Add serial number templates

Use the following types of templates to create serial numbers for Russia:

  • Generated Random List – Use this template type if the company uses TraceLink to generate serial numbers and request crypto codes from the CRPT OMS. Generated Random List templates create random, non-sequential lists of serial numbers, which Russia requires (e.g. 5000, 5050, 5075, 5080).
  • Auto-Replenished by Other Serial Number Manager – Use this template type if the company receives serial numbers and crypto codes from an external system (e.g. a CMO that receives serial numbers from their MAH, or an MAH that uses an external serial number manager).

Add a serial number template in the Web UI

  1. Hover over Modules, and then select Serial Number Manager.
  2. Select Add Template.

  3. Specify Packaging Code Information:

    1. Select GTIN-14, which is required for each-level Russia serial numbers, from the Packaging Code Type drop-down.
    2. Enter the Packaging Code value.
  4. Specify Template Information:
    1. Select Generated Random List from the Template Type drop-down.
    2. Select Active as the template's Status, which allows TraceLink to use the template when serial numbers are requested.
    3. Enter an SNX Maximum Request Quantity of 500,000 or less to limit the amount of serial numbers in a single request, which improves performance. TraceLink denies requests for larger amounts of serial numbers from Serial Number Exchange Partners.
      Large amounts of serial numbers might take several hours to generate.
    4. Select 13, which is required for each-level Russia serial numbers, from the Serial Number Length drop-down.
    5. Select how the serial number Uniqueness is generated:
      • Each Serial Number is unique within Packaging Code – Industry best practice. Serial numbers are unique to all products with the same packaging code (e.g. FluMed 30mg 20 ct. and FluMed 10mg 10 ct. have different product codes, so they can share a serial number).
      • Each Serial Number is unique across all products manufactured by company – Required for some countries. Serial numbers are unique to all products manufactured by the company or its locations (e.g. FluMed 30mg 20 ct. and FluMed 10mg 10 ct. are made by the same company, so they must have different serial numbers).
        • Enter the company or location identifier of the manufacturer as entered in Company Master Data.
      Uniqueness can be changed from company to packaging code only. No other changes to uniqueness are allowed after the template is saved.
    6. Select the Characters checkboxes to indicate whether serial numbers can include upper case letters (A-Z) and lower case letters (a-z) (optional).
      • Select the individual letters to exclude from the serial numbers if either Characters checkbox is selected (optional).

  5. In the Templates table:

    1. Select the packaging location to Assign Numbers To:
      • If the template is for a product that has a Production Type of Locally Manufactured in Product Master Data, select exactly one specific location.
    2. If a specific location is selected in the Assign Numbers To drop-down, select Use Site Prefix to include the location's site prefix, if available in Serial Number Exchange (optional).
    3. Select Use Crypto Codes to retrieve crypto codes from the CRPT OMS when serial numbers are requested (displays only if the company owns the Russia Crypto Codes application, the Packaging Code Type is GTIN-14, and the packaging code has a Target Market of Russia in Product Master Data).

      If Use Crypto Codes is selected, serial numbers provisioned through the template become available to locations (i.e. enter the Unreserved state) only after TraceLink receives their associated crypto codes.

    4. Select the way that the company pays for crypto codes from the drop-down (displays only if Use Crypto Codes is selected):
      • Free – The company receives crypto codes from the CRPT OMS free of charge.
      • Prepaid – The company pays for crypto codes in advance, before requesting them from the CRPT OMS.
        Prepaid is currently not supported by the CRPT OMS. This option is reserved for a future release.
      • Paid on Utilisation – The company pays for crypto codes as they use them when commissioning serial numbers.
    5. Enter the lowest amount of serial numbers allowed in the repository in the Minimum Threshold field, with up to 9 digits. When the quantity of serial numbers reaches the Minimum Threshold, TraceLink requests more numbers to return the balance to the Maximum Threshold.
    6. Enter the maximum amount of serial numbers allowed in the repository in the Maximum Threshold field, with up to 9 digits ranging between the Minimum Threshold and 5,000,000. When the quantity of serial numbers reaches the Minimum Threshold, TraceLink requests more numbers to return the balance to the Maximum Threshold.
    7. Select the template Status for the pool that the serial numbers are assigned to:
      • Active – TraceLink uses the template when serial numbers are requested.
      • Inactive – TraceLink does not use the template when serial numbers are requested. Serial Number Manager does not create, import, replenish, nor provision serial numbers in response to a serial number request for inactive templates.
    8. If the template is for a product with a Production Type of Imported, select Add Another Template and repeat the previous steps to create additional templates for this packaging code (for segment system-generated serial numbers by packaging locations).

  6. Select Submit.

    The View Serial Number Templates screen displays, and the serial number template is created.

