Add Product

Overview

Select Add Product on the View Product Master Data screen.

Add a product and its production, packaging, and distribution information to the company's Master Data Exchange.

Product Master Data stores information about each of a company's products. That information is then used by other TraceLink applications when performing an operation involving those products.

Product Information

  • Data Status – Whether the product data is active within TraceLink.
    • Active – The data can be used in messages and UI functions, and TraceLink pulls the data when necessary.
    • Inactive – The data cannot be pulled for other functions within TraceLink.
  • Item Status – The product's commercial status.
    • Released – The company approved the product for commercial release.
    • Alternate items available – The company has alternate items that can take the place of this product.
    • Phase out – The company phased out this product from production and sale.
    • Items no longer stocked – The company does not currently stock this product.
    • Withdrawn – The company removed this product from the market.

    When the product has an Export From Country of India, the only Item Status options are Released, Items no longer stocked, and Withdrawn.

  • Product Group Code – An internal code defined by the user's company that identifies products in the same product classification (e.g. group code for all products related to oncology). The View Product Master Data screen uses this code to search for all products in the same classification entered into Product Master Data.
  • Effective Date – The date that the product master data takes effect.

Available Actions

  1. Enter a Product Group Code in the text field.
  2. Select an Effective Date from the date picker.
  3. Select a Data Status from the drop-down.
  4. Select an Item Status from the drop-down.
  1. Select Add New.
  2. Select an Item Code Type from the drop-down.
  3. Enter the Item Code Value in the text field.
  4. If there is more than one item code, select a Primary Item Code using the radio button.
  1. Select Add New.
  2. In the Country Market Code column:
    • Enter a Country Market Code in the type-ahead field, or select the menu button to the right of the field to see all Country Market Codes.

      Use the forward and backward arrows at the bottom of the menu to navigate through the options.

  3. In the Market Information column:
    1. Select the Product Type from the drop-down.
    2. Select the Registration Classification from the drop-down.
    3. Select the Prescription Drug Type from the drop-down.
    4. Select the Point of Dispensation Verification from the drop-down.
    5. Select whether traceability is required from the Traceability Required drop-down.
    6. Select the Product Origin from the drop-down.
    7. Select whether the product is a Scheduled Drug from the drop-down.
    8. Select the PCID from the drop-down.
    9. Enter the Product Category Identifier in the text field.
    10. Select the Reporting Item Code from the drop-down, and enter the value in the text field to the right.
    11. Select Choose File to upload a Product Image.
  4. In the Manufacturing Information column:
    1. Select the Production Type from the drop-down.
    2. Select the Manufactured By from the drop-down.
    3. Select the MAH ID from the drop-down, and enter the value in the text field to the right.
    4. Enter the MAH Internal Material Code in the text field.
    5. Select the Manufacturing CMO ID from the drop-down, and enter the value in the text field to the right.
    6. Enter the CMO Internal Material Code in the text field.
    7. Select the Virtual CMO ID from the drop-down, and enter the value in the text field to the right.
    8. Enter the VCMO Internal Material Code in the text field.
    9. Enter the License for Permanent Import in the text field.
    10. Select the License for Permanent Import End Date from the date picker.
    11. Enter the License for Temporary Import in the text field.
    12. Select the License for Temporary Import End Date from the date picker.
    13. Select the Importer ID from the drop-down, and enter the value in the text field to the right.
    14. Enter the Repackager License Number in the text field.
    15. Select the Repackager License Number End Date from the date picker.
    16. Select the Repackager ID from the drop-down, and enter the value in the text field to the right.
    17. Add Distribution Partner ID(s):
      • To add the first 10 Distribution Partner IDs:
        • Select the Distribution Partner ID from the drop-down, and enter the value in the text field to the right.
      • To add more than 10 Distribution Partner IDs:

        1. Enter all product information, and then select Submit.

        2. Export the details for the specific product on the Create Data File screen.
        3. Download the previously generated CSV file on the Export and Download screen.

        4. Add the identifier values in the DistributionPartnerID column and the identifier type in the DistributionPartnerType column of the CSV file.
        5. Import the data file on the Import Product Master Data screen.
  1. Select Add New.
  2. In the Export Information column:
    1. Enter the Export From Country in the type-ahead field, or select the menu button to the right of the field to see all countries.

      Use the forward and backward arrows at the bottom of the menu to navigate through the options.

    2. Enter the Export To Country in the type-ahead field, or select the menu button to the right of the field to see all countries.

      Use the forward and backward arrows at the bottom of the menu to navigate through the options.

    3. Enter the Unit Price in the text field.
    4. Enter the Currency Code in the type-ahead field, or select the menu button to the right of the field to see all currency codes.

      Use the forward and backward arrows at the bottom of the menu to navigate through the options.

    5. Select the Manufactured By from the drop-down.
    6. Select the Manufacturer ID Type from the drop-down.
    7. Enter the Manufacturer ID in the text field.
  3. In the Exemption Information column:
    1. Select the Target Market Exemption from the drop-down.
    2. Select the Export Country Exemption Code from the drop-down.
    3. Enter the Exemption Reference in the text field.
    4. Select the Exemption Date from the date picker.

Item Information for at least one language is required for each product.

If the product is approved for sale in multiple countries with a shared multi-market pack, the product only needs item information for one language.

  1. Select Add New.
  2. Select the Language Code from the drop-down.
  3. Enter a Product Description in the text field.
  4. Enter the Product Code in the text field.
  5. Enter the Product Name in the text field.
  6. Enter the Generic Name in the text field.
  7. Enter the Manufacturer in the text field.
  8. Enter the Manufacturer ID in the type-ahead field, or select the menu button to the right of the field to see all Manufacturer IDs.

