Product Information Manager Data Rules

• Select Product Information Manager Data Rules from the Management landing page.
• Expand the Management Navigation in the header of any screen, and select Product Information Manager Data Rules.

• Specify the information that TraceLink shares to the Product Information Manager network app:
  • Serial number information from the company's Serialized Operations Manager repository to the Product Information Manager (Product Verification) repository for the downstream supply chain to verify product against.
  • Product master data from Master Data Exchange to the Product Information Manager (Master Data Share) repository for the downstream supply chain to download.
• Customize the information that the company provides to the downstream supply chain in their verification responses. Producers can use these custom verification response rules to:
  • Indicate whether the verification requests for their products verify against the day value in the expiration date.
  • Include the reason that a verification request for one of their products failed in the response.
  • Indicate in the verification response that a product is expired, has been recalled from the market, or is marked as suspect or illegitimate.
  • Indicate whether expired and recalled product returns a valid or invalid response.
  • Determine which Serial Number Statuses and Item Statuses indicate that a product should be marked as suspect or illegitimate in the verification response.

• Product Verification Rules – Allows Managers to set specific rules that determine which serial number information TraceLink shares from the company's Serialized Operations Manager repository to the Product Information Manager (Product Verification) repository.

  Product Information Exchange Managers must belong to a company that links to Product Information Manager (Product Verification) as a Producer to access this table.

  • Target Market – Only serial numbers for a packaging code with this Target Market specified in Product Master Data sync to the Product Verification repository. Each Target Market can only be selected once.

    • Guam
    • Northern Mariana Islands
    • Puerto Rico
    • United States of America
    • US Minor Outlying Islands
    • Virgin Islands
  • Item Status – Only serial numbers with these item statuses from the selected Target Market sync to the Product Verification repository.
    • All – All serial numbers with the selected Target Market are synced to Product Information Manager, regardless of item status.

      Selecting All ensures that no serial numbers are missed.

    • Available – The item is available for picking.
    • Blocked – The item is unavailable for picking.
    • Pending Receipt – The transfer of ownership is in an interim state because the shipment awaits receipt confirmation at the receiving location.
    • Picked – There is an item reservation against a specific outbound delivery indicating item picking is complete.
    • Received – There is an item reservation against a specific outbound delivery indicating items are received.
    • Shipped – The transfer of ownership is in an interim state because the shipment is in transit to the receiving location.
    • Under Investigation – The item is quarantined or in a holding state due to a product investigation. The serial number cannot be included in a sales shipment.
• Master Data Share Rules – Allows Managers to specify the product information in Master Data Exchange that is shared to the Product Information Manager (Master Data Share) repository.

  Product Information Exchange Managers must belong to a company that links to Product Information Manager (Master Data Share) as a Producer to access this table.

  • Target Market – Only master data for products with this Target Market associated in Master Data Exchange sync to the Master Data Share repository. Each Target Market can only be selected once.

  • Allow Verification – If selected, TraceLink adds the product's packaging code to the Product Information Manager (Product Verification) repository, which allows the downstream supply chain to verify against the product's serial number information. Displays only for Managers whose company also links to Product Information Manager (Product Verification). Defaults to selected.
  • Allow Download – If selected, TraceLink sets the product master data record to Shared to Network in Product Information Manager (Master Data Share), which allows the downstream supply chain to download the master data. Defaults to deselected.

• Custom Rules – Allows Managers to specify the information that products are verified against and information that TraceLink returns in the verification response for the company's products.
  • Verify Expiration Day – If Yes is selected, all products must have a day value in the expiration date that matches the Producer's records. If not selected, the products' expiration dates must match only the month and year value. Defaults to selected.
  • Send Failure Reason – If Yes is selected, all invalid verification responses include the reason for the failure. If not selected, all invalid verification responses do not provide a reason. Defaults to selected.
  • Send Expired Status – If Yes is selected, all verification responses for product with an expiration date prior to the date of the verification request indicate that the product is expired. If not selected, expired product is not indicated in any verification responses. Defaults to selected.
    • Valid if Expired – If selected, all verification responses for expired product indicate that the product is verified. If not selected, expired product is indicated as not valid. Defaults to selected.

    If the Valid if Expired checkbox is selected, the Yes checkbox must be selected as well.

