Aggregation Changes

MAHs and Importers that own Russia Health Products Compliance can generate an Aggregation Changes report and automatically submit to Track & Trace Government Information System (TT GIS) when they are:

  • aggregating items into a new container.

  • adding or removing items from an existing container.

Configure the report

The report for a product is generated when its product type is set to the corresponding product group in Product Master Data:

  • Product type as Food Supplement for BAFS

  • Product type as Medical Device for Medical Products

The event triggers (i.e. workflow subscriptions) for the report can be set in Administer for Russia Health Products Compliance. Make sure one of the following event triggers are enabled:

 Generate Aggregation Changes Report

TraceLink generates an Aggregation Changes Report for Russia Health Products Compliance when the bulk aggregation event is submitted via core integration or the Web UI or ESM integration, as long as all of the event trigger conditions are met.

The Aggregation Changes Report may include Aggregation of Packaging and/or Transformation (add or remove) of Packaging reports.

Russia Health Products Compliance generates the Aggregation Changes report when TraceLink processes a Product Release or Product Release Inbound event and the following conditions are met:

  • The product's MAH, which is identified by the MAH ID for the RU Target Market in Product Master Data, exists in Company Master Data at the company or location level.
  • The products have a Packaging Code Type of GTIN-14 with a Packaging UOM (unit of measure) of Each.
  • In Product Master Data, the serialized item is associated with an Item Code and Lot Number that has a Target Market as Russia.
  • In Product Master Data, the Product Type of the serialized item is Food Supplement for Biologically Active Food Supplements or Medical Devices for Medical Products.

  • Product release has been done for the lot.

  • The SOM Aggregation Update has events from a single location only.

Generate the report

To generate the Aggregation Changes report automatically, enable the appropriate event triggers and ensure that the relevant event trigger conditions are met in Master Data Exchange. When configured, Russia Health Products Compliance solution generates the Aggregation Changes report automatically when Aggregation update occurs in one of the following interfaces:

  • If false, then the items are re-associated to the new parent and the items' previous aggregations are adjusted.

Take Product Sample

Update the status of serial numbers used for product samples and disaggregate those serial numbers.

  1. In Track & Trace Services (TTS), hover over Modules, and then select Serialized Operations Manager.
  2. Expand the Status Update drop-down and then select Take Product Sample.
  3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
  4. Complete the fields required for the report as follows:
    FieldValues
    Inspection Country CodeSpecify the country the product is inspected for.
    Sampling EntitySpecify the company or location sampling the product (required if Inspection Country Code is Russia).
    Sampling Reason CodeSpecify reason a product is sampled (required if Inspection Country Code is Russia).
    Serial NumbersSpecify the serial number(s) (scanned, entered, or uploaded) of the sample product(s).
  5. Complete any other fields that are required in the UI or that your company uses for a specific purpose.
  6. Select Submit.

    TraceLink disaggregates the sample product if the serial number is aggregated to a parent container serial number or parent serial number. The screen refreshes with a message, "The status of the [Number of Serials Numbers] serial numbers you entered has been updated to Sampled.", and Russia Health Products Compliance begins automatically generating the report from the event trigger.

Destroy Product

  1. In Track & Trace Services (TTS), hover over Modules, and then select Serialized Operations Manager.
  2. Expand the Status Update drop-down and then select Destroy Product.
  3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
  4. Complete the fields required for the report as follows:
    FieldValues
    Reporting PartySpecify the company or location reporting the event. This field pulls value from both Company and Partner Master Data.
    Reason CodeSpecify the preset reason for the event.
    Destruction Method

    Specify the method used to destroy the product.

    LocationSpecify the identifier of the company or location destroying the product.
    Transaction IDs

    Specify the business transaction identifier and type.

    • Identifier Type – Indicate a Removal From Circulation identifier.

    • Identifier Value – The value of the identifier for the transaction.

    • Document Date – The date printed on the corresponding transaction document.

    Serial NumbersSpecify the serial numbers (scanned, entered, or uploaded) of the product(s) in the event. If the serial numbers to be destroyed are child serial numbers associated with a parent serial number, only the parent serial number must be specified.
    Automatically disaggregate items from parent containerWhen selected, the selected serial numbers are automatically disaggregated from the parent serial number and destroyed.
  5. Complete any other fields that are required in the UI or that your company uses for a specific purpose.
  6. Select Submit.

    The screen refreshes with a message, "The status of the [Number of Serials Numbers] serial numbers you entered has been updated to Destroyed with a reason code of [Reason Code].", and Russia Health Products Compliance begins automatically generating the report from the event trigger.

Decommission Serial Numbers

  1. In Track & Trace Services (TTS), hover over Modules, and then select Serialized Operations Manager.
  2. Expand the Status Update drop-down and then select Decommission Serial Numbers.
  3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
  4. Complete the fields required for the report as follows:
    FieldValues
    Reporting PartySpecify the company or location reporting the event. This field pulls value from both Company and Partner Master Data.
    Reason CodeSpecify the preset reason for the event.
    Destruction Method

    Specify the method used to destroy the product.

    Only enabled if Reason Code is set to Damaged, Defective, Expired, Inappropriately Stored, Recalled, Returned, Sampled, Spoilage, or Withdrawn.

