Receive Products in Shipment

Select the Receive Products in Shipment link in the Actions column of the results table on the Manage Receipts screen.

• Receive products in a specific shipment against the pending Transaction Histories.
• Make products available for future outgoing shipments or transfers.

• Sender – Identifier, name, and address of the company that shipped the product.
• Shipment Date – Date the sender shipped the product.
• Recipient – Identifier, name, and address of the company that received the product.
• Delivery Number – Number assigned to uniquely identify the shipment.
• Ship To Location – The company or location that physically receives the products in the shipment.
• Receiving Location – The location that physically receives the shipment. If the shipment has been received, this information is static. If the shipment needs to be received, this field is a drop-down.

  • For users belonging to the Owner's company:
    • If the app does not have any Partner locations:
      • [Owner Name] (default)
    • If the app has only one Partner location:
      • [Partner Location Name] (default)
    • If the app has more than one Partner location:
      • Select One... (default)
      • [Partner Location names] (in alphabetical order)
  • For users belonging to only one Partner location: 
    • [Partner Location Name] (default)

  • For users belong to more than one Partner location:

    • Select One... (default)
    • [Partner Location names] (in alphabetical order)

The following fields are always static:

• NDC – The unique item code for the product in the shipment.
• Description – Typically includes the product name, dosage, form, and the number of doses.
• Lot Number – The lot number associated with the product. If the sender did not include the Lot Number with the Transaction History, this will be a blank text field.
• PO Number – The Purchase Order number for the particular product. Multiple products can have the same Purchase Order number.
• Transaction Quantity – The number of products in the shipment, as listed in the Transaction History.

The following fields are static after the shipment has been received:

• Product Origin – Indicates where the recipient purchased the product from.
• Direct Purchase – The recipient purchased the product directly from the Pharmaceutical Manufacturer.
• Indirect Purchase – The recipient purchased the product from a Distributor or Repackager.
• Reference ID – Identifies the product at a more granular level than the lot number. Often the physical location of the product in the inventory.
• Received Quantity – The actual number of products in the shipment.

• Product Origin – Indicates where the recipient purchased the product from.
  • Direct Purchase – The recipient purchased the product directly from the Pharmaceutical Manufacturer.
  • Indirect Purchase – The recipient purchased the product from a Distributor or Repackager.
• Lot Number – The lot number associated with the product. Mandatory if the sender did not include the Lot Number with the Transaction History. Not mandatory for Dispensers.
• Received Quantity – The actual number of products in the shipment.

• Reference ID – Identifies the product at a more granular level than the lot number. Often the physical location of the product in the inventory.
• Fully Received – Indicates that the shipment should not be marked as pending in Product Track even though the Received Quantity is less than the Transaction Quantity.

  Only displays for Owners configured as Dispensers in Company Administration.

This table displays rows for each product in the shipment. The example shows a transaction that contains 2 products, neither of which have been fully received.

• The first product has been partially received.
• The second product has not been received at all yet.

1. Select a Receiving Locationfrom the drop-down.
2. Select a Product Origin from the drop-down.
3. Enter a Lot Numberin the text field if the sender did not include it in the Transaction History.
4. Enter a Reference IDin the text field.
5. For Owners configured as Dispensers:
   • Select the Fully Received checkbox, if needed.
6. Enter a Received Quantity in the text field.
7. Select the Submit button.

   The screen returns to the Manage Receipts screen, and the message "TraceLink is processing the receipt information you provided." displays at the top.

   TraceLink assigns the receipt to the user's location.

1. Select the Receive More link in the Actions column of the table.
2. Enter a Received Quantity in the text field.
3. For Owners configured as Dispensers:
   • Select the Fully Received checkbox, if needed.
4. Select the Submit button.

   The screen returns to the Manage Receipts screen, and the message "TraceLink is processing the receipt information you provided." displays at the top.