  9. Enter the Strength in the text field.
  10. Enter the Drug Composition in the text field.
  11. Enter the Dosage Form in the text field.
  12. Enter the EMVS Dosage Form in the type-ahead field, or select the menu button to the right of the field to see all dosage forms.

  13. Enter the Market Dosage Form in the type-ahead field, or select the menu button to the right of the field to see all dosage forms.

  14. Enter the Package Size / Spec in the text field.
  15. Enter the EMVS Pack Code in the type-ahead field, or select the menu button to the right of the field to see all pack codes.

  16. Enter the Remarks in the text field.
  17. Enter the Minimum Temperature in the text field.
  18. Enter the Maximum Temperature in the text field.
  19. Select the Temperature Scale from the drop-down.
  20. Select whether Sensitive To Light from the drop-down.
  21. Enter the Shelf Life in the text field.
  22. Select a Unit Of Time from the drop-down.

Packaging Information for at least one Package Code Type is required for each product.

If the product is approved for sale in multiple countries with a shared multi-market pack, the product only needs one set of packaging information for the package code types.

  1. Select Add New.
  2. In the first column, select the Packaging Code Type from the drop-down.

    If CN-Rescode is selected, the Primary Item Code selected on the Item Codes tab must be a CN - Subtype Code.

  3. Enter the Packaging Code in the text field before the drop-down.
  4. In the second column, select the Packaging UOM from the drop-down.
  5. Enter the Container Aggregation Quantity in the first text field below the drop-down.
  6. Enter the Packaging Ratio in the second text field below the drop-down.
  7. In the Batch Size Max/Acceptable/Min fields:

    1. Enter the Batch Size Max in the first text field.

    1. Enter the Acceptable percentage in the middle text field.

    2. Enter the Min percentage in the last text field.

  8. In the third column, select the Serialization Type from the first drop-down.
  9. Select whether the packaging Requires Aggregation from the second drop-down.
  10. In the fourth column, if GTIN-14 is selected as the Packaging Code Type, select a Filter Value from the drop-down.
  11. If GTIN-14, or NTIN is select as the Packaging Code Type, enter the GS1 Company Prefix in the text field below the drop-down.
  12. In the fifth column, if CN-ResCode is selected as the Packaging Code Type:
    1. Enter the Code Version in the first text field.
    2. Enter the Code Level in the second text field.
  13. In the sixth column, select the Data Status from the drop-down.

Error Messages

Error Messages Description
Item Code [XXX] [YYY] has already been assigned to another product. If the combination of the Item Code and Item Code value are not unique within Master Data the error results.
Another row with this country code already exists. User selected a country code from another row (Target Markets tab).
Reporting Item Code value may not be the same as an Item Code Value. The Reporting Item Code type and value cannot already be entered on the Item Codes tab.
Another row with these Export From and Export To Country Codes already exists. User selected the same Export From / Export To country codes from another row.
[Language Code] (for [Language Name]) must be entered as a Language Code if [Country Code] is a target market. Language Code does not agree with Target Market.
A Packaging Item Code Type and Value combination can only be used once for a particular product. User entered duplicate Item Code Type and Item Code Value.
MinTemp must be less than or equal to MaxTemp  
Temperature Scale must be populated if MinTemp or MaxTemp is present  
Value must be a valid positive whole number. Input is invalid format.
Code Version must be 2 digits long. Input is invalid format.
Code Version is required if selected Packaging Code Type is a CN-ResCode. Code Version was not entered for a CN-ResCode Packaging Code Type.
Code Level is required if selected Packaging Code Type is a CN-ResCode. Code Level was not entered for a CN-ResCode Packaging Code Type.
ScheduledDrug required for Product [CountryDrugCode type] [CountryDrugCode]. (Country Market = IN OR ExportFromCountry = IN) and ScheduledDrug is not found.
Only positive integer values are allowed. If the Batch Size Maximum field is not a valid numeric value, the error results.
Only values from 1 to 100 permitted. If the Acceptable Yield field is not a valid numeric value (1-100), the error results.
Only values between 1 and the value in the Acceptable Yield field permitted. If the Minimum Yield field is not a valid numeric value (1-Acceptable Yield value), the error results.
Acceptable Yield is required if Batch Size Maximum is entered. If the Acceptable Yield field is not provided and a Batch Size Maximum is present, the error results.
Minimum Yield is required if Batch Size Maximum is entered. If the Minimum Yield field is not provided and a Batch Size Maximum is present, the error results.
Found no lines with comma-separated values to process. The error is thrown if the file is not a text file or cannot parse as a CSV.
Partner unknown [ID Type] [ID Value]. The error is thrown if the Distribution Partner ID and MAH ID are not found in Partner Master Data.
Value not found in Company Master Data or Partner Master Data. The error is thrown if the MAH ID specified does not map to the Company or Company Location in the Company Master Data or to a Partner or Partner Location in the Partner Master Data.
Value not found in Partner Master Data. The error is thrown if the Distribution Partner ID specified does not map to the Company or a Location in the Partner Master Data.
Only 10 Distribution Partner IDs can be added here. Upload a CSV file containing more identifiers on the Import Product Master Data screen A maximum of 10 Distribution Partner ID(s) can be added via the user interface for a single Target Market, users must add all additional Distribution Partner ID(s) via CSV upload.
The Packaging Code [Packaging Code] is already associated with a Product Group Code [Group Code]. The error is thrown if the packaging code added is already associated with a product group code in the Product Master Data.
The Packaging Code [Packaging Code] is already associated with a Product Group Code that has no defined code.

The error is thrown if the packaging code added is associated with an empty product group code in the Product Master Data.
