Switch to Smart Event Manager

If the company owns Smart Event Manager, the UI can switch to display those functions.

Select the Options icon at the top of any screen.
Select Event Reporting.
The Options menu refreshes with the following Smart Event Manager functions:
- Serial Number Status
- Ship
- Update Number Status
- Undo Number Status
- Warehouse Operations

Tips

To return to Smart Inventory Tracker integrated with Serialized Operations Manager, select Warehouse Management.

Aggregate to or disaggregate from an existing container

Select the Options icon at the top of any screen.
Select Manage Containers.
Select Existing Container.
Enter the Parent Serial Number for the existing parent container:
- Scan the barcode.
  or
- Enter the serial number manually and select Submit.
Enter the count of barcodes (up to 100) to scan at once in the Specify Multiple Barcode Scan Count field. This field displays only if the Allow Multiple Barcode Scan At Once? configuration is enabled at the company or location level in Management.

The multiple barcode scan feature is currently supported on the following Zebra handheld devices, and validated by TraceLink: Zebra MC3300, MC3300x, MC9300, MC9400, TC70x, TC72, TC77, TC51, TC52, and TC53.
Enter the Child Serial Number to aggregate to or disaggregate from the Parent Serial Number:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
If the Child Serial Number is not already contained within the Parent Serial Number, Smart Inventory Tracker aggregates it, and if the Child Serial Number is already contained within the Parent Serial Number, Smart Inventory Tracker disaggregates it.
See the information that displays for that serial number
- Product – Displays the packaging code associated with the serial number. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Lot – The batch or lot number associated with the product.Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Expiry – The expiration date associated with the serial number's lot.Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Child Count – The number of child items currently aggregated to the parent container, which updates as children are scanned. If the parent container is an SGTIN or NTIN, Smart Inventory Tracker retrieves the Packaging Ratio from Product Master Data and displays the expected quantity of children in addition to the current count of children aggregated to the parent container, followed by the Packaging UOM of the children (e.g. if a case's Packaging Ratio indicates that the parent should contain 10 Eaches, and the container has 5 children aggregated, the Child Count is 5 of 10 EA).
Repeat the previous step for any other serial numbers that need to be aggregated to or disaggregated from the Parent Serial Number.
Select Submit.
Submit might be disabled because the contents of the parent container do not match expectations. See Troubleshooting for more information.
If the parent serial number is an SSCC or an SGTIN that contains the expected number of children, Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager, which:
- Commissions the Parent Serial Number if it currently has a Serial Number Status of Encoded or does not exist in the Serialized Operations Manager repository.
- Aggregates child serial numbers that were added to the parent container.
  If child serial numbers added to the parent container were already aggregated to another parent container, Serialized Operations Manager also disaggregates those child serial numbers from the initial parent container before aggregating them to the new parent container.
- Disaggregates serial numbers that were removed from the parent container.
If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.
If the parent serial number is an SGTIN that has not yet met the expected quantity of children, Smart Inventory Tracker prompts the warehouse operator to create a new SSCC to replace the partial SGTIN:
Select the device Back button to return to the existing SGTIN container.
1. Select the Company Prefix for the new SSCC parent container.
  See the information that displays for the parent serial number
  - Packaging UOM – The packaging level of the original SGTIN parent container.
  - Product – Displays the packaging code associated with the serial number. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
  - Lot – The batch or lot number associated with the product.Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
  - Expiry – The expiration date associated with the serial number's lot.Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
  - Child Count – The number of child items currently aggregated to the parent container, which updates as children are scanned.
2. If the company allows the warehouse operator to enter specific information for the parent serial number's label:
  1. Select Additional Fields.
  2. Enter the information requested by a Manager (optional).
  3. Select Save.
3. Select Submit.
4. Select the Printer to send the serial number and associated information to.
5. Select Yes.
  TraceLink provisions the new serial number with Serial Number Exchange using the appropriate serial number template. Smart Inventory Tracker sends the new serial number and any required master data elements to the external printer application configured for the device's location.
6. Scan the printed Serial Number to confirm that the label printed correctly.
  Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager, which disaggregates the children from the original SGTIN parent container, decommissions the original SGTIN, commissions the new SSCC parent container, and aggregates child serial numbers that were added to the parent container.
  If the child serial numbers were already aggregated to another parent container, Serialized Operations Manager also disaggregates those child serial numbers from the initial parent container before aggregating them to the new parent container.
  If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.

Tips

To revert the aggregation or disaggregation of a child serial number, scan or enter the number again.
To remove all child serial numbers from the parent serial number, select Remove All.
When the Allow Multiple Barcode Scan At Once? configuration is enabled in Management and the scanned serial numbers fail verification with Serialized Operations Manager, the View Errors button displays. Select this button to view the Errors screen that displays the total count and a categorized list of all the erroneous serial numbers. Select the download icon to download the list of errors in PDF format.
To view a list of the Products (designated by packaging code), Lots, and Quantities contained within the parent serial number, select Products.
To view all child serial numbers contained within the parent serial number, select Serial Numbers.
To cancel the update, select the Cancel icon in the upper right, and select Yes in the dialog box. Smart Inventory Tracker removes all serial numbers from the update queue.
For smartphone users, Smart Inventory Tracker automatically opens the camera to scan barcodes.
- Select the Close icon to disable the camera.
- Select the Open icon to enable the camera.

Remove all children from a parent container

Select the Options icon at the top of any screen.
Select Manage Containers.
Select Existing Container.
Enter the Parent Serial Number for the existing parent container:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
Select Remove All.
Select Submit.
Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager, which disaggregates all child serial numbers from the parent serial number. If the parent container is an SGTIN or NTIN, Serialized Operations Manager decommissions the empty container.
If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.

Tips

Child serial numbers can be added to the empty parent serial number after selecting Remove All.

Print, commission, and aggregate to a new SGTIN parent container

Select the Options icon at the top of any screen.
Select Manage Containers.
Select New SGTIN.
Enter the first Child Serial Number to determine the packaging code and UOM of the new SSCC parent container:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
See the information that displays for that serial number
- Product – Displays the packaging code associated with the serial number.
- Lot – The batch or lot number associated with the product.
- Expiry – The expiration date associated with the serial number's lot.
- Child Count – The number of child items currently aggregated to the parent container, which updates as children are scanned. Smart Inventory Tracker retrieves the Packaging Ratio from Product Master Data and displays the expected quantity of children in addition to the current count of children aggregated to the parent container, followed by the Packaging UOM of the children (e.g. if a case's Packaging Ratio indicates that the parent should contain 10 Eaches, and the container has 5 children aggregated, the Child Count is 5 of 10 EA).
  If the Packaging Ratio is not configured, Smart Inventory Tracker retrieves the Container Aggregation Quantity from Product Master Data to confirm the current count of children aggregated to the parent containers. For example, if the Container Aggregation Quantity is 2 Cases, 3 Packs and 1 Each inside, the:
  - Expected child quantity when you scan a case is 2.
  - Expected child quantity when you scan a pack is 3.
Repeat the previous step for any other serial numbers that need to be aggregated to the new SGTIN parent container.
If the company allows the warehouse operator to enter specific information for the parent serial number's label:
1. Select Additional Fields.
2. Enter the information requested by a Manager (optional).
3. Select Save.
Select Submit.

Select the Printer to send the serial number and associated information to.

Tips

If the warehouse operator cancels the print function after sending the serial number to the printer but before confirming the printed label, the new SGTIN is deactivated.

Print, commission, and aggregate to a new SSCC parent container

Select the Options icon at the top of any screen.
Select Manage Containers.
Select New SSCC.
Select a Company Prefix to define the template for the new serial number.
Select the Packaging UOM of the new serial number:
- Pallet – Cases grouped together on a pallet.
- Case / Shipper – A grouping of inner packs/bundles or a grouping of eaches if the packaging hierarchy does not include inner packs/bundles.
- Inner Pack / Bundle – A grouping of eaches (i.e. lowest saleable units).
Select one of the Specify Aggregation Count radio buttons:
- Yes – To specify the quantity of children to aggregate into a container.
- No – (default) To not specify the quantity of children to aggregate into a container.
Select Scan Children.
Enter the desired aggregation count in the Specify Aggregation Count field. This field displays only if the Specify Aggregation Count is set to Yes in the previous screen.
Enter the count of barcodes (up to 100) to scan at once in the Specify Multiple Barcode Scan Count field. This field displays only if the Allow Multiple Barcode Scan At Once? configuration is enabled at the company or location level in Management.

