Search Partner Companies and Locations

Watch how to create a Trade Partner Report!

  1. Hover over Master Data Exchange in the Modules drop-down at the top of the screen, and then select Partner Master Data.
  2. Fill in one or more of the following search fields:
    • Company - Location Name – The name for a specific location.
    • City – The city for a company or location.
    • State/Region – The state or region for a company or location.
    • Company - Location ID – The identifier type for the location(s). The drop-down defaults to All.

      For more information, see Identifier and Item Code Types.

    • District – The district for a company or location.
    • Postal Code – The postal code for a company or location.
    • Country – The country for a company or location.
    • Company - Location License – The country, state or region, and license number.
    • Data Type – The type of entity returned in the results table.
      • All (default)
      • Company – Only data for companies displays in the results table.
      • Location – Only data for companies' locations displays in the results table.
      • Affiliate – Only data for locations that are another business entity or subsidiary of the company displays in the results table.
    • Data Status – Whether the master data returned in the results table is active or inactive.
      • All
      • Active – The data can be used in messages and UI functions, and TraceLink pulls the data when necessary.
      • Inactive – The data cannot be pulled for other functions within TraceLink.
  3. Select Search.

    The results display in the table.

  • Enter an asterisk (*) in the Company - Location Name field to return all Partner companies and locations.

    The results table can only display up to 10,000 entries. If Master Data has more than 10,000 entries, the search criteria need to be narrowed.

  • To view a Partner company's information, select View Details in the Actions column for any row with a Data Type of Company.
    • To edit the company's information, select Edit Partner Company Details on the view screen.
  • To view a Partner location's information, select View Details in the Actions column for any row with a Data Type of Location.
    • To edit the location's information, select Edit Partner Location Details.

Add a Partner Company

  1. Hover over Master Data Exchange in the Modules drop-down at the top of the screen, and then select Partner Master Data.
  2. Select Add Partner Company.
  3. In the Company Information section:
    1. Enter the Partner company's Name.
    2. Select the type of business the trade partner conducts from the Partner Type drop-down (optional):
      • Manufacturer – The license holder of the pharmaceutical product (e.g. Brand Owners, Generics, MAHs, Specialty Companies).
      • Chemist – The company specializes in the composition of substances, may mix substances in preparation for dispensation, and has a shop selling medicines and cosmetics. Also know as a compounding facility.
      • Packager – The company packages products.
      • Logistics – The company provides logistics services (e.g. LSP, 3PL).
      • Carrying and Forwarding Agent – (CFA) The company facilitates the movement and transfer of goods. In India, CFAs are often involved in moving goods as interstate stock transfers.
      • Wholesaler – The company is a wholesaler of pharmaceuticals.
      • Distributor – The company distributes pharmaceuticals.
      • Stockist (Regional Distributor) – The company stocks the products, and then distributes them.
      • Importer – The company imports products. For customs purposes, this company makes the import declaration, the shipping document names the company as consignee, and the exporter's invoice names the company as buyer.
      • Exporter – The company exports products. For customs purposes, this company makes the export declaration and sells the products to a company in another country, known as the importer.
      • Returns Processor – The company processes returns.
      • Healthcare Facility – The company dispenses pharmaceuticals as a healthcare facility.
      • Pharmacy – The company sells product directly to patients.
    3. Enter the first line of the Partner company's corporate address in the Street 1 field (required if any of the following fields contains a value; Street 2, City, District,Village, house number, Township, State Or Region, Postal Code, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).
    4. Enter the second line of the Partner company's corporate address in the Street 2 field (optional).

    5. Enter the City (required if any of the following fields contains a value; Street 1, Street 2, District, Village, house number, Township, State Or Region, Postal Code, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID,Premises Code, Company Fax, and Tax Registration Code).

    6. Enter the District (optional).
    7. Enter the Village (optional).
    8. Enter the House Number (optional).
    9. Enter the Township (optional).

    10. Enter the State or Region (required if any of the following fields contains a value; Street 1, Street 2, City, District, Village, house number, Township, Postal Code, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).

