Update Lot Information

Overview

Select the Status Update drop-down in the left-hand panel.

  • Update an incorrect lot number, expiration date, or extended expiration date without having to decommission the lot and then re-commission it with the correct details.
  • Add or correct a lot's barcode expiration date, which indicates that the expiration date on the lot's packaging is different from the commissioned expiration date in TraceLink.
  • Reassign all serial numbers in a lot to an existing lot number in the TraceLink system that the serial numbers should have initially been commissioned to.

Getting Started

Have the incorrect (current) and correct (new) Item Code, Lot Number, Expiration Date, Barcode Expiration Date, and/or Extended Expiration Date values readily available for this function.

Update Lot Information

Reassigns all serial numbers in a given lot to the correct lot number (must exist in the TraceLink system) to which the serial numbers should have originally been commissioned.

Mandatory Fields

  • Item Code - An Internal Material Number or Country Drug Code in the type-ahead field (pulls from Master Data). The format is [Product Code Type] [Product Code Value].
  • Lot Number - The number associated with the Internal Material Number or Country Drug Code, which identifies the serial numbers for the report..
  • Move To Lot - The correct lot number associated with the Internal Material Number or Country Drug Code, which identifies the serial number of the report.

Updates all serial numbers in the Lot Number field with the correct Lot Number, Expiration Date, or Barcode Expiration Date. Select this action to correct lot information with a new Lot Number that does not currently exist in the TraceLink system.

Mandatory Fields

  • Item Code - An Internal Material Number or Country Drug Code in the type-ahead field (pulls from Master Data). The format is [Product Code Type] [Product Code Value].
  • Lot Number - The number associated with the Internal Material Number or Country Drug Code, which identifies the serial numbers for the report..
  • Values Table

    The Values Table only displays after entering a valid Lot Number and selecting the Search button.

    • Field:
      • Lot Number - The unique lot identifier.
      • Item Code - The unique new item code identifier associated with lot number.
      • Expiration Date - The date that all serial numbers in the lot expire.
      • Barcode Expiration Date - The expiration date returned when the barcode on the packaging of any serial number in the lot is scanned. Format is [Year] [Month] [Day].

        This value is used for compliance reporting in the EU and should only be provided when there is a discrepancy between the current Expiration Date value and the expiration date returned when an item's packaging is scanned.

        Once a Barcode Expiration Date is added to the serialized items, only updates to this value generate EU Update Product Pack Data reports. To report a new Expiration Date enter the year, month, and day in the Barcode Expiration Date field.

      • Extended Expiration Date - The product's extended expiration date if the original expiration date has been extended.
    • Current Value - Read-only fields containing the current Lot Number, Item Code, Expiration Date, Barcode Expiration Date, and Extended Expiration Date.

    • Correct Value - Text fields for entering the new correct Lot Number, Item Code, Expiration Date, Barcode Expiration Date, and Extended Expiration Date.

      The Lot Number, Item Code, Expiration Date, Barcode Expiration Date, and Extended Expiration Date can be corrected at once. If only correcting the Lot number, Item Code, Expiration Date, Barcode Expiration Date, or Extended Expiration Date, it is required that its corresponding Correct Value be entered.

Available Actions

If reassigning serial numbers to an existing lot in addition to correcting the lot's Expiration Date, the Correct the Lot Information function must be performed to correct the Expiration Date before the Reassign Serial Number to an Existing Lot function can be performed.

  1. Select the Reassign Serial Numbers to an Existing Lot radio button.
  2. Enter an Item Code in the type-ahead field or select the type-ahead icon to view all Internal Material Numbers and Country Drug Codes.
  3. Enter the Lot Number that all serial numbers need to be removed from in the in the text field.
  4. Enter the Move To Lot (correct) number in the text field that all serial numbers must be reassigned to.
  5. Select the Submit button.

    A confirmation dialog box displays.

  6. Select Confirm to submit the updated lot information.

    The following message displays: “TraceLink is updating the information for Lot [Lot Number]. See Info Exchange for the status.”

  1. Select the Correct the Lot Information radio button.
  2. Enter an Item Code in the type-ahead field or select the type-ahead icon to view all Internal Material Numbers and Country Drug Codes.
  3. Enter the Lot Number that all serial numbers need to be removed from in the in the text field.
  4. Select the Search button.

    A table displays containing the Lot Number, Expiration Date, Barcode Expiration Date, and Extended Expiration Date of the previously-defined lot.

  5. Enter the correct lot information in the Correct Values column of the table.
    • Enter the new Lot Number to correctly associate all serial numbers in the previously-defined lot.
    • Select or enter the new Expiration Date, Barcode Expiration Date, and/or Extended Expiration Date to correctly associate all serial numbers in the previously-defined lot.
  6. Select the Submit button.

    A confirmation dialog box displays.

  7. Select Confirm to submit the updated lot information.

    The following message displays: “TraceLink is updating the information for Lot [Lot Number]. See Info Exchange for the status.”

A Barcode Expiration Date is used for compliance reporting and should only be provided when there is a discrepancy between the commissioned, or current, Expiration Date and the expiration date returned when an items packaging is scanned.

  3. Enter the Lot Number of the serialized items that require a Barcode Expiration Date in the text field.
  4. Select the Search button.

    A table displays containing the Lot Number and Expiration Date of the previously-defined lot.

  5. Enter the Barcode Expiration Date in the Correct Values column of the table.
  6. Select the Submit button.

    A confirmation dialog box displays.

  7. Select Confirm to submit the updated lot information.

    The following message displays: “TraceLink is updating the information for Lot [Lot Number]. See Info Exchange for the status.”

Error Messages

Errors either display at the top of the screen or are found in Info Exchange (may vary):

Error Message Description
Expiration date for lot [LotNumber] must match expiration date for lot [NewLotNumber]. The Expiration Date of the Lot Number being corrected does not match the Expiration Date of the existing lot in the Move to Lot field.
Lot Number [LotNumber] does not exist for Product Code [ProductCode]. The Lot Number for the specified Product Code does not exist.
Lot Number[LotNumber] already exists for Product Code [ProductCode]. The Lot Number entered in the Correct Value column of the Values Table already exists in the TraceLink system.
Cannot update Lot [LotNumber]. Serial numbers are in a Pending Receipt state and must be received before updating. Serial numbers in a "Pending Receipt" state must be received before they can be updated with the new lot information.
Lot Number [LotNumber] and Move To Lot Number [MoveToLotNumber] must be different. The Initial Lot Number entered must be different from the Move To Lot Number.
Expiration Date [ExpirationDate] and New Expiration Date [NewExpirationDate] must be different. The correct Expiration Date entered must be different from the current Expiration Date.
Barcode Expiration Date [BarcodeExpirationDate] and New Barcode Expiration Date [NewBarcodeExpirationDate] must be different. The correct Barcode Expiration Date entered must be different from the current Barcode Expiration Date.
