Inbound Movement

Search Receipts

Select the Inbound Movement option on the left.
Select the View Receipts link.
The View Receipts screen displays.
Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.

Fill in one or more of the following search fields:

Delivery Number - Number that uniquely identifies the shipment. For all manually triggered reports, ensure that the Delivery Number is unique for every delivery.
Receipt Type - The type of message.
- Purchase - Import - A purchase into one country from another.
- Purchase - In Country - A purchase within the same country.
- Return - Import - A return into one country from another.
- Return - In Country - A return within the same country.
- Transfer - Import - A transfer into one country from another.
- Transfer - In Country - A transfer within the same country.
Status - The receipt's status.
- Submitted - A completed receipt (ownership is transferred).
- Unsubmitted - A receipt that is pending completion.
- Voided - All - All receipts with void events.
- Voided - Cancelled - A previously submitted receipt that is now void due to a customer cancellation.
- Voided - Corrected - A previously submitted receipt that indicates a void event as a result of incorrect information, which now includes the correct information.
- Voided - Not Corrected - A previously submitted receipt that indicates a void event as a result of incorrect information yet still requires correction.
Date On Or After - The earliest date for the receipt search.

Date On Or Before - The latest date for the receipt search.

Date Options

The available search options depend on the status:

Keywords - Text within one of the following receipt fields that can be searched:
- From and To Business Name
- From and To Business Identifier
- From and To Location Name
- From and To Location Identifier
- Transaction Identifier

Select the Search button.
The results display in the table.

Tips

Select the Delivery Number link in the leftmost column for receipts with a Status of Unsubmitted to access the Update Receipt screen.
Select the Delivery Number link in the leftmost column for receipts with a Status of Submitted to access the View Submitted Receipt screen.

Prerequisites

Serial numbers must have the Pending Receipt or Shipped state to be received.

Create a Receipt

Select the Inbound Movement option on the left.
Select the Create Receipt link.
The Create Receipt screen displays.
Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.

On the "1. Enter Receipt Information" step:

Enter the unique Delivery Number for the receipt.
Enter the Shipment Date for the receipt.

Set as the Transaction Date for compliance purposes.

Select the Receipt Type from the drop-down:
- Purchase - Import - A purchase into one country from another.
- Purchase - In Country - A purchase within the same country.
- Return - Import - A return into one country from another.
- Return - In Country - A return within the same country.
- Transfer - Import - A transfer into one country from another.
- Transfer - In Country - A transfer within the same country.
Select the Receive Transfer Without Corresponding Shipping Event checkbox to indicate that the delivery does not have a corresponding delivery in Serialized Operations Manager to be received against (optional). All serial numbers must have an Item Status of Available.
If this receipt is correcting a previously voided receipt:
1. Select the Correcting Voided Receipt checkbox (optional).
2. Enter the Voided Delivery Number being corrected (required if the above checkbox is selected).
Enter the 2-letter ISO Ship From Country Code (required if the Sale Type is Sale – Export, Return – Export, or Transfer – Export and the From Business and To Business fields are blank).
Enter the 2-letter ISO Ship To Country Code (required if the Sale Type is Sale – Export, Return – Export, or Transfer – Export and the From Business and To Business fields are blank).
Enter the name or identifier of the company that currently owns the product in the From Business field (see the country requirements).
Enter the name or identifier of the company taking ownership of the product in the To Business field (see the country requirements).
Enter the name or identifier of the location from which the product is departing in the Ship From Location field (optional).
Enter the name or identifier of the location receiving the product in the Ship To Location field (optional).
Enter the name of the port where the shipment enters the ship to country in the Entry Port field (optional).
Enter the name of the port where the shipment leaves the ship from country in the Exit Port field (optional).
Enter the name or identifier of the company transporting the delivery in the Transportation Carrier field (optional).
Select to the right of the Transportation Carrier field to add additional Transportation Carriers to the delivery (optional).
Enter at least one Transaction ID in the table (see the country requirements):
Select the source of funds used to purchase the shipment from the Funding Source drop-down (see the country requirements):
- Extra Budget Funds - Funds not included in the budget are used to purchase the shipment.
- Federal Budget Funds - Federal government funds are used to purchase the shipment.
- Mixed Budget Funds - Both regional and federal government funds are used to purchase the shipment.
- Own Funds - The Company's own funds are used to purchase the shipment.
- Regional Budget Funds - State or regional funds are used to purchase the shipment.
Select the Contract Type from the drop-down (see the country requirements):
- Agency Sales Agreement - An agent performs legal actions and paid services for a manufacturer or supplier.
- Commission Sales Agreement - A sales agent earns commission for facilitating trade for an exporting company.
- Consignment Agreement - The buyer pays the manufacturer or supplier only when the product is sold.
- Competitive Bid - The right to fulfill the order is bid on by manufacturers and awarded to the manufacturer with the most favorable bid.
- Government Contract - Product is sold under a government or state contract.
- Private Contract - The buyer agrees to purchase product from the manufacturer.
Enter the identification number of the selected Contract Type in the Contract Number text field.

