Commission Serial Numbers

Overview

Select the Status Update drop-down in the left-hand panel.

Manually commission one or more serial numbers for a product or container.

Commissioning a serial number from the Serialized Operations Manager repository associates it with a product or container. Until a serial number is commissioned it does not represent the physical product or shipping pallet.

Use a Commission event when:

  • Performing rework on product that was encoded with wrong information or if there was a printing error.
  • The company commissioning serial numbers is not yet fully integrated with TraceLink and cannot automatically commission them.
  • The company does not have a Line Management System and performs their operations manually.

Getting Started

Have easy access to the serial numbers for the commission event, specifically the following information:

  • Encoding Format - The barcode identifier type for the encoding format.
  • Location SGLN - Site-level SGLN (Serialized Global Location Number) of the commission location.
  • Packaging Code - The code assigned to a specific level of packaging aggregation.
  • Lot Number - The number associated with the Packaging Item Code, Country Drug Code, or Internal Material Number.

A serial number's successful transition to a new state depends on the serial number's current state. The below table indicates the available changing states (columns 2-7) from a current state (column 1).

  • Yes=Allowed
  • No= Prohibited
  • "-" = Current State

Example: Destroyed and Deactivated are terminal states that cannot be undone and therefore cannot move to any of the other states.

When scanning, entering, or uploading a file to populate serial numbers, each number must be:

  • On a separate row.
  • Without any special characters.
  • In one of the formats below:

  • Bundles
  • Cases and Shippers

The format is the AI(01)(21) serial number in barcode format:

  1. First is the 01 Application Identifier
  2. Followed by the GTIN-14 number
  3. Followed by the 21 Application Identifier
  4. Followed by the serial number

    Example: 010088202401033921725368249416

Used for:

  • Pallets
  • Mixed cases

The format is the AI(00) serial number in barcode format:

  1. First is the 00 Application Identifier
  2. Followed by the SSCC-18 code

    Example: 00008820200000050254

Used for:

  • Items
  • Innerpacks
  • Bundles
  • Cases and Shippers

The format is the full 20-digit China serial number, as in this example: 81102302020117515452

Commission Serial Numbers

  • Encoding Format - The barcode identifier type for the encoding format. The options are:
    • AI(00) - Thebarcoderepresentation of an SSCC-18 number and the equivalent of the SSCC-96 scheme.
    • AI(01)(02) - Thebarcoderepresentation of a serialized GTIN number and the equivalent of the SGTIN-96 scheme.
    • CN-EDMC - The China number encoding format.
  • Location SGLN - Site-level SGLN (Serialized Global Location Number) of the commission location.

    If the Serialized Operations Manager configuration uses Partner locations, and a Partner location is currently selected in the Show Data From drop down, and has a SGLN set in Master Data, that value displays in this field by default. Otherwise the field is blank.

    • The SGLN format is a numeric component only, with the urn prefix stripped: <CompanyPrefix>.<LocationReference>.<Extension>.
    • If the SGLN represents the primary location that associates with the GLN, the Extension Value should be "0." Example: 8888882.02867.0.
  • Packaging Code - The code assigned to a specific level of packaging aggregation.

    Only for AI(01)(21) or CN-EDMC encoding format.

    • For AI(01)(21), all available packaging codes in the Company Master Data of type GTIN14 or NTIN are available.
    • For CN-EDMC , all available packaging codes in Company Master Data of type CN-ResCode are available.
  • GS1 Company Prefix - The GS1 Company Prefix that associates with the SSCC codes that are being commissioned.

    For AI(00) encoding format only.

  • Filter Value - The filter value that associates with the SSCC code. This is typically the same as the Extension Digit in the SSCC code.

    For AI(00) encoding format only.

  • Lot Number - The number associated with the Packaging Item Code, Country Drug Code, or Internal Material Number.

    Only for AI(01)(21) or CN-EDMC encoding format.