When the Specify Aggregation Count is set to Yes, the specified aggregation count, which is editable, remains preserved until modified by the warehouse operator. If the specified aggregation count is fulfilled, a confirmation dialog box displays, and warehouse operators can choose to either continue to scan more serial numbers or submit. If the expected aggregation count is not fulfilled, the Expected aggregation count is not fulfilled. Do you want to print the label? dialog box displays:
- Yes – The Print and confirm new SSCC? dialog box displays that allows the warehouse operator to print the label.
- No – Allows the warehouse operator to scan more serial numbers.
When the Allow Multiple Barcode Scan At Once? configuration is enabled in Management and the scanned serial numbers fail verification with Serialized Operations Manager, the View Errors button displays. Select this button to view the Errors screen that displays the total count and a categorized list of all the erroneous serial numbers. Select the download icon to download the list of errors in PDF format.
When the Register Unknown Serial Numbers SOM service configuration is enabled in Administration, along with the Allow Serial Number Registration? setting set to Allow Without Master Data in Management, these configurations determine whether unknown serial numbers can be registered while aggregating serial numbers to a new SSCC.
TraceLink controls the registration of unknown serial numbers for specific target markets based on the selected configuration in Administration:
- All Target Markets – Allows registration of unknown serial numbers regardless of the target market defined in Product Master Data (PMD).
- Exclude These Target Markets – If All Target Markets is selected but certain countries are listed under Exclude These Target Markets, unknown serial numbers cannot be registered in those excluded countries.
- Include These Target Markets – If All Target Markets is not selected, only the countries listed under Include These Target Markets will allow registration of unknown serial numbers. The country must be configured under Target Markets in the PMD for the registration to be valid.
The registration of unknown serial numbers is allowed if any of the following conditions are met:
- The product has multiple target markets defined in PMD, and at least one country has the Traceability Required checkbox is disabled or is not configured.
- The Traceability Required checkbox is not configured for the Ship to Country in PMD.
- The Ship to Country is listed in the inclusion or exclusion list under the Register Unknown Serial Numbers configuration in Administration, but that country is not defined as a target market in PMD.
To cancel the update, select the Cancel icon in the upper right, and select Yes in the dialog box. Smart Inventory Tracker removes all serial numbers from the update queue.
For smartphone users, Smart Inventory Tracker automatically opens the camera to scan barcodes.
- Select the Close icon to disable the camera.
- Select the Open icon to enable the camera.

Relabel container

Select the Options icon at the top of any screen.
Select Manage Containers.
Select Relabel Container.
Enter the Original Serial Number of the container to be relabeled:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
Enter the New Serial Number of the container:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
Select Relabel.
If the verification is successful, the container is relabeled and the original serial number is decommissioned. Otherwise, an error message is displayed and the original serial number is still associated with the container.

Reserialize product

Select the Options icon at the top of any screen.
Select Manage Containers.
Select Reserialize Product.
Select which Barcode to Reserialize:
- Scanned Item – (default) The individual item entered in the Serial Number field must be reserialized.
- Parent Container – The parent container of the item entered in the Serial Number field must be reserialized.
Enter the Serial Number to reserialize or the child Serial Number of the container to reserialize:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
See the information that displays for that serial number
- SN – The serial number entered (displays only if the Barcode to Reserialize is Scanned Item).
- Parent SN – The parent serial number of the item entered (displays only if the Barcode to Reserialize is Parent Container).
- Packaging UOM – The packaging level of the serial number.
- Product – Displays the packaging code associated with the serial number. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Lot – The batch or lot number associated with the product.Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Expiry – The expiration date associated with the serial number's lot.Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Child Count – The number of child items currently aggregated to the parent container, which updates as children are scanned.
Enter the Delivery Number to print delivery information on barcode labels (optional).
This field displays only if specific fields in the SSCC master data element associated with the device's location or company are configured. See FAQs for more information.
If the company allows the warehouse operator to enter specific information for the serial number's label:
1. Select Additional Fields.
2. Enter the information requested by a Manager (optional).
3. Select Save.
Select Submit.
Select the Printer to send the serial number and associated information to.
Select Yes.
TraceLink provisions the new serial number with Serial Number Exchange using the appropriate serial number template. Smart Inventory Tracker sends the new serial number and any required master data elements to the external printer application configured for the device's location.
Scan the printed Serial Number to confirm that the label printed correctly.
Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager, which decommissions the original serial number entered, commissions the new serial number and updates the hierarchy information for the child serial numbers.

Market release

Select the Options icon at the top of any screen.
Select Market Release.
Select an Item Code from the drop-down list.
The Item Description displays below this field.
Enter the Lot Number associated with the selected item code (displays only if an item code is selected).
Select the Target Market from the drop-down list.
(Optional) Select Add icon in Transaction IDs. Users can enter up to two business transaction identifiers and types.
1. Select the Identifier Type for the transaction from the following values:
  - State Confirmation Number
  - Civil Circulation Release Number
2. Enter an Identifier Value.
3. (Optional) Select a Document Date from the date picker.
Enter the Serial Number:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
  This field is enabled when all required fields are entered.
See the information that displays for that serial number
- Total Scanned Serials - Displays the total number of serial numbers scanned in the current transaction.
- Product – Displays the packaging code associated with the serial number.
- Lot – Displays the batch or lot number associated with the product.
- Expiry – Displays the expiration date associated with the serial number's lot.
Select Submit button.
After submit, select Submit button in the confirmation dialog box.

Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager for further processing.

Tips

The Target Market field is sourced from the Product Master Data. It displays only if an item code and lot number values are entered.
The Location field is auto-populated. It displays the SIT Device Location ID and Type.
The Scope field is auto-populated. By default, it is set to Partial.
To view the list of scanned serial numbers, select Serial Number button. Users can review the list before submitting the serial numbers for market release.

Receive by containers

Select the Options icon at the top of any screen.
Select Receive by Containers.
Enter the Serial Number:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
See the information that displays for that serial number
- Total Scanned Serials – Displays the total count of serial numbers scanned in the current transaction.
- Product – Displays the packaging code associated with the serial number. Displays as - for SSCCs with mixed containers.
- Lot – Displays the batch or lot number associated with the product. Displays as - for SSCCs with mixed containers.
- Expiry – Displays the expiration date associated with the serial number's lot. Displays as - for SSCCs with mixed containers.
- Child Quantity – Displays the number of lower-level shipping units (LSUs) aggregated inside the scanned container and a '–' when an individual unit (each) is scanned.
- Delivery Number – Displays the Serialized Operations Manager (SOM) delivery number associated with the scanned serial number.

Select View Deliveries button.

The Deliveries Associated screen displays the scanned serial numbers. Use this screen to reconcile the associated deliveries before submitting the serial numbers for receiving.
1. The Deliveries Associated screen displays the following details:
  - Selected: [n] Deliveries – Displays the total count of deliveries selected at the given time.
  - Select all – Checkbox that allows the user to select all deliveries associated with the scanned serial numbers to perform a bulk action.
  - Delivery Number – Displays the inbound delivery numbers associated with the scanned serial numbers, collapsed by default. Displays the following details:
    - Total Scanned / Expected Quantity – Displays the total scanned quantity versus total expected quantity across for all products and lots for the delivery (in eaches).
    - Supplier Name – Displays the name of the supplier associated with the delivery.
    When a delivery is expanded, the following details are displayed for that specific delivery:
    - Product – Displays the order item packaging code associated with the delivery.
    - Lot – Displays the order item lot number associated with the product.
    - Associated / Expected Quantity – Displays the total scanned quantity versus total expected quantity for the selected product and lot (in eaches).
1. Select Submit button.
  
