading screen.
    2. Ocean Bill Of Lading Date field – The date when the ocean bill of lading was issued.
      This field auto populates the value entered New Ocean Bill Of Lading screen.
    3. Freight Invoice Shipment Type drop-down – Specifies shipment relationship such as single shipment or seaway bill.
    4. Shipment Charge Payment Method Type drop-down – Indicates how shipment delivery charges are to be paid.
    5. Net Amount Due field – Total amount payable by the responsible party.
    6. Carrier Code field – The standard carrier identification code, typically SCAC.
    7. Weight Unit Type drop-down – Specifies the unit of measure used to record shipment weight.
    8. Services Tariff Code drop-down – Specifies the code identifying contracted service type and tariff applied.
    9. Transport Service Type drop-down – The scope or mode of transportation service provided.
    10. Bill Of Lading Number field – The official reference number of the bill of lading document.
    11. Document Status field – The current life cycle status of the bill of lading.
    12. Document Status Agency field – The agency responsible for maintaining document status codes.
    13. Is Electronic Document switch – Indicates whether the document is electronically issued.
    14. Is To Order switch – Indicates if bill of lading is issued to order.
    15. Is Bol Shipped On Board switch – Indicates whether cargo has been shipped on board vessel.
    16. Shipped Date field – The date goods were shipped from origin.
    17. Estimated Date field – The estimated date of shipment or arrival event.
    18. Actual Date field – The actual confirmed date of shipment or arrival event.
    19. Delivery Date field – The date goods were delivered to final destination.
    20. Document Date field – The date associated with the document issuance.
    21. Sailing Date field – The date vessel departed from port of loading.
    22. BOL Date field – The official date printed on the bill of lading.
    23. Currency Code drop-down – The code representing the currency.
    24. Shipment Priority drop-down – The urgency level of the shipment service.
    25. Service Requirement Code field – The code identifying additional transportation service requirements.
    26. Transport Contract Number field – The reference number of the governing transport contract.
    27. Shipment Cargo Type field – The classification describing the type of cargo transported.
    28. Freight Contract Reference Number field – The identifier referencing the applicable freight contract.
    29. VAT Registration Number field – The tax registration number for value-added tax purposes.
    30. Action drop-down – A brief description stating the purpose of the transaction.
  14. In the Reference Transactions section:
    1. Select the Addicon and fill in the following fields:
    2. In the New Reference Transaction panel, fill in the following fields under Reference Transaction Information section:
      1. Transaction Type drop-down – The type of transaction.
      2. Transaction Value type-ahead field – The unique identifier of the transaction.
        If the value does not match the available options, the value must be entered manually.
      3. Transaction Date field - The transaction date.
    3. Select Apply.

      The new reference transaction line item is added to the transaction reference table.

  15. In the Contact Information section:
    1. Select the Addicon.
    2. In the New Contact Information panel, fill in the following fields under Contact Information section:
      1. Contact Type drop-down – The code identifying the type or role of the contact person.
      2. Contact Name field – The full name of the contact person for communication.
      3. Contact Title field – The job title or designation of the contact person.
      4. Contact Phone field – The telephone number of the contact person.
      5. Contact Email field – The email address of the contact person.
    3. Select Apply.

      The new contact information line item is added to the contact information table.

