Destroy Product

Overview

Select the Status Update drop-down in the left-hand panel.

Permanently destroy a serial number when its associated product or container is physically destroyed.

Once a serial number is destroyed it can never be used again (re-commissioning is prohibited to prevent serial number reuse for counterfeit product).

Getting Started

Have easy access to the destroyed products' serial numbers.

When scanning, entering, or uploading a file to populate serial numbers, each number must be:

  • On a separate row.
  • Without any special characters.
  • In one of the formats below:

The format is the AI(01)(21) serial number in barcode format:

  1. First is the 01 Application Identifier
  2. Followed by the GTIN-14 number
  3. Followed by the 21 Application Identifier
  4. Followed by the serial number

    Example: 010088202401033921725368249416

Used for:

  • Pallets
  • Mixed cases

The format is the AI(00) serial number in barcode format:

  1. First is the 00 Application Identifier
  2. Followed by the SSCC-18 code

    Example: 00008820200000050254

Used for:

  • Items
  • Innerpacks
  • Bundles
  • Cases and Shippers

The format is the full 20-digit China serial number, as in this example: 81102302020117515452

Destroy Product

  • Reason Code - The preset reason for the event.
    • Damaged – The product is damaged.
    • Defective - The product does not function as intended.
    • Dispensed - The product is dispensed.
    • Disposed – The product is disposed.
    • Expired - The product reached its expiration date.
    • Misplaced – The product is missing.
    • Inappropriately Stored - The product has been stored improperly and is no longer fit for sale.
    • Recalled - The product is recalled by the Pharmaceutical Manufacturer.
    • Repackaged - The product is repackaged from a different source product.
    • Returned - The product has been returned and cannot be resold.
    • Sampled – The product is sampled for quality testing.
    • Sampled - Archival - The product is sampled to store as a record.
    • Sampled - Clinical Study - The product is sampled for a clinical study.
    • Sampled - Customs Control - The product is sampled for inspection control by customs authorities.
    • Sampled - Marketing Demonstration - The product is used in a marketing demonstration.
    • Sampled by Authorities - The product is sampled by government authorities.
    • Sampled - Pharmaceutical Study - The product is sampled for a post-registration pharmaceutical study, to support submitted changes to a dossier.
    • Sampled - Federal Inspection - The product is sampled for federal inspection.
    • Sampled - Selective Control - The product is sampled by health authorities as needed to ensure quality standards.
    • Stolen – The product is stolen.
    • Spoilage - The product is spoiled due to exposure (e.g. heat, oxygen, moisture, microrganisms).
    • Withdrawn - The product is removed from the market by the Pharmaceutical Manufacturer.
    • Withdrawn - Experiment - The product is withdrawn from the market during the course of an experiment.
    • Other - The product is destroyed for a reason that is not listed.
  • Serial Numbers - The serial numbers of the product(s) in the event. If the serial numbers to be destroyed are child serial numbers associated with a parent serial number, only the parent serial number must be specified.
    • Scan Serial Numbers - Scan or type the serial numbers in the text box.

      Maximum of 25,000 serial numbers.

    • Upload Serial Numbers From File - Upload a file with the serial numbers.

      The file must include only the serial numbers, no headings. Limit of one file per session. File size limit is 50 MB.

Some optional fields may be mandatory per a country's regulatory requirements. Select a country to view mandatory fields for that country.

These are not the only mandatory fields. See the "Mandatory Fields" drop-down for other requirements.

  • Reporting Party - The company or location reporting the event. This field pulls from both Company and Partner Master Data.
  • Transaction IDs - The business transaction identifier and type.

  • Reason Code - The preset reason for the event.
  • Destruction Method - The method used to destroy the product.
  • Location - The identifier of the company or location destroying the product.
  • Transaction IDs table:
    • Identifier Type - Indicate a Removal From Circulation identifier.
    • Identifier Value - The value of the identifier for the transaction.
    • Document Date - The date printed on the corresponding transaction document.
  • Reason Description - Description of the reason for the destroy event (maximum 100 characters).
  • Reporting Party - The company or location reporting the event. This field pulls from both Company and Partner Master Data.

    Mandatory if a Transaction ID is included in the destroy event.