  The Submit button might be disabled if no deliveries associated with the scanned serial numbers are selected.
  
  Depending on the selection of one or more deliveries, the confirmation dialogue box is displayed. Choose one of the options below:
  - Save the deliveries: Receive partial deliveries. The system receives scanned containers and their children, and the delivery remains open for additional receiving. When Expected Quantity not fulfilled dialog box is displayed, Save the deliveries is selected by default, but users can change the selection to Complete the deliveries before submission.
  - Complete the deliveries: Receive the entire delivery, even if all serial numbers have not been physically received. When Expected Quantity fulfilled dialog box is displayed, Complete the deliveries is selected by default, but users can change the selection to Save the deliveries before submission.
  - For mixed deliveries, where the expected quantity is not fulfilled, users can return to the previous screen to review the selections before choosing one of the options:
    - Save the deliveries: Receive partial deliveries. The system receives scanned containers and their children, and the delivery remains open for additional receiving. When Expected Quantity not fulfilled dialog box is displayed, Save the deliveries is selected by default, but users can change the selection to Complete the deliveries with Short Receive before submission.
    - Complete the deliveries with Short Receive: Closes the delivery by receiving only partial delivery.

Tips

To select an individual delivery associated with the scanned serial numbers, select the checkbox next to the delivery number.
To view the list of scanned serial numbers in current transaction, select Serial Number button.

Ship product with an existing delivery number

The delivery number must already exist in Serialized Operations Manager.

Select the Options icon at the top of any screen.
Select Ship.
Enter the Delivery Number:
1. Scan the barcode.
  or
  Enter the delivery number manually, and select Submit.
2. If the delivery number already exists:
  1. Select the desired combination of Delivery Number, From Business, and Ship From Location from the list of delivery numbers.
  2. Select the Add icon to create a new shipment with the existing delivery number.
  If multiple deliveries are received in a single receipt, all delivery numbers contained in the receipt display with a space as a separator.
  Selecting a suspended Delivery Number resumes that delivery.
Enter the Serial Number to associate with the Delivery Number:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
See the information that displays for that serial number
- Product – Displays the packaging code associated with the serial number. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Lot – The batch or lot number associated with the product. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Expiry – The expiration date associated with the serial number's lot. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Quantity – The number of each-level serial numbers with the same product and lot number as the current Serial Number associated with the delivery, compared to the number of each-level serial numbers expected in the delivery, based on that order item in Serialized Operations Manager. Displays only the quantity associated if the delivery number does not have order items specified. View Products displays for SSCCs that contain children for multiple order items.
Repeat the previous step for any other serial numbers that must be shipped.
If serial numbers need to be aggregated to a new SSCC parent container before being added to the shipment, select the Manage Containers icon and follow these steps before returning to this How To.
Select the button that displays, depending on the company or location's configuration:
- If Ship displays:
  1. Select Ship.
  2. Select Yes in the confirmation dialog box.
    Smart Inventory Tracker asynchronously sends the delivery number and associated serial numbers to Serialized Operations Manager, which then updates the Item Status of the serial numbers and their children, if aggregated, to Shipped.
    If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.
- If Save displays:
  1. Select Save.
  2. Select Yes in the confirmation dialog box.
    Smart Inventory Tracker asynchronously sends the delivery number and associated serial numbers to Serialized Operations Manager, which then updates the Item Status of the serial numbers and their children, if aggregated, to Picked.
    The delivery can then be shipped through the Serialized Operations Manager Web UI or a message.
- If Submit displays:
  1. Select Submit.
  2. Select the action to take with the delivery in the dialog box:
    - Ship the delivery – Send the delivery number and its associated serial numbers to Serialized Operations Manager in a submitted state (i.e. the shipment is physically ready to ship with these serial numbers and does not need to be edited further).
    - Save the delivery – Send the delivery number and its associated serial numbers to Serialized Operations Manager in an unsubmitted state (i.e. the shipment must be reviewed by a different warehouse operator or floor manager in the Web UI before being shipped or shipped with a Serialized Operations Manager message).
  3. Select Submit.
    Smart Inventory Tracker asynchronously sends the delivery number and associated serial numbers to Serialized Operations Manager, which updates the serial numbers based on the action selected.
    If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.

Tips

To remove a serial number from the delivery, scan or enter it a second time, and select Yes in the dialog box.
- If the Don't show me this message again checkbox in this dialog box was previously selected during the current delivery, the serial number is automatically removed from the shipment without confirmation.
To view a list of the Products (designated by item code), Lots, and Quantities associated with the delivery number, select Products.
To view all serial numbers associated with the delivery number, select Serial Numbers.
To sort the Product Lot or the Associated / Expected Quantity column:
- Select the sort icon to remove sorting from all other columns, then select it again to sort the data entries by the number of scanned serial numbers.
- Select the ascending sort icon or descending sort icon to sort the data entries. By default, sorting is in ascending order based on the percentage of scanned serial numbers relative to the expected count.
The Serial Number field updates with every scan of an SGTIN/NTIN serial number to register unknown serial numbers based on the Register Unknown Serial Numbers SOM service configuration in Administration. The system behavior depends on the selected option:
- All Target Markets – TraceLink registers all unknown serial numbers, regardless of the Ship to Country or Target Market settings in Product Master Data (PMD) for the scanned item.
- Exclude These Target Markets – If the Ship to Country for a Serialized Operations Manager (SOM) shipment is in the exclusion list, and the products in that shipment have the Traceability Required checkbox enabled in PMD, the scan fails, and the serial number is discarded for those specific target markets.
- Include These Target Markets – If the Ship to Country for a SOM shipment is in the inclusion list, TraceLink allows unknown serial numbers to be registered for those specific target markets.
In the Serial Number field, a validation is applied with every scan or manual entry of an each level serial number or a container (SSCC) that contains serial numbers registered in a previous transaction, such as through the New SSCC or Register functions. TraceLink verifies whether shipment is allowed based on the following conditions:
- If these conditions are not met, TraceLink rejects the scanned serial number or container serial number if that was manually registered, and displays an error:
  - The Ship to Country in the given Sales Shipment is present in the inclusion or exclusion Target Market list under the Register Unknown Serial Numbers configuration in Administration.
  - The Traceability Required checkbox is enabled or disabled in PMD based on configuration.
  - The Sales Type is either In-Country Sale or Export Sale.
- If the Ship to Country is not defined in PMD and the traceability requirement is unknown, TraceLink allows the registration of unknown serial numbers by default.
- If the scanned Each or SSCC contains only explicitly registered serial numbers, and the Ship to Country is restricted for registration in the Register Unknown Serial Numbers configuration, the Tracelink rejects the Sales Shipment when the Sales Type is In-Country Sale or Export Sale.
  
  For Return or Transfer shipments, verification for registered serial numbers does not apply. All serial numbers whether manually registered or explicitly registered can be shipped without restriction.
To suspend a shipment, select the Suspend icon in the upper right, and select Yes in the dialog box.
Smart Inventory Tracker saves all serial numbers added to the delivery number, and the delivery can be resumed at a later time by any user.
To cancel a delivery, select the Cancel icon in the upper right, and select Yes in the dialog box.
Smart Inventory Tracker removes all serial numbers associated with the shipment, but the delivery number still exists in Serialized Operations Manager.
Multiple warehouse operators can add and remove serial numbers from a shipment at the same time. The Quantity, Products, and Serial Numbers update based on the actions taken by other users since the last time the warehouse operator entered a serial number.
For smartphone users, Smart Inventory Tracker automatically opens the camera to scan barcodes.
- Select the Close icon to disable the camera.
- Select the Open icon to enable the camera.

Create a new delivery to ship product

New deliveries that do not exist in Serialized Operations Manager can be shipped if a Manager enables the creation of new deliveries.