  16. In the Vessel Details section, select the Addicon and fill in the following fields:
    1. Vessel Identifier field – The unique identifier assigned to the vessel.
    2. Vessel Name field – The official name of the vessel registered for transport.
    3. Country Code drop-down – The two-letter ISO country code of vessel registration.
    4. Voyage Identifier field – The unique reference number assigned to the voyage.
    5. Carrier Code field – The standard carrier identification code, typically SCAC.
    6. Vessel Code Type drop-down – The code specifying the type of vessel identification system used.
  17. In the Port Details and Schedule Information section, fill in the following fields under Location Details section:
    1. Port Or Terminal Function Code drop-down – The code defining the role of the port or terminal in shipment.
    2. Ocean Shipment Location Identifier field – The unique identifier representing the shipment location.
    3. Port Name field – The name of the port associated with the shipment.
    4. Country Code drop-down – The two -letter ISO country code of the location.
    5. Terminal Name field – The name of the terminal within the port facility.
    6. State field – The state or province code of the location.
    7. Estimated Date field – The planned or estimated date of the event.
    8. Actual Date field – The confirmed or actual date of the event occurrence.
    9. Estimated Departure Date field – The planned or estimated date of departure from the port.
    10. Actual Departure Date field – The actual or confirmed departure date from the port.
    11. Estimated Arrival Date field – The planned or estimated date of arrival at the destination port.
    12. Actual Arrival Date field – The actual or confirmed arrival date at the destination port.
    13. Customs Clearance Date field – The date when customs clearance was completed.
    14. Vessel Loaded Date field – The date when cargo was loaded onto the vessel.
    15. Customs Entry Date field – The date when customs entry was officially filed.
    16. Packed Date field – The date when goods were packed for shipment.
  18. In the Equipment and Container Information section:
    1. Select the Addicon.
    2. In the New Equipment And Container Information panel, fill in the following fields under Equipment And Container Information section:
      1. Number Of Containers field – The total number of containers included in the shipment.
      2. Freight Container Type drop-down – The type of freight container or equipment requested.
      3. Transport Service Type drop-down – The type of transportation service provided for the shipment.
      4. Equipment Type ISO Code field – The ISO standardized code identifying the equipment type.
      5. Transport Method drop-down – The mode of transport used for the shipment.
      6. Handling Code drop-down – The code specifying special handling requirements for the shipment.
      7. Carrier Code field – The standard carrier identification code, typically SCAC.
      8. Application Tariff Code drop-down – The code identifying applicable tariff classification.
      9. Lading Item Number field – The sequential number assigned to the lading item.
      10. Commodity Description field – The description of the commodity being transported.
      11. Commodity Code field – The code identifying the specific commodity classification.
      12. Commodity System Type drop-down – The coding system used to classify the commodity.
      13. Lading Package Type drop-down – The code describing the packaging type of the lading item.
    3. Select Apply.

      The new equipment and container information line item is added.

  19. In the Payment Information section:
    1. Select the Addicon.
    2. In the New Payment Information panel, fill in the following fields under Payment Information section:
      1. Line Item Number field – The sequential number assigned to the related line item.
      2. Freight Rates Charges Identifier field – The identifier describing the freight rate or charge type.
      3. Freight Rate field – The rate applied for freight calculation purposes.
      4. Freight Rate Type drop-down – The code indicating the basis on which rate is applied.
      5. Freight Invoice Charge Type drop-down – The code identifying the specific freight charge category.
      6. Total Charges field – The total calculated charges for the line item.
      7. Currency Code drop-down - The two-letter ISO currency code for the monetary amount.
      8. Rate Class Code drop-down – The code identifying the applicable tariff or rate class.
      9. Charge Payment Method drop-down – The method used to settle the freight charge.
      10. Code List Identifier field – The identifier of the referenced code list source.
      11. Agency Code field – The code identifying the responsible issuing agency.
    3. Select Apply.

      The new payment Information line item is added.

