Create an Inventory Report

  1. Select Manage Product Status from the Go To drop-down in the top-right.

    The Manage Product Status screen displays.

  2. Select the Create Inventory Report button.

    The Create Inventory Report screen displays.

  3. Under "Select Locations":
    1. Specify which locations should be included in the report from the radio buttons:
      • All My Locations (default) – The inventory report includes all locations.
      • Just Locations(s) Listed Below – The inventory report includes only specific locations.
    2. If the user selects Just Location(s) Listed Below:
      1. Select a Locationfrom the drop-down.
      2. Select the Add Another Location link if needed.
  4. Specify the model that your company most frequently uses to pick Transaction Histories with the radio buttons under "Choose Dominant Pick Model":
    • NDC Only Picking - Results will be grouped by NDC – The inventory report lists quantity by NDC only, not at the lot level. Select this option if Transaction Histories usually include NDCs, but not lot information.
    • NDC Lot Picking - Results will be grouped by NDC and Lot – The inventory report lists the quantity of an NDC at each available lot level. Select this option if Transaction Histories usually include both NDCs and lot information.
  5. Under "Select NDCs":
    1. Specify which NDCs should be included in the report from the radio buttons:
      • All NDCs (default) – The report includes all NDCs.
      • Just NDC(s) Listed Below – The report includes only specific NDCs.
    2. If Specify the model that your company most frequently uses to pick Transaction Histories is Just NDC(s) Listed Below:
      1. Enter a NDC to specify the item code for the product.
      2. Select the Add Another NDC link if needed.
    3. Select the Include NDCs with zero available inventory checkbox to include NDCs for products that were inventory but now have a quantity of zero in the report. (optional).
  6. Select the Submit button.

    The Manage Product Status screen displays, and TraceLink sends an email notification upon completion.

    The report might not be available immediately.

  • Select the link in the File Name column on the Manage Product Status screen to download the report after it finishes generating.

Update a Product's Quantity

  1. Select Manage Product Status from the Go To drop-down in the top-right.

    The Manage Product Status screen displays.

  2. Select the Update Product Quantity button.

    The Update Product Quantity screen displays.

  3. Under "Identify Product to Update":
    1. Select the Location where the product to be updated is.

    2. Enter a Lot Number associated with the product (required to Increment using the New Adjustment Model).

    3. Enter the Delivery Number that the product shipped with (optional).
    4. Enter the NDC for the product that needs updating.
    5. Enter a Reference ID to identify the product at a more granular level than the lot number, e.g. a physical location within the inventory (optional).

      Use Reference Identifiers with caution. Once a Reference Identifier assignment to a Transaction History (TH) is complete, it can only be matched in the Pick/Ship operation using the exact NDC, Lot Number, and Reference Identifier. Only use this approach for strict matching against a specific TH for an outbound customer delivery.

  4. Under "Update Information":
    1. Select an Operation to specify the manner in which the product quantity needs to change:
      • Decrement by – The product quantity decreases.
      • Increment by – The product quantity increases.
      • Replace – The product quantity needs to be replaced with a completely different quantity.
    2. Enter a Quantity to specify the number by which the quantity changes.
      • If the operation is Decrement by or Increment by, enter the quantity of product adjustment, with positive integers only.

        Decrement by and Increment by are only available if the app uses the new quantity adjustment model, not the legacy model. For more information see the Overview.

      • If the operation is Replace, enter the new quantity of the product in inventory.
    3. In the "Transaction Identifiers" table:
      1. Select the Add Transaction ID link to add transaction identifiers for the Transaction History created by the update (optional).
      2. Select a Identifier Type to specify the type of identifier for this product's transaction (optional):
        • PO – The purchase order number for the transaction.
        • Sales Order – The sales order number for the transaction.
        • Return – The number for the return.
        • ASN Pack Slip – The number of the list that defines with products and quantity go into each packaging level.
        • Invoice – The invoice number for the transaction.
        • Destruction – The identifier for the destruction of the product.
        • Transfer – The identifier for the transfer of the product.
        • Other – The identifier type is something other than those listed here.
      3. Enter an Identifier Value in the text field (optional).
      4. Repeat the previous steps to add another transaction identifier (optional).
    4. Enter a Reference ID to identify the product at a more granular level than the lot number, e.g. a physical location within the inventory (optional).

      Reference ID field only applies to incrementing quantities in the New Adjustment Model.

    5. Select a Reason Code to specify the reason for the update:
      • Correction – A user entered incorrect information when creating or receiving the transaction.
      • Damaged – The product is damaged.
      • Damaged in Facility – The product was damaged in the facility.
      • Damaged in Transit – The product was damaged during transit.
      • Data Issue – TraceLink contains incorrect data.
      • Destroyed – The product was destroyed.
      • Expired – The product expired.
      • Found Inventory – A user found product that does not exist in the inventory.
      • Investigation – The product could be damaged, so someone must test the product (e.g. because of a temperature excursion).
      • Lost Inventory – The product is missing.
      • Order Cancelled – The shipment order was cancelled.
      • Order Rejected – The shipment order was rejected.
      • Other – The product needs to be updated for a reason not listed here.
      • Over Receipt – A user at the receiving location found more product in the shipment than the Transaction History listed.
      • Over Ship – A user at the shipping location realized the shipment contains more product than the Transaction History listed.
      • Physical Count – The inventory needs to be updated after performing a physical count of the inventory.
      • Recalled – The product was recalled.
      • Receiving Error – A user made an error when receiving the shipment in TraceLink.
      • Shipping Error – A user made an error when creating the shipment in TraceLink.
      • Short Receipt – A user at the receiving location found less product in the shipment than the Transaction History listed.
      • Short Ship – A user at the shipping location realized the shipment contains less product than the Transaction History listed.
    6. Enter Reason Text to explain the update for audit trail purposes (optional).
  5. Select the Submit button.

    The Manage Product Status screen displays, and the available Transaction History quantity for the NDC and lot is adjusted by the quantity incremented or decremented.

Update Product Status

  1. Select Manage Product Status from the Go To drop-down in the top-right.

    The Manage Product Status screen displays.

  2. Select the Update Product Status button.

    The Update Product Status screen displays.

  3.  Under "Identify Product to Update":
    1. Select the Location where the product to be updated is.
    2. Enter a Lot Number associated with the product.
    3. Enter a NDC to specify the item code for the product.
  4. Under "Update Information":
    1. Select a New Status from the drop-down:
      • Available
      • Quarantined

        When items are quarantined during an update, the quarantined items are subtracted from the original Available Quantity. For example, if the original Available Quantity for an NDC line item is 1000 and 100 are then quarantined, the Inventory Report reflects 900 as the updated Available Quantity.

    2. In the "Transaction Identifiers" table:
      1. Select the Add Transaction ID link to add transaction identifiers for the Transaction History created by the update (optional).
      2. Select a Identifier Type to specify the type of identifier for this product's transaction (optional):
        • PO – The purchase order number for the transaction.
        • Sales Order – The sales order number for the transaction.
        • Return – The number for the return.
        • ASN Pack Slip – The number of the list that defines with products and quantity go into each packaging level.
        • Invoice – The invoice number for the transaction.

    The Manage Product Status screen displays, and the product is updated in the inventory.