Select the Options icon at the top of any screen.
Select Ship.
Enter the Delivery Number:
1. Scan the barcode.
  or
  Enter the delivery number manually, and select Submit.
2. If the delivery number already exists, select the Add icon to create a new shipment with the existing delivery number.
Enter the Shipment Date that the delivery is sent.
Select a Sale Type for the shipment:
- Return - Export – A shipment of product returned to the supplier, shipped from one country to another.
- Return - In Country – A shipment of product returned to the supplier, shipped within the same country.
- Sale - Export – A sale and distribution made from one country to another.
- Sale - In Country – A sale and distribution made within the same country.
- Transfer - Export – A transfer within a company or with a Partner, such as a 3PL or contract manufacturer/packager, made from one country to another.
- Transfer - In Country – A transfer within a company or with a Partner, such as a 3PL or contract manufacturer/packager, occurring within the same country.
Enter the ISO 2-letter Ship From Country code (required and does not allow Russia if the Sale Type is Return - Export, Sale - Export, or Transfer - Export).
Enter the ISO 2-letter Ship To Country code (required if the From Business and To Business are not entered).
Tips:
- Does not allow Russia if the Sale Type is Return - Export, Sale - Export, or Transfer - Export.
- Read-only if the Sale Type is Return - In Country, Sale - In Country, or Transfer - In Country.
If the Ship To Country and Ship From Country is not an EU FMD country or the Ship From Country is not an EU FMD country; the Ship To Country is China, United States, or South Korea; and the Sale Type is Sale - In Country, Sale - Export, Transfer - In Country, or Transfer - Export:
1. Enter the identifier of the company transferring ownership of the product in the From Business field (required if Ship To Country is China, United States, or South Korea).
2. Enter the identifier of the company taking ownership of the product in the To Business field (required if Ship To Country is China, United States, or South Korea).
Enter the identifier of the physical location shipping the product in the Ship From Location field (optional).
Enter the identifier of the physical location receiving the product in the Ship To Location field (optional).
If the Ship To Country is Brazil, China, United States, or South Korea, enter the identifier of the shipping company that transports the product in the Transportation Carrier field (required if the Ship To Country is Brazil).
Enter the Transaction ID of the document associated with the shipment.
Select the corresponding Transaction ID Type:
- Bill of Lading
- Destruction Order
- Invoice Number
- Nota Fiscal Eletronica
- Packing Slip Number
- PO Number
- PRO Number
- Return
- Sales Order Number
- Shipment Number
- Transfer Number
- Other
Enter the Transaction Date printed on the document (optional).
If the Ship To Country is an EU FMD country or if the Ship from Country is South Korea and the Sale Type is Sale - In Country or Sale - Export, select the Supply Type that indicates the purpose of the shipment (required if the Ship from Country is South Korea and the Sale Type is Sale - In Country or Sale - Export):
- Agency Ordered Destruction – Return of a product for destruction as ordered by a government agency.
- Civil Protection Emergency Distribution – Distributing product to authorized authorities (e.g. police) for civil protection.
- Collection – Returning recalled product (displays only if the Ship From Country is not South Korea).
- Contract Manufacturer Buyback – Returning product to the CMO.
- Court Ordered Destruction – Returning product for court ordered destruction.
- Customs Clearance Distribution – Receiving product into an importer’s warehouse after customs clearance.
- Customs Sale – Selling product previously seized by a customs agency.
- Customs Zone Transfer – Transferring product between customs zones.
- Dental Practitioner Distribution – Distributing product to dental practitioners.
- Destruction Distribution – Returning product for company-initiated destruction.
- Donation – Distributing product for donation.
- Emergency Medical Practitioner Distribution – Distributing product to paramedics or emergency medical practitioners.
- Exempted Dispenser – Distributing product to a dispenser that is exempted from government reporting, which requires the supplier to report the dispensation.

- Military Distribution – Distributing product to the military.

- Sample Distribution – Distributing product as free samples.

- Veterinary Distribution – Distributing product to a veterinarian or a veterinary retailer.
- Withdrawn Product Collection – Collecting withdrawn goods and returning them to the Pharmaceutical Manufacturer.
Select the Delivery Inspection status of the physical delivery order against the documentation (optional):
- Inspected - Passed – The contents of the delivery have been inspected and match the associated documentation.
- Inspected - Failed – The contents of the delivery have been inspected and do not match the associated documentation.
- Not Inspected – The contents of the delivery have not been inspected.
Enter the Delivery Inspection Date of the physical inspection of the delivery order against the documentation (optional).
Enter the Delivery Inspection Note to capture comments about the physical inspection of the delivery order against the documentation (optional).
Select the Aggregation Inspection of the container's hierarchy (optional):
- Verified – The aggregation hierarchy of the delivery has been scanned down to the each level.
- Unverified – Only the top-level (e.g. pallet) aggregation hierarchy of the delivery has been scanned, and the remaining aggregation levels are unknown to TraceLink.
- Implied – The entire aggregation hierarchy for the delivery is known to TraceLink, but only the top level (e.g. pallet) has been scanned. The lower aggregation levels have been provided previously (e.g. in an aggregation or shipment).
Enter the Serial Number to associate with the Delivery Number:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
See the information that displays for that serial number
- Product – Displays the packaging code associated with the serial number. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Lot – The batch or lot number associated with the product. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Expiry – The expiration date associated with the serial number's lot. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Quantity – The number of each-level serial numbers with the same product and lot number as the current Serial Number associated with the delivery, compared to the number of each-level serial numbers expected in the delivery, based on that order item in Serialized Operations Manager. Displays only the quantity associated if the delivery number does not have order items specified. View Products displays for SSCCs that contain children for multiple order items.
Repeat the previous step for any other serial numbers that must be shipped.
If serial numbers need to be aggregated to a new SSCC parent container before being added to the shipment, select the Manage Containers icon and follow these steps before returning to this How To.
Select the button that displays, depending on the company or location's configuration:
- If Ship displays:
  1. Select Ship.
  2. Select Yes in the confirmation dialog box.

    The delivery can then be shipped through the Serialized Operations Manager Web UI or a message.
- If Submit displays:
  1. Select Submit.
  2. Select the action to take with the delivery in the dialog box:
    - Ship the delivery – Send the delivery number and its associated serial numbers to Serialized Operations Manager in a submitted state (i.e. the shipment is physically ready to ship with these serial numbers and does not need to be edited further).
    - Save the delivery – Send the delivery number and its associated serial numbers to Serialized Operations Manager in an unsubmitted state (i.e. the shipment must be reviewed by a different warehouse operator or floor manager in the Web UI before being shipped or shipped with a Serialized Operations Manager message).
  3. Select Submit.
    Smart Inventory Tracker asynchronously sends the delivery number and associated serial numbers to Serialized Operations Manager, which updates the serial numbers based on the action selected.

Aggregate product in a shipment to a new SSCC parent container

Print and commission a new SSCC parent container, aggregate product to the new container, and add all the serial numbers to a shipment while processing the shipment.

Select the Manage Containers icon from within any delivery.
Select New SSCC from the drop-down.
Select a Company Prefix to define the template for the new serial number.
Select the Packaging UOM of the new serial number:
- Pallet – Cases grouped together on a pallet.
- Case / Shipper – A grouping of inner packs/bundles or a grouping of eaches if the packaging hierarchy does not include inner packs/bundles.
- Inner Pack / Bundle – A grouping of eaches (i.e. lowest saleable units).
Select one of the Specify Aggregation Count radio buttons:
- Yes – To specify the quantity of children to aggregate into a container.
- No – (default) To not specify the quantity of children to aggregate into a container.
Select Scan Children.
Enter the desired aggregation count in the Specify Aggregation Count field. This field displays only if the Specify Aggregation Count is set to Yes in the previous screen.
Enter the Child Serial Number to aggregate to the new SSCC parent container:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.