  • Internal Material Number - Pulls from Product Master Data. This value is the Internal Material Number for the product in the Pharmaceutical Manufacturer's internal system. Select the AI(01)(21) or CN-EDMC encoding format. This field is mandatory if Country Drug Code is unavailable.
  • Country Drug Code - Pulls from Product Master Data. The National Drug Code for the commissioned item. Select the AI(01)(21) or CN-EDMC encoding format. This field is mandatory if the Internal Material Number is unavailable.
  • Serial Numbers - The serial numbers in the commission event.
    • Scan Serial Numbers - Scan or type the serial numbers in the text box.

      Maximum of 25,000 serial numbers.

    • Upload Serial Numbers From File - Upload a file with the serial numbers.

      The file must include only the serial numbers, no headings. Limit of one file per session. File size limit is 50 MB.

  • Packaging UOM - (Packaging Unit of Measure) The level of the packaging hierarchy for this serial number.

    For AI(00) encoding format only.

    • Inner Pack/Bundle - A grouping of the smallest salable unit of the product.
    • Case/Shipper - A grouping of inner packs/bundles or a grouping of eaches if the packaging heirarchy does not include inner packs/bundles.
    • Pallet - The level of packaging with cases grouped together on a pallet.
  • Expiration Date - The expiration date of the lot.
  • Manufacturing Date - The lot's manufacture date.

Available Actions

  1. Select the desired entity in the Show Data From drop-down at the top of the screen.
  2. Select the Encoding Format from the drop-down menu. Depending on the selection, different fields display. See the drop-down below for specific format instructions.
    1. Enter a Location SGLN in the text field.
    2. Enter a GS1 Company Prefix in the text field.
    3. Enter a Lot Number in the text field.
    4. Select a Filter Value from the drop-down.
    5. Select an Expiration Date from the date picker.
    6. Select a Packaging UOM from the drop-down.
    7. Select a Manufacturing Date from the date picker.
    8. Enter the Internal Material Number in the type-ahead field or select the type-ahead icon to view all Internal Material Numbers.
    9. Enter the Country Drug Code in the type-ahead field or select the type-ahead icon to view all Country Drug Codes.
    10. Proceed to Step 3.
    1. Enter a Location SGLN in the text field.
    2. Either enter a Packaging Code in the type-ahead field or select the list icon to view available options.
    3. Enter a Lot Number in the text field.
    4. Enter the Internal Material Number in the type-ahead field or select the type-ahead icon to view all Internal Material Numbers.
    5. Select an Expiration Date from the date picker.
    6. Enter the Country Drug Code in the type-ahead field or select the type-ahead icon to view all Country Drug Codes.
    7. Select a Manufacturing Date from the date picker.
    8. Proceed to Step 3.
    1. Enter a Location SGLN in the text field.
    2. Either enter a Packaging Code in the type-ahead field or select the list icon to view available options.
    3. Enter a Lot Number in the text field.
    4. Enter the Internal Material Number in the type-ahead field or select the type-ahead icon to view all Internal Material Numbers.
    5. Select an Expiration Date from the date picker.
    6. Enter the Country Drug Code in the type-ahead field or select the type-ahead icon to view all Country Drug Codes.
    7. Select a Manufacturing Date from the date picker.
    8. Proceed to Step 3.
  3. Enter the Serial Numbers by selecting one of the following:

    • Select Upload Serial Numbers from File:
      1. Select the Choose File button.
      2. Browse for and select the desired CSV file.

        The CSV file cannot contain headers.

    • Select Scan Serial Numbers:
      • Enter the serial numbers in the text field.

        or

      • Scan the serial numbers in the text field with an Edge device.

  4.  Select the Submit button.

    TraceLink asynchronously processes the request. The confirmation message "Your serial number commission request has been received and is being processed." displays at the top of a blank Commission Serial Numbers screen.

Error Messages

Errors either display at the top of the screen or are found in Info Exchange (may vary):

Error Message Description
You must specify either an Internal Material Number or Country Product Code. If AI(01)(21) or CN-EDMC is selected as the encoding type, either an Internal Material Number or Country Drug Code is missing.