    LocationSpecify the identifier of the company or location decommissioning the product.
    Transaction IDs

    Specify the business transaction identifier and type.

    • Identifier Type – Indicate a Removal From Circulation identifier.

    • Identifier Value – The value of the identifier for the transaction.

    • Document Date – The date printed on the corresponding transaction document.

    Serial NumbersSpecify the serial numbers (scanned, entered, or uploaded) of the product(s) in the event. If the serial numbers to be decommissioned are child serial numbers associated with a parent serial number, only the parent serial number must be specified.

Aggregate Items to Container

Aggregates child serial numbers to a parent container. All existing aggregations are maintained.

  1. In Track & Trace Services (TTS), hover over Modules, and then select Serialized Operations Manager.
  2. Expand the Pack and Repack drop-down and then select Aggregate Items to Container.
  3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
  4. Complete the fields required for the report as follows:
    FieldValues
    Container Serial NumberSpecify the serial number of the container where the items are aggregating. The container can be a pallet, case/shipper or innerpack/bundle.
    Child Serial NumbersSpecify the serial number(s) of the items that are aggregating into the container (scanned, entered, or uploaded).
  5. Complete any other fields that are required in the UI or that your company uses for a specific purpose.
  6. Select Submit.

    The screen refreshes with the confirmation message, "The [Number of Child Numbers] serial number(s) you entered have been aggregated to container [Container Serial Number].", and Russia Health Products Compliance begins automatically generating the report from the event trigger.

Replace Item in Container

Disaggregates a serial number from a container and aggregates a new serial number to the container.

  1. In Track & Trace Services (TTS), hover over Modules, and then select Serialized Operations Manager.
  2. Expand the Pack and Repack drop-down and then select Replace Item in Container.
  3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
  4. Complete the fields required for the report as follows:
    FieldValues
    Original Serial NumberSpecify the serial number of the item to disaggregate from the container. The container can be a pallet, case/shipper or innerpack/bundle.
    Replacement Serial NumbersSpecify the serial numbers of the item to aggregate to the container.
  5. Complete any other fields that are required in the UI or that your company uses for a specific purpose.
  6. Select Submit.

    The screen refreshes with the confirmation message, "Serial number [original serial number] has been disaggregated from its container and [replacement serial number] has been aggregated to the container.", and Russia Health Products Compliance begins automatically generating the report from the event trigger.

Disaggregate Items

Disaggregates child serial numbers from their parent containers (which do not need to be specified).

  1. In Track & Trace Services (TTS), hover over Modules, and then select Serialized Operations Manager.
  2. Expand the Pack and Repack drop-down and then select Disaggregate Items.
  3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
  4. Complete the fields required for the report as follows:

Disaggregate Items from Container

Disaggregates child serial numbers from a common parent container.

  1. In Track & Trace Services (TTS), hover over Modules, and then select Serialized Operations Manager.
  2. Expand the Pack and Repack drop-down and then select Disaggregate Items from Container.
  3. Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
  4. Complete the fields required for the report as follows:

    Container Serial NumberSpecify the serial number of the container where items are being disaggregated. The container can be a pallet, case/shipper or innerpack/bundle.
    Child Serial NumbersSpecify the serial number(s) to disaggregate from the container (scanned, entered, or uploaded).
  5. Complete any other fields that are required in the UI or that your company uses for a specific purpose.
  6. Select Submit.

    The screen refreshes with the confirmation message, and Russia Health Products Compliance begins automatically generating the report from the event trigger.

To generate the Aggregation Changes report manually, use the Russia Health Products Compliance Web UI. This option is useful if a report failed to generate automatically, and the information must still be submitted to the Track & Trace Government Information System (TT GIS):

  1. Select the Main Menu icon .
  2. Select Russia Health Products Compliance.

    A new tab opens and displays information for the Russia Health Products Compliance app.

  3. Select the Generate Report icon.
  4. Fill in the following fields:
    • Report Type drop-down – Required. Select Aggregation Changes as Report Type.
    • Location field – Required. The identifier of the company or location where the event occurred.
    • Operation Type radio button – Required. Select Adding or Removing based on the requirements.
    • Container Serial Number – Required. The serial number of the container where the items are aggregated or disaggregated.

    • Select one of the following to specify the Serial Number to generate the report for

      • Select Upload Files:

        1. Select Import Files.

        2. Select the CSV file with the serial numbers to import.

      • Select Specify Serial Numbers:

        • Enter the Serial Numbers in the text field.

          or

        • Scan the Serial Numbers in the text field with an external scanner.

  5. Select Generate.

    The panel closes, and TraceLink begins generating the report. Filter to find the new report.

Tips

  • Report Name – The name of the compliance report submitted to the TT GIS.
  • Status – The status returned by the TT GIS for the submitted compliance report.
  • Status Code – The HTTPS code returned by the TT GIS for the submitted compliance report.
  • Description – The description returned by the TT GIS for the submitted compliance report.
  • Response Date – The date the response is received from the TT GIS.

Tips

  • Select the Action icon, and then select Export Report File to export the report file submitted to the TT GIS.
  • Select the Action icon, and then select Export Response File to export the response file received from the TT GIS.