3. Select Save.

Select the Printer to send the serial number and associated information to.
Select Yes.
TraceLink provisions the new serial number with Serial Number Exchange using the appropriate serial number template. Smart Inventory Tracker sends the new serial number and any required master data elements to the external printer application configured for the device's location.
Scan the printed Serial Number to confirm that the label printed correctly.
Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager, which commissions the new SSCC parent container and aggregates child serial numbers that were added to the parent container.
If the child serial numbers were already aggregated to another parent container, Serialized Operations Manager also disaggregates those child serial numbers from the initial parent container before aggregating them to the new parent container.
Smart Inventory Tracker then:
- Associates the new container and its children with the delivery number.
- Adds the product, lot, and quantity information for the container to the delivery's order item information.
- Returns the warehouse operator to the shipment.

Tips

Warehouse operators must be assigned the Ship - Manage Containers Function to see the Manage Containers icon.
When the Specify Aggregation Count is set to Yes, the specified aggregation count, which is editable, remains preserved until modified by the warehouse operator. If the specified aggregation count is fulfilled, a confirmation dialog box displays, and warehouse operators can choose to either continue to scan more serial numbers or submit. If the expected aggregation count is not fulfilled, the Expected aggregation count is not fulfilled. Do you want to print the label? dialog box displays:
- Yes – The Print and confirm new SSCC? dialog box displays that allows the warehouse operator to print the label.
- No – Allows the warehouse operator to scan more serial numbers.

If the warehouse operator cancels the print function after sending the serial number to the printer but before confirming the printed label, the new SSCC is deactivated.
To revert the aggregation or disaggregation of a child serial number, scan or enter the number again.
When the Register Unknown Serial Numbers SOM service configuration is enabled in Administration, along with the Allow Serial Number Registration? setting set to Allow Without Master Data in Management, these configurations determine whether unknown serial numbers can be registered while aggregating serial numbers to a new SSCC.
TraceLink controls the registration of unknown serial numbers for specific target markets based on the selected configuration in Administration:
- All Target Markets – Allows registration of unknown serial numbers regardless of the target market defined in Product Master Data (PMD).
- Exclude These Target Markets – If All Target Markets is selected but certain countries are listed under Exclude These Target Markets, unknown serial numbers cannot be registered in those excluded countries.
- Include These Target Markets – If All Target Markets is not selected, only the countries listed under Include These Target Markets will allow registration of unknown serial numbers. The country must be configured under Target Markets in the PMD for the registration to be valid.
To view a list of the Products (designated by packaging code), Lots, and Quantities contained within the parent serial number, select Products.
To view all child serial numbers contained within the parent serial number, select Serial Numbers.
To return to the shipment and cancel the new SSCC, select the Return icon.
For smartphone users, Smart Inventory Tracker automatically opens the camera to scan barcodes.
- Select the Close icon to disable the camera.
- Select the Open icon to enable the camera.

Modify an existing container associated to a delivery

Modify existing containers associated with a delivery using the Existing Container function within Ship function.

Select the Options icon at the top of any screen.
Select Manage Containers.
Select Existing Container from the drop-down.
Enter the Parent Serial Number for the existing parent container:
- Scan the barcode.
  or
- Enter the serial number manually and select Submit.
Enter the Child Serial Number to aggregate to or disaggregate from the Parent Serial Number:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.
If the Child Serial Number is not already contained within the Parent Serial Number, Smart Inventory Tracker aggregates it, and if the Child Serial Number is already contained within the Parent Serial Number, Smart Inventory Tracker disaggregates it.
See the information that displays for that serial number
- Product – Displays the packaging code associated with the serial number. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.

- Child Count – The number of child items currently aggregated to the parent container, which updates as children are scanned. If the parent container is an SGTIN or NTIN, Smart Inventory Tracker retrieves the Packaging Ratio from Product Master Data and displays the expected quantity of children in addition to the current count of children aggregated to the parent container, followed by the Packaging UOM of the children (e.g. if a case's Packaging Ratio indicates that the parent should contain 10 Eaches, and the container has 5 children aggregated, the Child Count is 5 of 10 EA).
Repeat the previous step for any other serial numbers that need to be aggregated to or disaggregated from the Parent Serial Number.
Select Submit.
Submit might be disabled because the contents of the parent container do not match expectations. See Troubleshooting for more information.
If the parent serial number is an SSCC or an SGTIN that contains the expected number of children, Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager, which:
- Commissions the Parent Serial Number if it currently has a Serial Number Status of Encoded or does not exist in the Serialized Operations Manager repository.
- Aggregates child serial numbers that were added to the parent container.
  If child serial numbers added to the parent container were already aggregated to another parent container, Serialized Operations Manager also disaggregates those child serial numbers from the initial parent container before aggregating them to the new parent container.
- Disaggregates serial numbers that were removed from the parent container.
If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.
If the parent serial number is an SGTIN that has not yet met the expected quantity of children, Smart Inventory Tracker prompts the warehouse operator to create a new SSCC to replace the partial SGTIN:
Select the device Back button to return to the existing SGTIN container.
1. Select the Company Prefix for the new SSCC parent container.

2. If the company allows the warehouse operator to enter specific information for the parent serial number's label:
  1. Select Additional Fields.
  2. Enter the information requested by a Manager (optional).
  3. Select Save.
3. Select Submit.
4. Select the Printer to send the serial number and associated information to.
5. Select Yes.
  TraceLink provisions the new serial number with Serial Number Exchange using the appropriate serial number template. Smart Inventory Tracker sends the new serial number and any required master data elements to the external printer application configured for the device's location.
6. Scan the printed Serial Number to confirm that the label printed correctly.
  Smart Inventory Tracker sends the serial numbers to Serialized Operations Manager, which disaggregates the children from the original SGTIN parent container, decommissions the original SGTIN, commissions the new SSCC parent container, and aggregates child serial numbers that were added to the parent container.
  If the child serial numbers were already aggregated to another parent container, Serialized Operations Manager also disaggregates those child serial numbers from the initial parent container before aggregating them to the new parent container.
  If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.

Tips

Warehouse operators must be assigned the Ship - Manage ContainersFunction to see the Manage Containers icon.

If the warehouse operator cancels the print function after sending the serial number to the printer but before confirming the printed label, the new SSCC is deactivated.

  If multiple deliveries are received in a single receipt, all delivery numbers contained in the receipt display with a space as a separator.
  Selecting a suspended Delivery Number resumes that delivery.
Enter the Serial Number to associate with the Delivery Number:

If a Manager has enabled registration without master data and an unknown serial number whose packaging code is not present in the company's product master data is entered, a dialog box displays for determining the packaging UOM of the unknown serial number as well as any additional unknown serial numbers entered with the same packaging code:
1. Select the level of packaging hierarchy for this serial number from the Packaging UOM drop-down:
  - Case/Shipper – A group of inner packs or a group of eaches if the packaging hierarchy does not include inner packs. Smart Inventory Tracker records the quantity of cases as 0.
  - Inner Pack/Bundle – A group of eaches (i.e. lowest saleable units). Smart Inventory Tracker records the quantity of inner packs as 0.
  - Each – The lowest saleable unit for the product. Smart Inventory Tracker records the quantity of eaches as 1.
2. Select Submit.
Repeat the previous step for any other serial numbers that must be received.
Select Receive.
Select the button that displays, depending on the company or location's configuration:
- If partial delivery is disabled:
  - Select Yes in the confirmation dialog box.
    
    Smart Inventory Tracker sends the delivery number and associated serial numbers to Serialized Operations Manager, which then updates the Item Status of the serial numbers and their children, if aggregated, to Available. If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.
- If partial delivery is enabled:
  1. Select the action to take with the delivery in the dialog box:
    - Complete the delivery – Receive the entire delivery, even if not all serial numbers have been physically received. Smart Inventory Tracker sends the delivery and its serial numbers to Serialized Operations Manager, where the serial numbers are set to Available and the receipt is marked as Submitted. This option only displays for companies whose Administrators also configure Serialized Operations Manager to allow partial deliveries. When Expected Quantity fulfilled dialog box is displayed, Complete the delivery is selected by default, but users can change the selection before submitting the delivery.
    - Save the delivery – Receive only part of the delivery. Smart Inventory Tracker sends the delivery and its serial numbers to Serialized Operations Manager, where the serial numbers are set to Available and the receipt is marked as Unsubmitted. The received serial numbers can be shipped without waiting for other products in the shipment to arrive and submit a receipt in Smart Inventory Tracker. When Expected Quantity not fulfilled dialog box is displayed, Save the delivery is selected by default, but users can change the selection before submitting the delivery.
  2. Select Submit.
    