    4. Select a payment line row and then select the branch icon and fill in the following fields under Pricing And Quantity Information section:
      1. Pricing Type drop-down – The code identifying the type or basis of pricing applied.
      2. Pricing Amount field – A monetary amount defined for the specified pricing type.
      3. Pricing Type Quantity field – The quantity associated with the defined pricing type.
      4. Unit Of Measure drop-down – The unit of measure applicable to the pricing quantity.
    5. Select Apply.
      The pricing and quantity information line item is added.
    6. Select the payment Information line row drop down to view the pricing and quantity information in a table.
  20. In the Transport Stage Location Details section:
    1. Select the Addicon and fill in the following fields under Ocean Transport Stage Locations section:
      1. Carrier Sequence Code drop-down – The code identifying the sequence of carriers in the shipment route.
      2. Voyage Identifier field – The unique reference number assigned to the voyage.
      3. Description field – A brief description of the transport stage details.
      4. Transport Method drop-down – The mode of transport used for the shipment movement.
      5. Carrier Code field – A standard carrier identification code, typically SCAC.
      6. Carrier Name field – The official name of the carrier providing transportation service.
      7. Transport Means Identifier field – The Identifier assigned to the transport means, such as vessel number.
      8. Vessel Name field – The official registered name of the vessel.
      9. Country Code drop-down – The ISO two-letter country code of vessel registration.
      10. Carrier Code List Identifier field - The identifier of the code list used for carrier codes.
      11. Carrier Agency Code field - The code identifying the agency responsible for carrier code list.
    2. Select the Carrier Agency Code drop-down and in the Sub Line Transport Stage Location Details section, select the Addicon and fill in the following fields:
      1. Port Or Terminal Function Code drop-down – The code defining the role of the port or terminal in shipment.
      2. Ocean Shipment Location Code drop-down – The code indicating the type of shipment location identifier used.
      3. Ocean Shipment Location Identifier field – The unique identifier representing the shipment location.
      4. Port Name field – The name of the port related to the shipment movement.
      5. Country Code field – The two-letter country code with country name for this location.
      6. Terminal Name field – The name of the terminal within the port facility.
      7. Pier Identifier field – Identifier assigned to the pier at the terminal.
      8. State field – The state or region for this location.
  21. In the Carrier and Shipper section, fill in the following fields under Carrier group:
    1. Company type-ahead field – The name of the company receiving the ocean bill of lading. This company is customer of goods. This field pulls from the Owner's company and location master data.

      The remaining Carrier fields are auto populated with the values from the company or location's master data entry. If the name of the company is not present in the Owners master data, the company name must be entered manually.

    2. Address 1 field – The address of the particular location.
    3. Address 2 field – Any additional address information.
    4. Country drop-down – The two-letter country code with country name for this location.
    5. State field – The state or region for this location.
    6. City field – The city for this location.
    7. Postal Code field – The postal code for this location's main address.
    8. Contact Telephone Number field – The company or location's phone number.
    9. Contact Fax Number field – The company or location's fax number

    6. Select the line level location details information row drop down to view the ocean bill of lading sub line location details information in a table.
  30. In the Ocean Bill Of Lading Weight Charges Summary section, select the Addicon and fill in the following fields:
    1. Freight Rate field – The code that identifies an additional or non-standard charge applied to the shipment.

    2. Freight Rate Type drop-down – The value of weight at delivery.

    3. Total Charges field – The classification of the quantity being reported for a product line item.
    4. Advance Payment field – The portion of the total charges that has been paid in advance of shipment or service delivery.
    5. Prepaid Amount field – The type of volume recorded in shipment.

    6. Special Charge Code drop-down – Specifies the basis or method used to calculate freight charges for a shipment.

    7. Tariff Identifier field – The type of weight recorded in shipment.

    8. Weight Unit Type drop-down – A payment made before goods are shipped or services are delivered.

    9. Quantity Type drop-down – The unit type of weight value at delivery.

    10. Quantity Value field – The value of volume recorded in shipment.

    11. Weight Type drop-down – The total amount billed for a shipment, including the base freight rate plus all surcharges, fees, and adjustments.

    12. Weight Value field – The code or name of the tariff used to determine applicable freight rates or charges for the shipment.

    13. Volume Type drop-down – The cost charged by a carrier to transport goods from one location to another.

    14. Volume Value field – The code or name of the tariff used to determine applicable freight rates or charges for the shipment.
  31. In the Ocean Bill Of Lading Freight Charges Summary section, select the Addicon and fill in the following fields:

    1. Line field – The date on which a referenced value, such as a document, condition, or currency exchange rate, becomes effective or expires.