    11. Enter the Postal Code (required if any of the following fields contains a value; Street 1, Street 2, City, District, Village, house number, Township, State Or Region, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).

    12. Enter the 2-letter Country code (required if any of the following fields contains a value; Street 1, Street 2, City, District, Village, house number, Township, State Or Region, Postal Code, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).

    13. Enter the Company Email address associated with the Partner company (optional).
    14. Select a Data Status from the drop-down:
      • Active – The data can be used in messages and UI functions, and TraceLink pulls the data when necessary.
      • Inactive – The data cannot be pulled for other functions within TraceLink.

      Setting the trade partner company data to Inactive disables data for all the locations tied to that trade partner company.

    15. Enter the Building Number (optional).
    16. Enter the Plant Number (optional).
    17. Enter the Floor Number (optional).
    18. Enter the global identifier for the trade partner's entire physical location, assigned by the Russian Federation Information Address System (FIAS) in the Address Object GUID field, with a maximum of 36 characters, using the digits 0-9 and letters A-F (optional).
    19. Enter the global identifier for a specific house number or unit within the trade partner's physical location, assigned by the Russian Federation Information Address System (FIAS) in the House GUID field, with a maximum of 36 characters, using the digits 0-9 and letters A-F (optional).
    20. Enter the Tax Registration Code used to identify the Partner company for tax and other legal reporting purposes (optional).
    21. Enter the Premises Code used to record the internal identifier associated with the company (optional).
    22. Enter the Company Phone number associated with the overall company (optional).
    23. Enter the Company Fax number associated with the company (optional).
  4. In the Regulatory Contact section, enter the contact information for the Partner company's regulatory contact (optional):
    1. Enter the Name in the text field (optional).
    2. Enter the Email in the text field (optional).
    3. Enter the Title in the text field (optional).
    4. Enter the Phone in the text field (optional).
  5. On the Company Identifiers tab:
    1. Select the Identifier Type from the drop-down.

      See Identifier and Item Code Types for more information.

    2. Enter the Value in the text field.
    3. Select Add New Identifier and repeat the previous steps to add another identifier (optional).
    4. Select a Primary Identifier if there is more than one identifier (minimum one identifier required).
  6. On the Regulatory Licenses tab (optional):
    1. Select Add New License.
    2. Enter the Agency in the text field (optional).
    3. Enter the Country in the text field (optional).
    4. Enter the State or Region in the text field (optional).
    5. Enter the Number in the text field (optional).
  7. Select Add Partner Company.

    The View Partner Master Data  screen displays, and the new Partner company displays in the results table.

  • To delete identifiers, select the Remove icon on the Location Identifiers tab.
  • To delete regulatory licenses, select Delete on the Regulatory Licenses tab.

Add a Partner Location

  1. Hover over Master Data Exchange in the Modules drop-down at the top of the screen, and then select Partner Master Data.
  2. Search for the Partner company that needs a new location.
  3. Select Add Location in the Actions column.
  4. In the Location Information section:
    1. Enter the specific Location Name.

    2. Enter the first line of the location's address in the Street 1 field (required if any of the following fields contains a value; Street 2, City, District,Village, house number, Township, State Or Region, Postal Code, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).

    3. Enter the second line of the location's address in the Street 2 field (optional).
    4. Enter the District (optional).
    5. Enter the Village (optional).
    6. Enter the House Number (optional).
    7. Enter the Township (optional).

    8. Enter the City (required if any of the following fields contains a value; Street 1, Street 2, District, Village, house number, Township, State Or Region, Postal Code, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID,Premises Code, Company Fax, and Tax Registration Code).

    9. Enter the State or Region (required if any of the following fields contains a value; Street 1, Street 2, City, District, Village, house number, Township, Postal Code, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).

    10. Enter the Postal Code (required if any of the following fields contains a value; Street 1, Street 2, City, District, Village, house number, Township, State Or Region, Country, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).

    11. Enter the 2-letter Country code (required if any of the following fields contains a value; Street 1, Street 2, City, District, Village, house number, Township, State Or Region, Postal Code, Building Number, Plant Number, Floor Number, Address Object GUID, House GUID, Premises Code, Company Fax, and Tax Registration Code).