  • Send Recalled Status – If Yes is selected, all verification responses for product marked as recalled indicate that the product has been recalled by the Pharmaceutical Manufacturer or Repackager. If not selected, recalled product is not indicated in any verification responses. Defaults to selected.
    • Valid if Recalled – If selected, all verification responses for recalled product indicate that the product is verified. If not selected, recalled product is indicated as not valid. Defaults to selected.

    If the Valid if Recalled checkbox is selected, the Yes checkbox must be selected as well.

  • Suspect Serial Number Statuses – If Decommissioned or Destroyed is selected, all verification responses for product with those statuses indicate that the product is marked as suspect by the Pharmaceutical Manufacturer or Repackager.
  • Suspect Item Statuses – If Under Investigation is selected, all verification responses for product with that status indicate that the product is marked as suspect by the Pharmaceutical Manufacturer or Repackager.
  • Send Suspect Status – If Yes is selected, all verification responses for product marked as suspect indicate that the product is suspect and not fit for distribution. If not selected, suspect product is not indicated in any verification responses. Defaults to selected.
  • Illegitimate Serial Number Statuses – If Decommissioned or Destroyed is selected, all verification responses for product with those statuses that were decommissioned or destroyed with a Reason Code of Illegitimate or Stolen indicate that the product is marked as illegitimate by the Pharmaceutical Manufacturer or Repackager.
  • Send Illegitimate Status – If Yes is selected, all verification responses for product marked as illegitimate or stolen indicate that the product has been designated as illegitimate by the Pharmaceutical Manufacturer or Repackager. If not selected, illegitimate product is not indicated in any verification responses. Defaults to selected.

    For the verification response to indicate that the product is illegitimate, the Send Illegitimate Status and Illegitimate Serial Numbers Status checkboxes must be selected, and the product being verified must have been Decommissioned or Destroyed with a Reason Code of Illegitimate or Stolen.

In the Product Verification Rules table:

1. Select a Target Market from the drop-down.
2. Select one or more Item Statuses from the multiselect field.
3. Select Rule in the header of the table and repeat the previous steps to add a rule for another Target Market.
4. Select Save.

   The Product Information Manager Data Rules screen refreshes with the new data rules.

   TraceLink syncs the serial number information from Serialized Operations Manager to Product Information Manager. Any new or updated serial numbers sync within 24 hours of the update, and previously existing serial numbers sync at the next scheduled time. Verify the serial numbers with the Product Information Exchange Web UI or Producer Product Verification REST Request to confirm that the serial numbers successfully synced.

   TraceLink syncs only serial number information for packaging codes added to the Product Directory that meet the criteria selected in the rules. See the US Saleable Returns Help Center for more information.

In the Master Data Share Rules table:

1. Select a Target Market from the drop-down.
2. Select the Allow Verification checkbox.
3. Select the Allow Download checkbox.
4. Select Rule in the header of the table and repeat the previous steps to add a rule for another Target Market.
5. Select Save.

   The Product Information Manager Data Rules screen refreshes with the new data rules.

   TraceLink syncs the product master data from Master Data Exchange to Product Information Manager (Master Data Share), as well as Product Information Manager (Product Verification) if the Allow Verification checkbox is selected. Any new or updated products sync within 24 hours of the update, and any previously existing products sync at the next scheduled time. Confirm that the Product Directory record successfully synced by searching for it in Product Information Exchange.

In the Custom Rules table:

1. Deselect the Yes checkbox for Verify Expiration Day.
2. Deselect the Yes checkbox for Send Failure Reason.
3. Deselect the Yes checkbox for Send Expired Status.
4. Deselect the Valid if Expired checkbox for Send Expired Status.
5. Deselect the Yes checkbox for Send Recalled Status.
6. Deselect the Valid if Recalled checkbox for Send Recalled Status.
7. Deselect one or more Suspect Serial Number Statuses checkboxes.
8. Deselect a Suspect Item Statuses checkbox.
9. Deselect the Yes checkbox for Send Suspect Status.
10. Deselect one or more Illegitimate Serial Number Statuses checkboxes.
11. Deselect the Yes checkbox for Send Illegitimate Status.
12. Select Save.

    The Product Information Manager Data Rules screen refreshes with the new response rules.

    TraceLink applies the custom rules to all future verification responses. The custom rules applied to each verification response display in the verification history report, which can be downloaded in Product Information Exchange.