    2. Freight Rates Charges Identifier field – The conversion or exchange rate of the currency referenced.

    3. Freight Rate field – The unit of price basis quantity.

    4. Freight Rate Type drop-down – Percentage rate for cash discount, allowance, promotion, service or charge.

    5. Total Charges field – The credit charge condition type.

    6. Currency Code drop-down – The amount qualifying for cash discount, allowance, promotion, service or charge.

    7. Advance Payment field – A brief description of credit or charge.

    8. Prepaid Amount field – The base value for credit or charge.

    9. Rate Combination Point Code drop-down – The currency code for credit or charge.

    10. Special Charge Code drop-down – Method of handling for discount or charge.

    11. Charge Entitlement Party drop-down – Code representing type of credit or charge.

    13. Description field – The code that identifies the currency used to define or apply an exchange rate in a transaction.

  32.  In the Notes section, select the Addicon to enter any additional comments or instructions.
  33. To submit the ocean bill of lading:
    To save the ocean bill of lading in a Draft state and finish it later, ensure the Move To button is not selected and then select the Save button in the draft state.

    1. Select the Move To button at the top of the screen.

      The submit status indicator circle is filled in with green to indicate the desired action upon selecting save.

    2. Select the Save button.

      The ocean bill of lading is submitted.

Tips

  • Select the Addicon, to add a new line item, where available.

  • Select the Deleteicon, to remove an individual line item, where available.

  • Select the branch icon, to add a new line item in the inserted table, where available.

  • New ocean bill of ladings can also be created by selecting the New button on the Ocean Bill Of Ladings Details screen for an existing ocean bill of lading.

 Complete and submit a saved ocean bill of lading in the draft state.

  1. Select the Main Menu icon.
  2. Select My Networks in the header.
  3. Select a [MPL Network] from the Select your Network drop-down in the header.
  4. Select a Partner or Location (e.g. your entire company or a Link to a specific Partner or internal location) in the header.
  5. Select the Go button.
  6.  Select Transportation - Carrier from the left menu.
    Partners must have the correct roles assigned if using the Owner's instance of Multienterprise Information Network Tower.

  7. Select Ocean Bill Of Ladings.

  8. Select the Filter button to find the ocean bill of lading in Draft state.

  9. Select the Ocean Bill Of Lading Number link in the results table.

  10. Select the Edit button.

  11. In the Transaction Information section, select Submitted from the Process Status drop drown.
  12. Confirm the ocean bill of lading details and select the Edit icon associated with that line item to modify the fields if required. See Create and submit a new ocean bill of lading for detailed field description of ocean bill of ladings.

  13. Select the Move To button at the top of the screen.

    The submit status indicator circle is filled in with green to indicate the desired action upon selecting save.

  14. Select the Save button.

    The ocean bill of lading is submitted.

Tips

  • Select the ocean bill of lading number row and then select the Delete icon on the top of the Search Ocean Bill Of Lading screen, to delete the ocean bill of lading in draft state.

A deleted transaction cannot be retrieved.

Search and view ocean bill of ladings

Perform this task to search for and view the details of the ocean bill of ladings sent or received by shippers and carriers. Viewing the details of a ocean bill of ladings enable shippers and carriers to quickly access order information (e.g. the quantity for each line item in an order) in TraceLink without having to search through the actual B2B message.

  1. Select the Main Menu icon.
  2. Select My Networks in the header.
  3. Select a [MPL Network] from the Select your Network drop-down in the header.
  4. Select a Partner or Location (e.g. your entire company or a Link to a specific Partner or internal location) in the header.
  5. Select the Go button.

  6. Select Transportation - Carrier or Transportation - Shipper from the left menu.

    Partners must have the correct roles assigned if using the Owner's instance of Multienterprise Information Network Tower.
  7. Select Ocean Bill Of Ladings.
  8. Select the Filter button.
  9. Fill in one or more of the following fields to filter the results:
    1. Ocean Bill Of Lading Number field – The unique identifier assigned to the ocean bill of lading document.
    2. Ocean Bill Of Lading Date field – The date when the ocean bill of lading was issued.
    3. Carrier Code field – The standard carrier identification code, typically SCAC.