    Smart Inventory Tracker sends the delivery number and associated serial numbers to Serialized Operations Manager, which then updates the serial numbers based on the action selected.
    
    If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.

Tips

To remove a serial number from the delivery, scan or enter it a second time, and select Yes in the dialog box.
- If the Don't show me this message again checkbox in this dialog box was previously selected during the current delivery, the serial number is automatically removed from the shipment without confirmation.
To view a list of the Products (designated by item code), Lots, and Quantities associated with the delivery number, select Products.
To sort the Product Lot or the Associated / Expected Quantity column:
- Select the sort icon to remove sorting from all other columns, then select it again to sort the data entries by the number of scanned serial numbers.
- Select the ascending sort icon or descending sort icon to sort the data entries. By default, sorting is in ascending order based on the percentage of scanned serial numbers relative to the expected count.
To view all serial numbers associated with the delivery number, select Serial Numbers.
The Serial Number field updates with every scan of an SGTIN/NTIN serial number to register unknown serial numbers based on the Register Unknown Serial Numbers SOM service configuration in Administration. The system behavior depends on the selected option:
- All Target Markets – TraceLink registers all unknown serial numbers, regardless of the Ship to Country or Target Market settings in Product Master Data (PMD) for the scanned item.
- Exclude These Target Markets – If the Ship to Country for a Serialized Operations Manager (SOM) shipment is in the exclusion list, and the products in that shipment have the Traceability Required checkbox enabled in PMD, the scan fails, and the serial number is discarded for those specific target markets.
- Include These Target Markets – If the Ship to Country for a SOM shipment is in the inclusion list, TraceLink allows unknown serial numbers to be registered for those specific target markets.
To suspend a receipt, select the Suspend icon in the upper right, and select Yes in the dialog box.
Smart Inventory Tracker saves all serial numbers added to the delivery number, and the delivery can be resumed at a later time by any user.
To cancel a delivery, select the Cancel icon in the upper right, and select Yes in the dialog box.
Smart Inventory Tracker removes all serial numbers associated with the receipt, but the delivery number still exists in Serialized Operations Manager.
For smartphone users, Smart Inventory Tracker automatically opens the camera to scan barcodes.
- Select the Close icon to disable the camera.
- Select the Open icon to enable the camera.

Receive returned product

Select the Options icon at the top of any screen.
Select Return.
Identify the delivery to receive with one of the following:
A delivery number
- Enter the Delivery Number:
  1. Scan the barcode.
    or
    Enter the delivery number manually, and select Submit.
  2. If the delivery number already exists:
    Select the desired combination of Delivery Number, From Business, and Ship From Location from the list of delivery numbers.
    or
    Select the Add icon to create a new shipment with the existing delivery number.
    If multiple deliveries are received in a single receipt, all delivery numbers contained in the receipt display with a space as a separator.
    Selecting a suspended Delivery Number resumes that delivery.
A transaction ID
- Enter the transaction ID associated with the delivery in the Transaction ID or Serial Number field:
  - Scan the barcode.
    or
  - Enter the transaction ID manually and select Submit.
  If only one delivery number is associated with the transaction ID, begin associating serial numbers to the delivery.
  If multiple delivery numbers are associated with the transaction ID, a list of the delivery numbers displays:
  1. Expand a delivery number.
    See the information that displays for each delivery number
    Receipt Date – The date that the delivery is expected to be received.
    Receipt Type – The type of receipt.
    From Business – The company that is returning the product.
    Ship From Location – The location that physically shipped the product.
    To Business – The company that is receiving the returned product.
    Ship To Location – The location that physically receives the product.
    Transaction IDs – The identifiers of any documents associated with the receipt.
    ID – The value of the identifier.
    Type –The type of the identifier.
    Date – The date printed on the document.
    Order Items – The order items included in the receipt.
    Product – The packaging code or country drug code associated with the product.
    Lot – The lot or batch number for that product.
    Expiry – The expiration date of that product.
    Quantity – The number of items expected for that order item.
  2. Select Receive to begin receiving serial numbers for that delivery number.
A serial number
- Enter a serial number already associated with the delivery in the Transaction ID or Serial Number field:
  - Scan the barcode.

  - Enter the serial number manually and select Submit.
Enter the Serial Number to associate with the Delivery Number:
- Scan the barcode.

- Quantity – The number of each-level serial numbers with the same product and lot number as the current Serial Number associated with the delivery, compared to the number of each-level serial numbers expected in the delivery, based on that order item in Serialized Operations Manager. Displays only the quantity associated if the delivery number does not have order items specified. View Products displays for SSCCs that contain children for multiple order items.
Repeat the previous step for any other serial numbers that must be received.
Select Return.

- Packaging Level – The level of the packaging hierarchy that this serial number belongs to.
  - Pallet – Cases, Inner Packs, or Eaches grouped together on a pallet.
  - Case / Shipper – A grouping of Inner Packs or Eaches packaged together.
  - Inner Pack / Bundle – A grouping of Eaches packaged together.
  - Each – The lowest salable unit of the product.
- Serial Number Status – The current serialization state of the serial number.
  - Commissioned – The serial number is associated with a particular product and lot number.
  - Deactivated – The serial number is deactivated. Only serial numbers in reserved or encoded states can be deactivated.
  - Decommissioned – The serial number is no longer associated with a particular product and lot number.
  - Destroyed – The serial number is terminated. Destroyed serial numbers cannot be re-commissioned.
  - Encoded – The serial number is encoded. This state typically applies to label or carton pre-printing. This state comes after Reserved and before Commissioned.
  - Reserved – An assignment of the serial number's packaging location.
  - Unreserved – The removal of the serial number's packaging location assignment.
  - Registered – The serial number came to the company without serial number information and was registered upon receipt or repackaging.
- Item Status – The state of the product associated with the serial number.
  - Available – Item is available for picking.
  - Blocked – Item is unavailable for picking.
  - Pending Receipt – The transfer of ownership is in an interim state because the shipment awaits receipt confirmation at the receiving location.
  - Picked – There is an item reservation against a specific outbound delivery indicating item picking is complete.
  - Received – There is an item reservation against a specific outbound delivery indicating items are received.
  - Shipped – The transfer of ownership is in an interim state, as the shipment is en route to the receiving location.
  - Under Investigation – The item is quarantined or in a holding state due to a product investigation. The serial number cannot be included in a sales shipment.
- Product – Displays the packaging code associated with the serial number. Mixed is displayed for SSCCs with multiple lot numbers or no lot number defined.
- Lot – The batch or lot number associated with the product. Mixed or N/A displays for SSCCs with multiple lot numbers or no lot number defined, respectively.
- Expiry – The expiration date associated with the serial number's lot. Mixed or N/A displays for SSCCs with multiple lot numbers or no lot number defined, respectively.
- Transaction ID – The delivery number for the latest shipment that the serial number is associated with. If the serial number is associated with a receipt or return, this field does not display.
- Child Count – The number of child serial numbers that this serial number contains.
- Parent Container – The parent serial number that contains this serial number. Displays as blank if no parent exists.
  Select Parent Container to view the serial number status of the parent serial number.

Tips

If the serial number contains multiple products or lot numbers, select Products to view a list of the Products (designated by item code), Lot Numbers, and Quantities contained within the serial number.
If the serial number has children, select Serial Numbers to view the child serial numbers.

Update serial numbers to commissioned

Update previously commissioned serial numbers. Serial numbers that have never been commissioned cannot be commissioned in Smart Inventory Tracker.