Select the purpose of the receipt from the Supply Type drop-down (see the country requirements):

Supply Type Options

Some countries use specific Supply Types for certain shipments, but currently only South Korea and Russia require this field.

Specify the reason that a product in the shipment is being removed from circulation in the Removal from Circulation Reason Code drop-down (optional):
Enter any Comments about the receipt, with a maximum of 200 characters (see the country requirements).

For example, enter “ZD” separated from other comments with a semicolon to indicate a price reduction for South Korea.

Select the Next button.

On the "2. Order Item Information" step:
This step is required only if the Ship To Country is South Korea and the Sale Type is Sale - In Country or Sale - Export, or the Ship To Country is Russia.
1. Select whether to Allow Short Verification Count from the drop-down (optional):
  - No - TraceLink does not allow the receipt to include fewer serial numbers than the amount entered in the Quantity field (default behavior if no option is selected).
  - Yes - TraceLink allows the receipt to include fewer serial numbers than the amount entered in the Quantity field.
2. Select the Add Another link to add an Order Item row for each product included in the receipt.
3. In each row:
  1. Enter the product's GTIN (Global Trade Item Number), NTIN, or Internal Material Number in the Item Code field.
  2. Enter the Quantity of items included in the receipt.
  3. Enter the product's unique Lot Number (optional).
  4. Enter the lot's Expiration Date (optional).
  5. Enter the Unit Price for the product (see the country requirements).
  6. Enter the VAT (Value Added Tax) per saleable unit of product in the text field (see the country requirements).
  7. Enter the total price per salable unit of product, including the unit price, taxes, and any additional fees or costs in the Gross Price field (see the country requirements).
  8. Enter the 3 letter ISO Currency Code for the Unit Price, VAT, and Gross Price fields (see the country requirements).
  9. Select whether the product is Serialized from the drop-down.
  10. Select any transaction identifiers to associate an Identifier Type with a specific product in the shipment from the Transaction IDdrop-down (e.g. the Purchase Order for an Item Code entered in the table).
    Only Identifier Types added on the Enter Receipt Information step in the Transaction IDs table can be selected in the Order Items table. An Identifier Type can be included only once per Item Code (e.g. a Item Code cannot have two Invoice Numbers associated to it).
4. Select the Next button.
On the "3. Enter Serial Numbers" step:
1. Enter the name of the Warehouse Operator responsible for processing the receipt (optional).
2. Select the whether the physical contents of the delivery match the expected contents detailed in the delivery's documentation from the Delivery Inspection drop-down (optional):
  - Not Inspected - The contents of the delivery have not been inspected.
  - Inspected - Passed - The contents of the delivery have been inspected and match the associated documentation.
  - Inspected - Failed - The contents of the delivery have been inspected and do not match the associated documentation.
3. Enter the date that the product in the delivery is inspected in the Delivery Inspection Date field (optional).
4. Enter any additional information about the delivery inspection in the Delivery Inspection Note field (optional).
5. Select whether a delivery's aggregation hierarchy has been verified from the Aggregation Inspection Status drop-down (optional):
  - Verified - The aggregation hierarchy for the delivery has been scanned down to the each level.
  - Unverified - Only the top-level (e.g. pallet) aggregation hierarchy for the delivery has been scanned and the remaining aggregation levels are unknown to TraceLink.
  - Implied - The entire aggregation hierarchy for the delivery is known to TraceLink, but only the top level (e.g. pallet) has been scanned. The lower aggregation levels have been provided previously (e.g in an aggregation or shipment).
6. Select the Delivery Complete checkbox to indicate that no additional serial numbers associated with the delivery number are going to be received (optional). This checkbox is only enabled if an Administrator has configured SOM to receive partial deliveries.
7. Enter the Serial Numbers under Enter By List (required if no serial numbers are Entered By Lot):
8. Select the Automatically disaggregate serial numbers that are aggregated to another number checkbox to disaggregate any child serial numbers from their parent containers.
9. Select the Register Unknown Serial Numbers checkbox to register any serial numbers included in the receipt without serialized event information in the Serialized Operations Manager repository
  A product's GTIN must be defined in Product Master Data before any of its associated serial numbers can be registered in the Serialized Operations Manager repository.
Select the Submit button.
The View Receipts screen displays. The confirmation message "Receipt [Delivery Number] submitted." displays at the top.