    12. Enter the Company Email address associated with this location (optional).
    13. Select a Data Status from the drop-down:
      • Active – The data can be used in messages and UI functions, and TraceLink pulls the data when necessary.
      • Inactive – The data cannot be pulled for other functions within TraceLink.

      Setting the location data to Inactive disables data only for that specific location.

    14. Enter the Building Number (optional).
    15. Enter the Plant Number (optional).
    16. Enter the Floor Number (optional).
    17. Enter the global identifier for the trade partner's entire physical location, assigned by the Russian Federation Information Address System (FIAS) in the Address Object GUID field, with a maximum of 36 characters, using the digits 0-9 and letters A-F (optional).
    18. Enter the global identifier for a specific house number or unit within the trade partner's physical location, assigned by the Russian Federation Information Address System (FIAS) in the House GUID field, with a maximum of 36 characters, using the digits 0-9 and letters A-F (optional).
    19. Enter the Tax Registration Code used to identify the location for tax and other legal reporting purposes (optional).
    20. Enter the Premises Code used to record the internal identifier the company uses for this location (optional).
    21. Enter the Company Phone number associated with the location (optional).
    22. Enter the Company Fax number associated with the location (optional).
  5. In the Regulatory Contact section, enter the contact information for the regulatory contact at the location (optional):
    1. Enter the Name in the text field (optional).
    2. Enter the Email in the text field (optional).
    3. Enter the Title in the text field (optional).
    4. Enter the Phone in the text field (optional).
  6. On the Location Identifiers tab:
    1. Select the Identifier Type from the drop-down.

    2. Enter the Value in the text field.

Import Partner Master Data

  1. Hover over Master Data Exchange in the Modules drop-down at the top of the screen, and then select Partner Master Data.
  2. Select the Import icon in the top-right.
  3. Select the type of Data to Upload from the drop-down:
    • Company Data Element – To upload company master data.
    • Location Data Element(s) – To upload company location master data.
  4. Select Choose File.
  5. Browse for and select the desired CSV File (see Formatting the CSV for Partner Companies and Formatting the CSV for Partner Locations for more information).
  6. Select Submit.

    The View Partner Master Data screen displays, and TraceLink begins asycnhronously processing the imported file. Go to Info Exchange to see the status of the asynchronous import, as well as any errors generated by the CSV file.

  • To download a sample CSV file, select PartnerCompanyElementSample.csv or PartnerLocationElementSample.csv.

Export All Partner Master Data

  1. Hover over Master Data Exchange in the Modules drop-down at the top of the screen, and then select Partner Master Data.
  2. Select Export & Download.
  3. Select Create Data File.
  4. Fill in one or more of the following search fields:
    • Company - Location Name – The name for a specific location.
    • City – The city for a company or location.
    • State/Region – The state or region for a company or location.
    • Company - Location ID – The identifier type for the location(s). The drop-down defaults to All.

      For more information, see Identifier and Item Code Types.

    • District – The district for a company or location.
    • Postal Code – The postal code for a company or location.
    • Country – The country for a company or location.
    • Company - Location License – The country, state or region, and license number.
    • Data Type – The type of entity returned in the results table.
      • Company – (default) Only data for companies displays in the results table.
      • Location – Only data for companies' locations displays in the results table.
    • Data Status – Whether the master data returned in the results table is active or inactive.
      • All
      • Active – (default) The data can be used in messages and UI functions, and TraceLink pulls the data when necessary.
      • Inactive – The data cannot be pulled for other functions within TraceLink.
  5. Select Submit.

    The Export and Download Data screen displays, and TraceLink begins asynchronously generating the export.

  • Leave all the search fields set to their defaults to download every Partner in Partner Master Data and all of their associated information.
  • Select the link in the File Name column on the Export and Download Data screen to download the CSV file after it finishes generating.
  • The CSV file available from the Export Filtered Partner Data to CSV link on the View Partner Master Data screen includes only the columns in the results table, rather than all fields associated with the Partner master data entries.
