How-Tos for All Apps

Search Apps

  1. Select Applications from the Management landing page.

    or

    Expand the Management Navigation in the header of any screen, and select Applications.

  2. Select the Search icon () on the left to reveal the search fields.

  3. Fill in one or more of the following search fields:
    • Keywords – Part of an app name or Owner name.
    • Application – Apps available (defaults to All and options only include apps where the user is the Manager).
    • My Company's Role – Indicates the company's role within TraceLink.
      • All 
      • Owner – Apps in which the user's company is the Owner.
      • Partner – Apps in which the user's company is a Partner.
    • Linked Entity Type – The entity type of the linked Partner.
      • All
      • Company – Partners linked to the app as a company.
      • Location – Partners linked to the app as a location. Only available if My Company's Role is Partner.
  4. Select Search.

    The results display in the table.

  • To see the members within the company who are linked to the app, select the View Company Members icon in the Actions column.
  • To see the Partners who are linked to the app, select the Partners icon in the Actions column for any app where My Company's Role is Owner.

  1. Select Applications from the Management landing page.

    Expand the Management Navigation in the header of any screen, and select Applications.

  2. Search for the correct app.
  3. Select the View Company Members icon in the Actions column.
  4. Select Member.
  5. Enter the new member's Email address in the dialog box.
  6. Select Submit.

    The dialog box closes, and the company member receives an email with the Link invitation. The member must accept the Link invitation to join the app.

  • Owners can add their company members to apps they own.
  • Partners can add their company members to an app that the company or location links to.
  • To remove an active member from the app, and select the Remove icon in the Actions column for any row with an Active Status, and then select Remove in the dialog box.
  • To resend an invitation, select the Resend Invitation icon in the Actions column for any row with an Invited Status, and then select Submit in the dialog box.
  • To cancel an invitation, select the Cancel Invitation icon in the Actions column for any row with an Invited Status, and then select Yes in the dialog box.

Add a New Partner

  • Companies must be added on the Company Administration > Partners screen.
  • Internal locations must be added to Company Master Data, enabled in Company Administration > Manage Locations, and list an identifier on the Company Administration > Manage Partners > Set Identifiers screen.
  • External Partner locations must list an identifier in the Partner company's entry on the Company Administration > Manage Partners > Set Identifiers screen, and a Company Administrator from the Partner company must enable the location in Company Administration > Manage Locations.

    Expand the Management Navigation in the header of any screen, and select Applications.

  2. Select the Partners icon in the Actions column for any app where My Company's Role is Owner.
  3. Select Partner.
  4. Enter the Company to link to the app. Users can enter their own company (to link internal locations as Partners) or a Partner company.

    If the desired company does not display in the type-ahead field, the company must be added on the Company Administration > Manage Partners screen.

  5. Select the specific Entity to link.

    If the desired location does not display in the drop-down, check the following:

    • Internal locations must be added to Company Master Data, enabled in Company Administration > Manage Locations, and list an identifier on the Company Administration > Manage Partners > Set Identifiers screen.
    • External Partner locations must list an identifier in the Partner company's entry on the Company Administration > Manage Partners > Set Identifiers screen, and a Company Administrator from the Partner company must enable the location in Company Administration > Manage Locations.
  6. Enter the email of the TraceLink Member at the Partner company or location who receives the Link invitation in the Manager Email field.
  7. Select Submit.

    The Partners screen displays, and TraceLink sends a Link invitation to the Partner.

    The Manager receives an email and must accept the link invitation on behalf of the Partner company or location in Application Settings > Link Invitations. The Manager can then give other Members at the Partner company or location access to the app.

  • Managers for each app can be changed, added, or removed in Company Administration.

Create a Trade Partner Report

  1. Select Partner Reports from the Management landing page.

    or

    Expand the Management Navigation in the header of any screen, and select Partner Reports.

  2. Select Report.
  3. Select the Application that the Partners in the report link to.
  4. Enter the Linked/Invited Date Range (optional):
    1. Start – Filter reports to only include information for Partners that link, or were invited to link, to the selected app on or after this particular time period.
    2. End – Filter reports to only include information for Partners that link, or were invited to link, to the selected app on or before this particular time period.
  5. Select the Partner's Link Status within the app from the drop-down (optional):
    • All
    • Active – Partner is active.
    • Cancelled – Either the Owner or the Partner has canceled the Link Request.
    • Invitation Pending – User has not yet accepted the Owner's invitation to become a Partner.
    • Request Pending – Owner has not yet accepted the TraceLink Member's request to become a Partner.
  6. Select Submit.

    The dialog box closes, and TraceLink begins asynchronously generating the report. Users receive an email notification when the report is ready to download.

  • To download the report after it generates, select the link in the File Name column of the Partner Reports screen.
  • See the Partner Reports screen for the report's format.

Accept or Decline a Link Request

  • A Member on the TraceLink Network sends a request from Community to link to a specific app.
  1. Select the Accept Link icon in the Actions column.
  2. Select Link in the dialog box.

    The dialog box closes, and TraceLink sends an email to the requesting Member.

  1. Select the Decline Link icon in the Actions column.
  2. Select Decline in the dialog box.

    The dialog box closes, and TraceLink sends an email to the requesting Member with the declined invitation.

  • If the request establishes a new Link with the Partner, then the requesting Member becomes the Partner company's Manager for this Link.
  • If the Link already exists between the Owner and the requesting Member's company, the Member gains access to the Link (and the corresponding app) as part of the Partner company.