Tips

Select the Save for Later button to save the information and return to the View Receipts screen.
- Select a Delivery Number link for any row with a Status of Unsubmitted on the View Reciepts screen to update a saved receipt.

Country Requirements

Some optional fields might be mandatory per a country's regulatory requirements:

Brazil:
- Transaction ID (indicate a Packing Slip Number and/or an Invoice Number)
China:
- Transaction ID (indicate a Purchase Order Number)
Russia:
- Transaction ID (indicate a Document Date when the Ship To Country is Russia)
- Funding Source (required when the Ship To Country is Russia and the Ship From Country is Russia)
- Order Items (one row required with a Unit Price and Currency Code when the Ship To Country is Russia and the Ship From Country is Russia, Armenia, Belarus, Kazakhstan, or Kyrgyzstan)
South Korea:
- Contract Type
- Supply Type (required if the Ship From Country is Korea and the Sale Type is Return-In Country)
- Transaction ID
- Comment (use to specify a price exception or delivery number, e.g. "ZD;[additional comments]" for a price exception and "DEL:[value];[additional comments]" for a delivery number)
Turkey:
- Transaction ID (indicate a Purchase Order Number and/or a Shipment (ASN) Number)
United States:
- Transaction ID (indicate a Purchase Order Number, a Shipment (ASN) Number, and/or an Invoice Number)

The From Business and To Business fields are always required for Return shipments and might be required for Transfer and Sale shipments, depending on the Ship From Country Code and Ship To Country Code.