  • Location - The identifier of the company or location destroying the product.
  • Destruction Method - The method used to destroy the product.
    • Liquid - Dilution and Drainage - The ampoule is crushed, and the liquid product is diluted and discharged into industrial sewers.
    • Solid - Dilution and Discharge - The solid product is crushed, diluted, and discharged into industrial sewers.
    • Incineration - The product is consumed in an incinerator.
  • Transaction IDs - The business transaction identifier and type.
    • Identifier Type - The type of identifier for the transaction.
    • Identifier Value - The value of the identifier for the transaction.
    • Document Date - The date printed on the corresponding transaction document.
  • Automatically disaggregate items from parent container - If selected, TraceLink disaggregates all destroyed child items from their parent containers.

Available Actions

  1. Select the desired entity in the Show Data From drop-down at the top of the screen.
  2. Enter a Reporting Party in the type-ahead field.
  3. Enter a Location in the type-ahead field.
  4. Select a Reason Code from the drop-down.
  5. Enter a Reason Description in the text field.
  6. Select a Destruction Method from the drop-down.
  7. In the Transaction IDs table:
    1. Select the Add Another link in the table header.

      A blank row displays.

    2. Select an Identifier Type from the drop-down.
    3. Enter an Identifier Value in the text field.
    4. Select a Document Date from the date picker.
  8. Enter the Serial Numbers by selecting one of the following:

    • Select Upload Serial Numbers from File:
      1. Select the Choose File button.
      2. Browse for and select the desired CSV file.

        The CSV file cannot contain headers.

    • Select Scan Serial Numbers:
      • Enter the serial numbers in the text field.

        or

      • Scan the serial numbers in the text field with an Edge device.

    If the product is aggregated, enter the parent serial number. All the child serial numbers belonging to the specified parent serial number are destroyed.
  9. Select the Automatically disaggregate items from parent container checkbox, if applicable. When selected, the selected serial numbers are automatically disaggregated from the parent serial number and destroyed.
  10. Select the Submit button.

    The confirmation message "The status of the [Number of Serials Numbers] serial numbers you entered has been updated to Destroyed with a reason code of [Reason Code]." displays at the top of a blank Destroy Product screen.

Error Messages

Errors either display at the top of the screen or are found in Info Exchange (may vary):

Error Message Description
Serial number [Serial Number] does not exist. The Serial Number does not exist.
Serial number [Serial Number] is not commissioned. The Serial Number is not commissioned, which is a requirement of this function.
Serial number [Serial Number] is not associated with Location [Location Name]. If the Serial Number associates to a company or location that differs from the company or location that displays in the "Show Data From" drop down menu, the error results.
Cannot update the status because serial number [child serial number] and serial number [container serial number] have different statuses or would have different statuses after updating. Parent and child serial numbers cannot have different statuses. The Serial Number has a parent-state conflict where the parent and child serial numbers are either in different states or could end up in different states.
Cannot perform operation on serial number <Serial Number> with UOM <PackagingLevelUOM>. The operation can only be performed for unit level serial numbers. The Serial Number is not an Each/unit-level which is a requirement to perform this function.
Operation could not be performed because serial number [Serial Number] is not empty. The container Serial Number is not empty, which is a requirement of this function.
Serial number [Serial Number] not Available. The Serial Number is not in an Available state, which is a requirement for a decommission event.
Reason Code is required for products sold in Russia.

This error displays when one of the product's Target Markets is set to Russia and a Reason Code is not selected.
Operational Facility is required for products sold in Russia. This error displays when one of the product's Target Markets is set to Russia and an Operational Facility is not entered.
Destruction Method is required for products sold in Russia. This error displays when one of the product's Target Markets is set to Russia and a Destruction Method is not selected.
Transaction Identifier for 'Removal from Circulation' is required for products sold in Russia. This error displays when one of the product's Target Markets is set to Russia and the Removal from Circulation transaction identifier is not selected.
Transaction Identifier Date is required for products sold in Russia. This error displays when one of the product's Target Markets is set to Russia and the transaction identifier Document Date is not selected.
Reporting Party is required when Transactions are included in the request This error displays when one or more Transaction Ids are included in the operation and a Reporting Party is not entered.