  1. Hover over Modules, and then select Serial Number Manager.
  2. Select Add Template.

  3. Specify Packaging Code Information:

    1. Select GTIN-14, which is required for each-level Russia serial numbers, from the Packaging Code Type drop-down.
    2. Enter the Packaging Code value.
  4. Specify Template Information:
    1. Select Auto-Replenished By Other Serial Number Manager from the Template Type drop-down.
    2. Enter an SNX Maximum Request Quantity of 500,000 or less to limit the amount of serial numbers in a single request, which improves performance. TraceLink denies requests for larger amounts of serial numbers from Serial Number Exchange Partners.
      Large amounts of serial numbers might take several hours to generate.
    3. Enter the number of hours to wait before notifying users when no response returns from the external serial number manager in the Notify After field.
    4. Select the Serial Number Manager Partner that provides numbers from the Request From drop-down.
    5. Select one of the following (optional):
      • External Serial Number Manager Will Push Numbers Without a Request – Serial numbers are sent automatically.
      • Packaging Sites Must Request Serial Numbers With a Production Order Reference – A production order reference must accompany requests.

  5. In the Templates table:

    1. Select the packaging location to Assign Numbers To:
      • General Pool – Templates for the General Pool, containing serial numbers that can be exchanged with multiple packaging locations.
      • [Location Name] – Serial numbers generated for a specific location. Only packaging locations that are Partners in Serial Number Exchange display in the drop-down menu.
    2. If a specific location is selected in the Assign Numbers To drop-down, select Use Site Prefix to include the location's site prefix, if available in Serial Number Exchange (optional).
    3. Select Use Crypto Codes to retrieve crypto codes from the CRPT OMS when serial numbers are requested (displays only if the company owns the Russia Crypto Codes application, the Packaging Code Type is GTIN-14, and the packaging code has a Target Market of Russia in Product Master Data).

    7. Select Add Another Template and repeat the previous steps to create additional templates for this packaging code (for segment system-generated serial numbers by packaging locations).

  6. Select Submit.

    The View Serial Number Templates screen displays, and the serial number template is created.

Import a serial number template

Import a CSV file to TraceLink to create a serial number template from a file.

  1. Hover over Modules, and then select Serial Number Manager.
  2. Select the Import Serial Number Templates icon () in the top right.
  3. Select Choose File.
  4. Select the serial number template file to upload.

    The CSV file must provide the correct series of column headers with related titles. The column head titles must follow the camel case format with no spaces, and all values must have no spaces before or after the commas.

    To download an example file, select SerialNumberTemplatesSample.csv.
    • PackagingCodeType – Must be GTIN-14, which is required for each-level Russia serial numbers.
    • PackagingCodeValue – The value for the packaging code.
    • ItemDescription – A description used to identify the template.
    • AssignToID – Insert either General Pool (default) or a company packaging location:
      • If the TemplateType is Generated Random List and the template is for a product with a Production Type of Locally Manufactured in Product Master Data, AssignToID must be set to exactly one company packaging location.
      • If the TemplateType is Auto-Replenished by Other Serial Number Manager or the template is for a product with a Production Type of Imported in Product Master Data, AssignToID can be set to any value.
    • FilterValue – Filter value for the packaging code in Product Master Data.
    • ExtensionDigit – A value from 0 to 9.
    • TemplateType – Must be either Auto-Replenished by Other Serial Number Manager or Generated Random List.
    • RequestFromID – Select a Serial Number Manager Partner that will provide numbers.
    • NotifyAfterInHours – If no response is received after the hours indicated here (default is 8), TraceLink sends a notification to users who have opted to receive it.
    • MaximumRequestQuantity – A value up to 500,000.
    • MinThreshold – Enter up to 9 digits.
    • MaxThreshold – Enter up to 9 digits, and only to enter a value between the Minimum Threshold and up to 1,000,000.
    • SerialNumberLength – Must be 13.
    • StartingSerialNumber – Allows between 10 and 20 digits, and the value cannot be changed once serial numbers are issued.
    • UseUpperCaseLetters – Select the use of upper case letters (A-Z).
    • ExcludedUpperCaseLetters – Some letters are excluded by default, because they can easily be confused with other letters or numbers, and you can select other letters to exclude.
    • UseLowerCaseLetters – Select the use of lower case letters (a-z).
    • ExcludedLowerCaseLetters – Some letters are excluded by default, because they can easily be confused with other letters or numbers, and you can select other letters to exclude.
    • Status – Active or Inactive, based on the value for the packaging code in Product Master Data.
    • UniquenessID – Contains either Product Code, Company ID, or Company Location ID. If blank, defaults to Packaging Code.
    • UniquenessValue – Contains the specific Product Code value, Company ID value, or Company Location ID value. If blank, defaults to Packaging Code.
    • UseCryptoCodes – Must be Yes.
      If UseCryptoCodes is set to Yes, serial numbers provisioned through the template become available to locations (i.e. enter the Unreserved state) only after TraceLink receives their associated crypto codes
    • PaymentType – Conditionally required if TemplateType is Generated Random List and UseCryptoCodes is Yes. Select how the company pays for crypto codes from: Free, Prepaid, or Paid on Utilisation.
  5. Select Submit.

    The View Serial Number Templates screen displays, and the serial number template is uploaded.
