Manage Workflow

Overview

Hover over Company Administration on the User Profile drop-down in the top right of any screen, and then select Workflow.

  • Update the settings that prompt automatic responses to various events within TraceLink.

    For example, enable workflows to automatically generate:

    • Compliance reports
    • Documents of Serialization (DoS)
    • Messages (e.g. processing response, EPCIS)
  • Specify which recipients or senders must receive a workflow's Resulting Action. Setting a configurable workflow's recipients or senders reduces duplicate or unwanted messages from being delivered to recipients or senders that either do not use or do not need the event’s information.

    • Only workflows with either of the following support recipient list or sender list configuration:

    • A System Type of MAH Workflow, CMO Workflow, or 3PL Workflow.

      • or

    • A Recipient System of Ship To Party.
  • Export the results table to a CSV file to save a record of the filtered events and any configured recipients or senders.

Search Criteria

  • Event Source – Only events from the specific app selected return in the results table.
  • Recipient System – Only events that trigger actions in the specific app selected return in the results table.
  • Workflow Status – Only events with the status selected return in the results table.
    • All
    • Enabled – Events that have the Resulting Actions check-box selected.
    • Disabled – Events that do not have Resulting Actions check-box selected

  • Recipient List Configured – When selected, only events that have a configured recipient list return in the results table.

    Displays instead of the sender configuration for the workflows that support a list of recipients instead of a list of senders.

  • Sender List Configured – When selected, only events that have a configured sender list return in the results table.

    Displays instead of the existing recipient configuration for the workflows that support a list of senders instead of a list of recipients.

  • Event – The event that occurs within TraceLink.
  • Event Source – The name of the app where the event occurs.
  • Application – The type of app where the event occurs.
  • Recipient Configuration – The type of recipient list associated with a configurable workflow.
  • Resulting Actions – The action that TraceLink automatically prompts when the event occurs. If selected, the event triggers the action listed.
  • Recipient System – The name of the app that receives the automatic action when the event occurs. Displays instead of the existing sender configuration for the workflows that support a list of recipients or senders instead of a list of senders.
  • System Type – The type of app that receives the automatic action when the event occurs.

Import Recipient or Sender Configuration Dialog Box

SGLN is mandatory to validate company IDs in the workflow inclusion and exclusion lists against Company Master Data, ensuring that information is shared only with the intended companies or partners configured within the company instances.

  • Recipient List – The type of configuration applied to the companies included in the recipient list (displays only if Adjust Configuration is set to Manual Entry).
    • Inclusion List – Only the companies included in the recipient list receive the workflow's Resulting Action message or event.
    • Exclusion List – Only the companies not included in recipient list receive the workflow's Resulting Action message or event.

    • Displays instead of the sender configuration for the workflows that support a list of recipients instead of a list of senders.

  • Sender List – The type of configuration applied to the companies included in the sender list (displays only if Adjust Configuration is set to Manual Entry).
    • Inclusion List – Only the companies included in the sender list send the workflow's Resulting Action message or event.
    • Exclusion List – Only the companies not included in the sender list send the workflow's Resulting Action message or event.

    Displays instead of the existing recipient configuration for the workflows that support a list of senders instead of a list of recipients.

  • CSV File – The correctly formatted CSV file containing partner identifiers.

    The CSV file must be properly formatted or it will not be accepted by TraceLink.

    • CompanyName – The name of the partner company.
    • IdentifierType – The identifier type used to identify the partner company, as entered on the Manage Partners screen.
    • IdentifierValue – The value of the partner company's identifier, as entered on the Manage Partners screen.

Available Actions

  1. Select an Event Source from the drop-down.
  2. Select a Recipient System from the drop-down.
  3. Select Search.

    The results display in the table.

  1. Select or deselect the Resulting Actions checkbox for one or more Events.

    Deselect the Resulting Actions checkbox for an Event with a configured recipient or sender list permanently removes the recipient or sender list upon save.

  2. Select Save.

    The screen refreshes, and TraceLink saves the updated workflows.

Only workflows with either of the following support recipient list or sender list configuration:

  • A System Type of MAH Workflow, CMO Workflow, or 3PL Workflow.

    • or

  • A Recipient System of Ship To Party.
  1. Select the Resulting Actions checkbox for the desired Event.

  2. Select Save.

    The screen refreshes, and TraceLink saves the updated workflows. The Import File icon and View icon display in the Actions column for any newly enabled configurable workflows.

  3. Select the Import File icon in the Actions column of the results table.

    The Import Recipient or Sender Configuration dialog box opens.

  4. Select a Recipient List or Sender List type from the radio-buttons.
  5. Select Choose File.
  6. Browse for and select the desired CSV File.

  7. Select Submit.

    TraceLink processes the imported recipients or senders and updates the workflows accordingly.

  • Select the View icon in the Actions column of the results table.

    The View Workflow Configuration screen displays.

  • Select Export Results to CSV above the results table.

    The file downloads.

Error Messages

Error Message Description
Identifier [Identifier Type] [ID Value] cannot be found on your Manage Partners identifiers list The uploaded file contains an Identifier Type with a value that does not match the value listed for that identifier in Manage Partners.
A Company Name must be provided for each row. An entry in the uploaded file does not have a CompanyName value.
Identifier Type and Value is listed in the CSV file more than once. The recipient list cannot contain duplicate Identifier Type and Values. The uploaded file contains the same Identifier Type and Value pairing more than once.
Identifier type [identifier type] is not supported for this feature The uploaded file contains an Identifier Type that is invalid.