    4. State drop-down – The state of the ocean bill of lading: 

      • Draft – The transaction is in the draft state.
      • Submit – The transaction has been created.
      • Processing – The application is getting ready to handle incoming transactions by doing some initial tasks, such as copying the files it receives.
      • Processed – The application changes the standard information into a format that is easy to use and specific to your transaction.
      • Preparing to Send – The application is getting ready to send out a transaction and is doing some initial tasks, like copying the necessary information for the process.
      • Sending –The application sends out business transactions to the buyer or supplier.
      • Sent – The transaction is successfully completed and shared with the receiving party.
    5. Shipper type-ahead – Displays only if the menu item is Sent Ocean Bill Of Ladings in Transportation - Carrier. The name of the company the ocean bill of lading was sent to.
      If the name of the company is not present in the Owners master data then the company's name must be entered manually.
    6. Carrier type-ahead – Displays only if the menu item is Received Ocean Bill Of Ladings in Transportation - Shipper. The name of the company the ocean bill of lading was received from.
      If the name of the company is not present in the Owner's master data then the company's name must be entered manually.
    7. Last Modified drop-down – The period of time in which the ocean bill of lading was last updated:
      • Today – The transaction was modified within the last few hours.
      • Yesterday – The transaction was updated within the past 24 hours.
      • Last Week – The transaction was modified in the last 7 days.
      • Last Month – The transaction was modified in the last 30 days.
      • Last 3 Months – The transaction was modified in the last 90 days.
      • Last 6 Months – The transaction was modified in the last 180 days.
      • Custom Range – Select a specific period of time that the transaction was modified in from the calendar.

  10. Select Apply.

    A list of ocean bill of ladings displays based on the filter results.

  11. Select the link for the ocean bill of lading from the results table.

    The View Ocean Bill Of Ladings screen displays.

  12. To view all fields for each line item, select the View icon on the Ocean Bill Of Ladings Details screen.

Reprocess and Resubmit ocean bill of ladings

After the ocean bill of lading is submitted, the user might encounter an error and the processed status will be set to Paused With Error. Use the following procedure to resolve any error messages encountered while submitting a ocean bill of lading.

  1. Select the Main Menu icon.
  2. Select My Networks in the header.
  3. Select a [MPL Network] from the Select your Network drop-down in the header.
  4. Select a Partner or Location (e.g. your entire company or a Link to a specific Partner or internal location) in the header.
  5. Select the Go button.
  6.  Select Transportation - Carrier from the left menu.
    Partners must have the correct roles assigned if using the Owner's instance of Multienterprise Information Network Tower.

  7. Select Ocean Bill Of Ladings.

  8. Select the Filter button to find the ocean bill of lading in Processing, Processed, Preparing to Send, or Sending state.
  9. Select the Ocean Bill Of Lading Number link in the results table.
  10. View the following fields for error in the Transaction Information section: 
    • Process Status - Displays the status of the submitted transaction.
    • Last Transaction Error - Displays the error message.
  11. Select the Edit button..
  12. In the Transaction Information section, select Submitted from the Process Status drop drown.
  13. Select the Save button.
    The ocean bill of ladings request is moved from Processing state to Sending state indicating that the ocean bill of lading is submitted successfully.

Do not select the Move To button, as it will cause the transaction to skip a workflow state, preventing successful delivery.

If a transaction is successfully sent to a partner but an issue occurs on the partner's side (e.g. in their ERP system), the sender can avoid re-entering all the details by rolling back to a previous workflow state and resending the transaction, thus saving time and effort for both parties.

  1. Select the Main Menu icon.
  2. Select My Networks in the header.
  3. Select a [MPL Network] from the Select your Network drop-down in the header.
  4. Select a Partner or Location (e.g. your entire company or a Link to a specific Partner or internal location) in the header.
  5. Select the Go button.
  6.  Select Transportation - Carrier from the left menu.

  7. Select Ocean Bill Of Ladings.

  8. Select a Ocean Bill Of Lading Number in Sent state.

  9. Select the Edit button.

    The state of the ocean bill of lading is automatically moved to Sending state.

  10. Select the Move To button at the top of the screen.

    The submit status indicator circle is filled in with green to indicate the desired action upon selecting save.

  11. Select the Save button.

    The ocean bill of lading is submitted.