Select Update Number Status.
Select Commission.
Select the Update Type:
- Product Status Update – The product's status changed, and the serial number status needs to be updated accordingly.
- Incorrect Product Status – The current serial number status is incorrect.
Select the Item Status of the product associated with the serial number:
- Available – Item is available for picking.
- Blocked – Item is unavailable for picking.
- Pending Receipt – The transfer of ownership is in an interim state because the shipment awaits receipt confirmation at the receiving location.
- Picked – There is an item reservation against a specific outbound delivery indicating item picking is complete.
- Received – There is an item reservation against a specific outbound delivery indicating items are received.
- Shipped – The transfer of ownership is in an interim state, as the shipment is en route to the receiving location.
- Under Investigation – The item is quarantined or in a holding state due to a product investigation. The serial number cannot be included in a sales shipment.
Select a Reason Code to describe further details about the update (optional):
- Damaged – The product is damaged.
- Expired – The product reached its' expiration date.
- Misplaced – The product is missing.
- Quality Released – The product is recalled by the Pharmaceutical Manufacturer.
- Recalled – The product is recalled by the Pharmaceutical Manufacturer.
- Sampled – The product is sampled for quality testing.
- Stolen – The product is stolen.
- Withdrawn – The product is removed from the market by the Pharmaceutical Manufacturer.

Decommission serial numbers to make them unavailable for processing. Decommissioned numbers can be reused later.

Select Update Number Status.

- None
- Damaged – The product is damaged.
- Defective – The product does not function as intended.
- Dispensed – The product is dispensed.
- Disposed – The product is disposed of.
- Expired – The product reached its' expiration date.
- Inappropriately Stored – The product has been stored improperly and is no longer fit for sale.
- Misplaced – The product is missing.
- Recalled – The product is recalled by the Pharmaceutical Manufacturer.
- Repackaged – The product is repackaged from a different source product.
- Returned – The product has been returned and cannot be resold.
- Sampled – The product is sampled for quality testing.
- Sampled - Archival – The product is sampled to store as a record.
- Sampled - Clinical Study – The product is sampled for a clinical study.
- Sampled - Customs Control – The product is sampled for inspection control by customs authorities.
- Sampled - Federal Inspection – The product is sampled for federal inspection.
- Sampled - Marketing Demonstration – The product is used in a marketing demonstration.
- Sampled - Pharmaceutical Study – The product is sampled for a post-registration pharmaceutical study, to support submitted changes to a dossier.
- Sampled by Authorities – The product is sampled by government authorities.
- Sampled - Selective Control – The product is sampled by health authorities as needed to ensure quality standards.
- Spoilage – The product is spoiled due to exposure (e.g. heat, oxygen, moisture, microrganisms).
- Stolen – The product is stolen.

- Quantity – The total quantity of eaches that are aggregated to the scanned Serial Number. The quantity of eaches is based on the total number of eaches aggregated to all of the serial numbers scanned for update. With every scan or rescan of the serial numbers, the Quantity is respectively incremented or decremented synchronously.
Repeat the previous step for any other serial numbers that must be decommissioned.
Complete the following steps if one or more serial numbers has a Target Market of Russia:
1. Select the Operational Facility that physically decommissions the product.
2. Select the Destruction Method used on the product:
  - Liquid - Dilution and Drainage – The ampoule is crushed, and the liquid product is diluted and discharged into industrial sewers.
  - Solid - Dilution and Discharge – The solid product is crushed, diluted, and discharged into industrial sewers.
  - Incineration – The product is consumed in an incinerator.
3. Enter the Transaction ID to associate with the event:
  - Scan the barcode.
    or
  - Enter the transaction identifier manually, and select the Submit icon.
  The Removal from Circulation Transaction ID Type displays.
4. Enter the Transaction Date associated with the Removal from Circulation document.
Select Submit.
Select Yes in the confirmation dialog box.

Smart Inventory Tracker sends all serial numbers in the update queue to Serialized Operations Manager, which then updates their Serial Number Status to Decommissioned. If any serial numbers are aggregated, Serialized Operations Manager:
- Decommissions all child serial numbers associated with a decommissioned parent container.
- Disaggregates decommissioned child numbers from their parents and decommissions any containers left empty.
If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.

The Serial Number field updates after scanning a barcode to register unknown serial numbers based on the Register Unknown Serial Numbers SOM service configuration in Administration. The system behavior depends on the selected option:

Destroy serial numbers associated with products that are damaged or no longer saleable.

Select Update Number Status.

- None
- Damaged – The product is damaged.
- Defective – The product does not function as intended.
- Dispensed – The product is dispensed.
- Disposed – The product is disposed of.
- Expired – The product reached its' expiration date.
- Inappropriately Stored – The product has been stored improperly and is no longer fit for sale.
- Misplaced – The product is missing.
- Recalled – The product is recalled by the Pharmaceutical Manufacturer.
- Repackaged – The product is repackaged from a different source product.
- Returned – The product has been returned and cannot be resold.

- SN Status – The current serialization state of the serial number.
  - Commissioned – The serial number is associated with a particular product and lot number.
  - Decommissioned – The serial number is no longer associated with a particular product and lot number.
  - Encoded – The serial number is encoded. This state typically applies to label or carton pre-printing. This state comes after Reserved and before Commissioned.
  - Reserved – An assignment of the serial number's packaging location.
  - Unreserved – The removal of the serial number's packaging location assignment.
  - Registered – The serial number came to the company without serial number information and was registered upon receipt or repackaging.
- Item Status – The state of the product associated with the serial number.
  - Available – Item is available for picking.
  - Blocked – Item is unavailable for picking.
  - Pending Receipt – The transfer of ownership is in an interim state because the shipment awaits receipt confirmation at the receiving location.
  - Picked – There is an item reservation against a specific outbound delivery indicating item picking is complete.
  - Received – There is an item reservation against a specific outbound delivery indicating items are received.
  - Shipped – The transfer of ownership is in an interim state, as the shipment is en route to the receiving location.
  - Under Investigation – The item is quarantined or in a holding state due to a product investigation. The serial number cannot be included in a sales shipment.
- Quantity – The total quantity of eaches that are aggregated to the scanned Serial Number. The quantity of eaches is based on the total number of eaches aggregated to all of the serial numbers scanned for update. With every scan or rescan of the serial numbers, the Quantity is respectively incremented or decremented synchronously.
Repeat the previous step for any other serial numbers that must be destroyed.
Complete the following steps if one or more serial numbers has a Target Market of Russia:
1. Select the Operational Facility that physically decommissions the product.
2. Select the Destruction Method used on the product:
  - Liquid - Dilution and Drainage – The ampoule is crushed, and the liquid product is diluted and discharged into industrial sewers.
  - Solid - Dilution and Discharge – The solid product is crushed, diluted, and discharged into industrial sewers.
  - Incineration – The product is consumed in an incinerator.
3. Enter the Transaction ID to associate with the event:
  - Scan the barcode.
    or
  - Enter the transaction identifier manually, and select the Submit icon.
  The Removal from Circulation Transaction ID Type displays.
4. Enter the Transaction Date associated with the Removal from Circulation document.
Select Submit.
Select Yes in the confirmation dialog box.

Smart Inventory Tracker sends all serial numbers in the update queue to Serialized Operations Manager, which then updates their Serial Number Status to Destroyed. If any serial numbers are aggregated, Serialized Operations Manager:
- Destroys all child serial numbers associated with a destroyed parent container.
- Disaggregates destroyed child numbers from their parents and destroys any containers left empty.
If any event workflows are configured in Company Administration, TraceLink prompts the corresponding compliance reports.