Declare Items to Customs for Import

Select the Inbound Movement option on the left.
Select the Declare Country Clearance link.
The Declare Country Clearance screen displays.
Select the manufacturing location that provisioned the serial numbers from the Show Data From drop-down in the upper right.
Select the Clearance Type given to the shipment from the radio buttons:
- Customs - Customs declaration of goods that are being transferred between countries.
- Trade - Declaration of goods that are being transferred between countries that have a cooperative trade agreement.
Enter the company or location importing the shipment in the Importing Party field.
Enter the country that the product is imported from in the Importing From Country field.
Enter the country that the product is imported to in the Importing to Country field.
Enter the Customs Authority Code of the customs agency performing the clearance (optional and displays only if Clearance Type is Customs).
Enter the Customs Declaration Release Number of the items approved for release by customs (optional and displays only if Clearance Type is Customs).
Select the result of the customs inspection from the Customs Action drop-down (optional and displays only if Clearance Type is Customs):
- Issue for Domestic Consumption - The shipment is granted clearance to be sold and consumed domestically.
- Customs Transit - The shipment contains product that is being transported through the Importing To Country but will not be distributed there.
- Destruction - The shipment is designated for destruction.
- Export - The shipment contains domestic or local products and is sent to another country.
- Refusal in Favor of the State - The shipment is refused clearance by the regulatory customs authority.
- Re-export - The shipment contains products already imported into the country and is sent to another country.
Enter the date that the shipment is registered with customs on from the Registration Date field (displays only if Clearance Type is Customs).
Enter any loose and unrelated items the shipment in the Loose Items table:
This table requires at least one row if the Homogeneous Containers and Mixed Containers tables are empty.
1. Select the Item link to add an item to the table.
2. Select the transaction Identifier Type associated with the imported items and serial numbers.
3. Enter the Identifier Value of the transaction in the text field.
4. Enter the date printed on the document in the Document Date field.
5. Enter the monetary value of the shipment determined by the customs authority in the Customs Amount field (displays only if Clearance Type is Customs).
6. Enter the 3 letter ISO Currency Code of the currency that Customs Amount is entered in (displays only if Clearance Type is Customs).
7. Enter the Serial Numbers of the Loose Items by selecting one of the following:
  - Select Upload Serial Numbers from File:
    1. Select the Choose File button.
    2. Browse for and select the desired CSV file.
    or
  - Select Scan Serial Numbers:
    - Enter the serial numbers in the text field (limit of 30,000 characters).
      or
    - Scan the serial numbers in the text field (limit of 30,000 characters) with an Edge device.
Enter the containers in the shipment that consist of one or more lots of the same product in the Homogeneous Containers table:
This table requires at least one row if the Loose Items and Mixed Containers tables are empty.
1. Select the Item link to add an item to the table.
2. Select the transaction Identifier Type associated with the imported items and serial numbers.
3. Enter the Identifier Value of the transaction in the text field.
4. Enter the date printed on the document in the Document Date field.
5. Enter the monetary value of the shipment determined by the customs authority in the Customs Amount field (displays only if Clearance Type is Customs).
6. Enter the 3 letter ISO Currency Code of the currency that Customs Amount is entered in (displays only if Clearance Type is Customs).
7. Enter the Serial Numbers contained within the Single-Product Case/Pallet by selecting one of the following:
  - Select Upload Serial Numbers from File:
    1. Select the Choose File button.
    2. Browse for and select the desired CSV file.
    or
  - Select Scan Serial Numbers:
    - Enter the serial numbers in the text field (limit of 30,000 characters).
      or
    - Scan the serial numbers in the text field (limit of 30,000 characters) with an Edge device.
Enter the products within the parent containers that consist of different products in the Mixed Containers table:
This table requires a Container Serial Number, Item Code, and Lot Number if the Loose Items and Homogenous Containers tables are empty.
1. Select Item/Container to add a container or a container's item to the table.
2. Enter a Container Serial Numberin the text field.
3. Enter The GTIN Packaging Code of the product in the type-ahead field.
4. Enter a Lot Numberin the text field.
5. Select the transaction Identifier Type associated with the imported items and serial numbers.
6. Enter the Identifier Value of the transaction in the text field.
7. Enter the date printed on the document in the Document Date field.
8. Enter the monetary value of the shipment determined by the customs authority in the Customs Amount field (displays only if Clearance Type is Customs).
9. Enter the 3 letter ISO Currency Code of the currency that Customs Amount is entered in (displays only if Clearance Type is Customs).
Select the Submit button.
A confirmation dialog box displays.
Select the Confirm button.
The dialog box closes, and the confirmation message "TraceLink is processing the country clearance information for these products. See Info Exchange for its status." displays at the top of the screen.