To remove a serial number from the update queue, scan or enter it a second time, and select Yes in the dialog box.
- If the Don't show me this message again checkbox in this dialog box was previously selected during the current update, the serial number is automatically removed from the queue without confirmation.
The Serial Number field updates after scanning a barcode to register unknown serial numbers based on the Register Unknown Serial Numbers SOM service configuration in Administration. The system behavior depends on the selected option:
- All Target Markets – Allows the serial number to be registered, regardless of the target market defined in Product Master Data (PMD) for the scanned item.
- Exclude These Target Markets – If the scanned item’s target market country, as defined in PMD, has Traceability Required checkbox enabled, and is in the exclusion list, the scan fails with an error, and the serial number is discarded.
- Include These Target Markets – If the scanned item’s target market country, as defined in PMD, is in this inclusion list, TraceLink allows the serial number to be registered. Other existing validations still apply and are performed after this check.
In the Serial Number field, a validation is applied with every scan of a SGTIN/NTIN serial number to register unknown serial numbers:
- The product has multiple target markets defined in PMD, and at least one country has the Traceability Required checkbox is disabled or is not configured.
- The Traceability Required checkbox is not configured for the Ship to Country in PMD.
To view all serial numbers in the update queue, select Serial Numbers.
To cancel the update, select the Cancel icon in the upper right, and select Yes in the dialog box. Smart Inventory Tracker removes all serial numbers from the update queue.
For smartphone users, Smart Inventory Tracker automatically opens the camera to scan barcodes.
- Select the Close icon to disable the camera.
- Select the Open icon to enable the camera.

Register unknown serial numbers

Register unknown serial numbers with the company's Serialized Operations Manager repository so that other warehouse operators can perform actions such as adding the serial numbers to a shipment or destroying them.

Select the Options icon at the top of any screen.
Select Update Number Status.
Select Register.
Scan the Serial Number.
See the information that displays for that serial number
- Product – Displays the packaging code associated with the serial number. Displays only for SGTINs.
- Lot – The batch or lot number associated with the product. Displays only for SGTINs.
- Expiry – The expiration date associated with the serial number's lot. Displays only for SGTINs.
- Total Count – The quantity of serial numbers that the warehouse operator has entered to be registered after selecting Submit.
Repeat the previous step for any other serial numbers that must be registered.
Select Submit.
Select Yes in the confirmation dialog box.
Smart Inventory Tracker sends all serial numbers in the update queue to Serialized Operations Manager, which registers the serial numbers in the Serialized Operations Manager repository.

Sample serial numbers

Mark product as sampled for quality assurance or inspection by government authorities. Smart Inventory Tracker does not decommission or destroy sampled serial numbers. If a compliance organization requires reporting of a sample event before a decommission or destroy event, sample the serial number here.

Select the Options icon at the top of any screen.
Select Update Number Status.
Select Sample.
Enter the ISO 2-digit Inspection Country Code for the country where the company is sampling the product.
Enter the identifier of the company or location sampling the product in the Sampling Entity field.
Select one of the following reasons the product is sampled from the Reason Code drop-down (required if the Inspection Country Code is Russia):
- Archival – The product is sampled to store as a record. Serialized Operations Manager records this Reason Code as Sampled. Archival will be reported to Russia in the future.
- Conformity Control – The product is sampled by health authorities when imported to ensure quality standards. Serialized Operations Manager records this Reason Code as Sampled by Authorities. Conformity Control will be reported to Russia in the future.
- Selective Control – The product is sampled by health authorities as needed to ensure quality standards. Serialized Operations Manager records this Reason Code as Sampled by Authorities. Selective Control will be reported to Russia in the future.
Serialized Operations Manager records the Reason Code as Sampled if this field is left blank.
Enter the Reason Description to describe further details about the update (optional, maximum 100 characters).
Enter the Serial Number:
- Scan the barcode.

- Enter the serial number manually and select the Submit icon.

Search transactions

Select the Options icon at the top of any screen.
Select Search Transactions.
Enter the Serial Number to search for, and restore or delete an in-progress transaction:
- Scan the barcode.
  or
- Enter the serial number manually and select the Submit icon.

- Transaction Type – The name of the function screen that the serial number was originally scanned on:
  - New SSCC
  - New SGTIN
  - Existing Container
  - Ship – New SSCC
- Delivery Number – Number that uniquely identifies the delivery. Displays only when the current serial number was originally scanned against a delivery in the Ship function.
- Parent SN – The parent serial number of the item. Displays only if the current serial number was aggregated to it in the Existing Container function.
- Last Modified On – The date and timestamp when the last update was made on the original transaction for the current serial number.
- Last Modified By – The user ID of the person who was last working on the original transaction for the current serial number.
- Device Name – The name of the device that the original transaction for the current serial number was initiated on.
- UDID – The Unique Device ID of the device that the original transaction for the current serial number was initiated on.
- SN Count – The total quantity of serial numbers scanned against the original transaction.
Select the action to take with the locked serial number:
- Delete – Deletes the old entry of the scanned serial number along with all other serial numbers that were part of the original transaction. All serial numbers are unlocked and available on any device.
- Restore – Opens the respective function screen on the current device as the original transaction. The Restore button associates and displays all previous serial numbers that were part of this transaction. Users can continue scanning more serial numbers or submit the transaction as is.

Tips

Warehouse operators must be assigned the Search Transactions permission to see the Search Transactions icon.

Record exception

Select the Options icon at the top of any screen.
Select Record Exception.
Enter one of the following:
A delivery number
- Enter the Delivery Number:
  - Scan the barcode.
    or
  - Enter the delivery number manually and select Submit.
A transaction ID
- Enter the transaction ID associated with the delivery in the Transaction ID or Serial Number field:
  - Scan the barcode.
    or
  - Enter the transaction ID manually and select Submit.
A serial number
- Enter a serial number already associated with the delivery in the Transaction ID or Serial Number field:
  - Scan the barcode.
    or
  - Enter the serial number manually and select Submit.
On Submit, the system checks for a matching delivery:
1. If a matching delivery is found, then receipt details is displayed.

  - Receipt Date – The date that the delivery is expected to be received.
  - Receipt Type – The type of receipt.
  - From Business – The company that is selling or transferringreturning the product.
  - Ship From Location – The location that physically shipped the product.
  - To Business – The company that is buying or receiving the returned product.
  - Ship To Location – The location that physically receives the product.
  - Transaction IDs – The identifiers of any documents associated with the receipt.
    ID – The value of the identifier.
    Type –The type of the identifier.
    Date – The date printed on the document.
  - Order Items – The order items included in the receipt.
    Product – The packaging code or country drug code associated with the product.
    Lot – The lot or batch number for that product.
    Expiry – The expiration date of that product.
    Quantity – The number of items expected for that order item.
  1. Select Record Exception and continue to enter exception details.
2. If no matching delivery is found, a warning prompt is displayed "No matching delivery found in SOM, Do you want to continue recording exception?". Select Yes to proceed to fill-up exception details.
Enter the exception details:
1. Select one of the following Exception Type:
  If Data No, Product or Damaged Product
  1. Select one of the exception type:
    
    Data, No Product – The product information exists but products are not physically received. Selecting this option fetches all serial numbers in the delivery that are in the Pending Receipt Item Status and displays them in the Serial Number field.
    
    Damaged Product – A damaged or unusable product is received.
  2. Enter Description that occurred for specified serial numbers.
  3. Enter the Serial Numbers and select the Submit icon. This field is enabled when Exception Type is selected.

  - Product, No Data – A product is received and there is no accompanying serialization information for that product. Enter the following details:
    
    Description – Enter description of the exception to be raised against the receipt.
    
    Delivery Number – Enter the delivery number manually (up to 255 characters).
    
    Transaction ID – Enter a transaction ID (up to 255 characters).
    
    Transaction ID Type – Specify the type associated with the entered transaction identifier.
    
    Transaction Date – Specify a transaction date.
    
    From Business – Enter the identifier and the name of the company sending the receipt.
    
    Ship From Location – Enter the location of the business sending the receipt.
    
    To Business – Enter the identifier and the name of the company receiving the delivery.
    
    Ship To Location – Enter the location of the business receiving the delivery.
    
    Serial Number – Enter the serial number manually and select the Submit icon.

The exception is recorded and can be viewed in the View Exceptions in SOM.

Tips

To view the list of scanned serial numbers associated with an exception, select Serial Numbers. Users can check the list before recording the exception and the option is visible only when serial numbers are present.
